AI note taker evaluation checklist for interview teams
On this page
An AI note taker evaluation checklist for interviews should test seven things: how the tool captures each kind of interview you run (including phone screens and whether a bot joins), how accurate its transcript is on your own calls, whether its output fits interviews (scorecards, evidence quotes, submittals), how notes reach your ATS, how it handles consent and the candidate's experience, where it stores data, and what it really costs at your volume. Score every check on your own calls during a trial. Demos show a tool at its best; your phone lines, accents and ATS show where it breaks.
The checklist below has 44 checks in seven groups, each with a way to test it and a suggested priority. Change the priorities to suit your team, then use the trial plan and score sheet underneath. If you are an agency comparing named products, the staffing agency buyer's guide has a shortlist, and AI interview note-taker pricing compares published prices.
How to use this checklist
- Must means a "no" ends the evaluation. Should counts heavily in the score. Nice breaks ties.
- Write the evidence next to every answer: a test call, a help-center page, a contract clause. "The sales rep said so" is not evidence.
- Evaluate two or three tools side by side on the same test calls. A checklist filled for one tool tells you little.
- Get the security answers in writing before any real candidate is on a trial call. The full question set is in the AI note taker security questionnaire.
The checklist
A. Capture: how the tool hears the interview
| # | Check | How to test | Priority |
|---|---|---|---|
| 1 | Does anything join the meeting (a bot or visible participant)? | Run a test call and look at the participant list from the candidate's side | Should |
| 2 | Works on every meeting platform you use (Zoom, Teams, Meet, others) | One test call per platform | Must |
| 3 | Captures ordinary phone screens | Call a colleague's cellphone the way you call candidates | Must for screening desks |
| 4 | Handles in-person interviews | Record a two-person conversation in a meeting room | Nice |
| 5 | Runs on your interviewers' devices and operating systems | Install on each OS your team uses | Must |
| 6 | Labels interviewer and candidate correctly | Check labels on every test call | Must |
| 7 | Pause and stop in one action | Time how long it takes mid-call | Must |
| 8 | Works when you are not the meeting host | Join a call a colleague hosts | Should |
Bot-based and bot-free capture have different trade-offs for candidates; they are compared in AI note-takers without a bot.
B. Accuracy: test on your own calls
| # | Check | How to test | Priority |
|---|---|---|---|
| 9 | Word accuracy across the accents and speaking styles you interview | Compare a five-minute stretch against what was said | Must |
| 10 | Names of employers, systems, certifications | Use a script with ten real names from your desk | Should |
| 11 | Numbers: pay, dates, team sizes, volumes | Say ten numbers in the test call; count errors | Must |
| 12 | Speaker attribution during fast back-and-forth | Interrupt each other deliberately for one minute | Should |
| 13 | Poor connections and phone audio | One test call on a weak line or speakerphone | Should |
| 14 | Summaries contain nothing that was not said | Read the summary line by line against the transcript | Must |
C. Interview output
| # | Check | How to test | Priority |
|---|---|---|---|
| 15 | Builds or follows a question guide from your job description or questions | Load a real job description | Should |
| 16 | Uses your competencies and rating scale, not its own | Load your scorecard and check the output | Must |
| 17 | Every rating or claim carries the candidate's words, checkable in the transcript | Search five quotes in the transcript | Must |
| 18 | Scoring features can be switched off, or are clearly separate from the record | Ask, then check the settings | Should |
| 19 | Writes summaries or submittals in your template | Load your agency or company template | Should |
| 20 | Supports panels: split questions; controls what is shared | Run a three-person mock panel | Nice |
| 21 | Handles the languages you interview in | One test call per language | Depends on team |
D. Workflow and ATS
| # | Check | How to test | Priority |
|---|---|---|---|
| 22 | How notes reach your ATS: native integration, API connector, or copy and paste | Ask which, then see it work | Must to know |
| 23 | The ATS route works with a real record during the trial | Push or paste one test note into a test candidate record | Must |
| 24 | Export formats you need (Word, Markdown, CSV, email) | Export one of each | Should |
| 25 | Time from hang-up to a usable note | Time it on three calls | Should |
| 26 | User management: adding, removing and offboarding interviewers | Add and remove a test user | Should |
E. Consent and candidate experience
| # | Check | How to test | Priority |
|---|---|---|---|
| 27 | A consent line or notice is built in, or easy to add to your process | Look for it before the call starts | Should |
| 28 | Notice wording can vary by jurisdiction | Ask how it handles all-party consent states and the EU | Should |
| 29 | Nothing is sent to the candidate without your choice (bot messages, automatic summary emails) | Check the candidate's inbox after a test call | Must |
| 30 | If a candidate declines, capture stops and nothing is kept | Decline on a test call; check what was stored | Must |
| 31 | No features that claim to read emotion, honesty or personality from voice or face | Read the feature list and ask in writing | Must |
Item 31 is not only a matter of taste. In the EU, AI that infers emotions in the workplace is prohibited, including for candidates; see the EU AI Act guide. Whether you may capture the call at all is covered in is it legal to use AI note takers in interviews.
F. Security and data
| # | Check | How to test | Priority |
|---|---|---|---|
| 32 | Where audio, transcripts and summaries are stored, and in which country | Written answer plus the subprocessor list | Must |
| 33 | Default retention, whether you can set it, and deletion of one candidate's data | Delete a test candidate and confirm it is gone | Must |
| 34 | Whether your data is used to train or improve models, and how to opt out | Contract or terms clause | Must |
| 35 | Subprocessors for hosting, speech-to-text and AI models | Published list with dates | Should |
| 36 | Independent assurance, such as a SOC 2 Type 2 report | Request the report; read scope and exceptions | Should |
| 37 | A data processing agreement | Request it; check it against your obligations | Must where privacy law applies |
| 38 | Who in your organization can see whose interviews | Log in as two different test users | Should |
How to read a SOC 2 report in twenty minutes is in SOC 2 for recruiting software, and what a DPA must contain is in data processing agreements for recruiting software. Mapping where each copy of the data ends up is covered in where AI note takers store interview data.
G. Cost and contract
| # | Check | How to test | Priority |
|---|---|---|---|
| 39 | Price is published, or quoted in writing | Pricing page or written quote | Should |
| 40 | Pricing model: per seat, per hour of audio, or both | Read the plan limits | Must to know |
| 41 | Cost at your real volume of interview hours per month | Work it out from last month's calendar | Must |
| 42 | Trial or free tier that allows real calls | Start the trial before procurement | Should |
| 43 | Minimum seats and commitment term | Order form | Should |
| 44 | Export and deletion of all data when you leave | Contract clause, plus a test export | Must |
A trial plan: five test calls
Run these with colleagues playing candidates before any real candidate is involved, then repeat the most important ones on real interviews with consent.
| Call | Set-up | Checks it covers |
|---|---|---|
| 1. Standard video interview | Your main platform, 20 minutes, your real question set | 1, 2, 6, 9, 14 to 17, 25 |
| 2. Phone screen | An ordinary cellphone call, the way you normally dial | 3, 6, 11, 13 |
| 3. Hard audio | Strong accent or fast speech, crosstalk, a weak connection | 9, 12, 13 |
| 4. Names and numbers | A script with ten employer and system names and ten figures | 10, 11 |
| 5. Decline and delete | The "candidate" declines after the consent line; then delete the test record | 7, 29, 30, 33 |

The weights above are an example. A screening desk might weight capture and ATS fit higher; a regulated employer might weight security higher. Agree the weights before the first test call, not after you have a favorite.
Red flags that should end an evaluation
- No written answer on where data is stored or whether it trains models.
- No way to delete one candidate's data without deleting everything.
- A bot that joins calls and cannot be removed or renamed, when your candidates are external.
- Automatic summary emails to all attendees that cannot be switched off.
- Emotion, honesty or "culture fit" scores from voice or video.
- An ATS integration that is "on the roadmap" or cannot be tested during the trial.
- A price that only appears after a sales call and changes with each conversation.
Questions people ask
How do I evaluate an AI note taker for interviews?
Run it on your own calls during a trial, not only in a demo. Test how it captures each kind of interview you run, including phone screens, check its transcript against what was actually said, see whether its notes fit your scorecard and ATS, and get written answers on storage, retention and model training before real candidates are involved.
What should an AI note taker for recruiting be able to do?
At minimum: capture every interview format your team uses, label who said what, produce notes in your own scorecard or submittal format with the candidate's words as evidence, get those notes into your ATS without retyping, and let you pause or stop instantly when a candidate declines. Security answers and a realistic monthly cost come next.
How long should an AI note taker trial last?
Long enough to run at least five real or realistic interviews across your formats, typically one to two weeks. A single demo call shows the tool at its best; your own calls, with your accents, jargon, phone lines and ATS, show where it breaks.
What are red flags when choosing an AI note taker?
No written answer on where audio and transcripts are stored or whether your data trains models, no way to delete a single candidate's data, a bot that cannot be removed from calls, features that claim to read emotion or honesty from a voice, and an ATS integration that is promised but cannot be tested during the trial.
