For interviews on a Mac, the strongest options as of October 2026 are Apple's own Notes and Phone apps for in-person conversations and iPhone phone screens, MacWhisper for on-device transcripts with a one-time price, Granola, Fathom, Otter, Fireflies and Jamie for video calls without a bot, and Interview Signal if you want a question guide, scorecard and submittal built from the call. Which one fits depends on your macOS version, whether a bot may join the call, and how many of your screens happen on the phone.
We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. Prices and requirements change often, so check each link before you buy.

What does a Mac change about transcribing an interview?
Three Mac-specific things decide whether an app works for you before features even come into it.
- Your macOS version. The minimums in the table run from macOS 12 to 14.4. A company Mac held on an older release by IT can rule out Granola, Fathom's bot-free mode, Jamie and MacWhisper at once. Check About This Mac first.
- Your chip. Notes transcription needs an M1 or later Mac, and so does Apple Intelligence, which writes the summaries (Apple). Bluedot's Mac app supports Apple silicon only (Bluedot). MacWhisper still runs on Intel Macs, with some Pro features reserved for M-series chips.
- Privacy permissions. Any app that captures a Zoom or Teams call needs macOS permission to hear the system audio and the microphone. MacWhisper's help center, for example, asks for Screen Recording and Microphone access before it records meetings (MacWhisper help). Grant these before your first real interview, not while the candidate waits.
Other Mac apps worth knowing, with the requirements their vendors publish as of October 2026: Read AI's desktop app needs macOS 14 or later (Read AI); Krisp recommends macOS 14 Sonoma or later (Krisp); and Tactiq now has a Mac app that transcribes the Zoom and Teams desktop apps without a bot (Tactiq).
Each Mac app, and who it suits
Apple Notes and the Phone app (built in)
Notes on a Mac can record audio and show a live transcript; Apple lists transcription for English, Spanish, French, German and several other languages, on M1 or later Macs. With Apple Intelligence turned on you can also summarize a recording (Apple Notes guide). On macOS Tahoe 26, the Phone app can record a call you take on the Mac from your iPhone: both people hear an audio notice, and the recording and transcript land in a Call Recordings folder in Notes (Apple call recording guide). Apple does not describe Notes capturing a Zoom or Teams call's audio, so treat it as a tool for the room and the phone. Best for: hiring managers with an iPhone who want free transcripts of phone screens and in-person conversations.
MacWhisper
MacWhisper transcribes with local models, so audio does not leave the Mac unless you choose one of its optional cloud engines. Its site says it can transcribe Zoom, Teams and Webex calls in the background with no bots joining, and the Pro license is a one-time €64 on its website (macwhisper.com); the Gumroad listing shows €65 (Gumroad). Automatic meeting recording is labeled beta, is missing from the Mac App Store version, and does not cover FaceTime (MacWhisper help). It is a transcription tool, not an interview tool: there are no interview summaries or scorecards. Best for: privacy-minded interviewers who want an accurate transcript on their own machine and no subscription.
Granola
Granola uses your Mac's audio and does not join the meeting, then turns the rough notes you type into fuller notes using the transcript (granola.ai). It needs macOS 14 or later, and its security page says it does not store meeting audio (Granola security), so there is nothing to replay. Basic is free with 30 days of note history; Business is $14 per user per month (Granola pricing). We cover its use in hiring in Granola for interviews. Best for: hiring managers who already take notes and want them completed, not replaced.
Fathom
Fathom's free plan includes unlimited recordings and transcription (Fathom pricing). Bot-free capture is live on Mac and needs macOS 14.2 or later; it covers Zoom, Google Meet, Teams and Slack Huddles, and can post an optional chat message telling attendees they are being recorded (Fathom help). Phone calls and uploaded files are not supported (Fathom help), and no applicant tracking system appears on its integrations page. More in Fathom for recruiting. Best for: hiring managers who want a free, searchable record of video interviews.
Otter
Otter's desktop app runs on macOS 12.3 or later and records without a bot; its help center lists Zoom, Google Meet, Teams, Slack Huddles and dialers among the apps it detects, and says you are responsible for notifying participants (Otter help). The free Basic plan gives 300 minutes a month but stops each conversation at 30 minutes; Pro is $16.99 a month or $8.33 a month billed yearly (Otter pricing). See Otter for recruiting for the Recruiting Agent. Best for: occasional interviewers who want an inexpensive, familiar transcript.
Fireflies
Fireflies' desktop app runs on macOS 12 or later with separate Apple silicon and Intel downloads (Fireflies). In system-audio mode it records without a bot and can pick up iPhone calls through FaceTime's Calls from iPhone setting, but it saves no audio file and labels speakers Speaker 1 and Speaker 2 (Fireflies help). It names more applicant tracking systems than any other general note taker here (Fireflies integrations). Best for: in-house teams on Greenhouse, Lever or Ashby who want notes pushed to the ATS.
Jamie
Jamie runs on the device with no meeting bot and names Zoom, Teams and Google Meet (meetjamie.ai); on a Mac it needs macOS 14.4 or later (Jamie quickstart). Its documentation says audio is deleted once the transcript is ready and processing stays in the EU (Jamie data), and that it cannot record phone calls (Jamie mobile). Best for: European teams who want bot-free notes with audio deleted.
Interview Signal
Ours runs on macOS 13 or newer and Windows 10/11. It captures your microphone as the interviewer and the meeting's sound as the candidate, with no bot, beside Zoom, Teams, Meet and phone screens taken through the computer. During the call it shows a live transcript, a question guide from the job description and suggested follow-ups; afterwards it builds a scorecard whose quotes are checked against the transcript and a client submittal in your template. Transcripts stay on your Mac (security). Free includes 20 minutes, hour packs start at $9, and Solo is $49 a month (pricing). Weaknesses: no ATS integration (you paste notes in), desktop only with no mobile or web app, no video recording, a newer product with few public reviews, and phone screens must run through the computer. Best for: recruiters who want a scorecard and submittal from each screen.
How do I transcribe a phone screen on a Mac?
A Mac can handle a phone screen three ways, depending on where the call rings:
- On your iPhone, answered on the Mac. With macOS Tahoe 26, the Phone app records the call and Notes transcribes it. Apple's requirements include the iPhone on the same Wi-Fi network, the same Apple Account on both devices, and calls on other devices turned on (Apple). Both people hear that the call is being recorded.
- Through a softphone or dialer on the Mac. Desktop apps that capture system audio, such as Otter, Fireflies or Interview Signal, can transcribe the call like a video meeting. Test it once with a colleague.
- On a mobile that never touches the Mac. No Mac app can hear it. Otter's help center says calls must be recorded separately and imported (Otter). Our guide to recording a phone screen covers the options.
How should I test a Mac transcription app before a real interview?
- Run a 10-minute call with a colleague on the platform you actually use, with the same headphones and the same Mac.
- Check the speaker labels. If the transcript cannot tell you from the candidate, every quote needs checking by hand.
- Read back the numbers. Salary, notice period and dates are where transcripts go wrong.
- Find where the file lives. On the Mac, in the vendor's cloud, or both, and for how long. Set a retention period before the first real interview.
- Practice the notice. A bot-free app announces nothing by itself. Say a consent line first; our consent script has wording, and the consent guide covers states where everyone must agree.
Which Mac app should you pick?
- You interview in person or on your iPhone, rarely on video: start with Notes and the Phone app.
- You want transcripts that never leave the Mac: MacWhisper.
- You are a hiring manager who types notes anyway: Granola, or Fathom if you want recordings to replay.
- Your company runs Greenhouse, Lever or Ashby: Fireflies, for its listed ATS sync.
- You recruit full time and send scorecards or submittals: Interview Signal, or the recruiting tools in our Metaview alternatives comparison.
If part of your team works on Windows, check the same tools in our AI note takers for Windows comparison: several of them, Fathom's bot-free mode included, behave differently there.
Questions people ask
What is the best free interview transcription app for Mac?
It depends on the interview. As of October 2026, Apple's built-in Notes app records and transcribes audio for free on a Mac with M1 or later, which suits in-person conversations. For video interviews, Fathom's free plan has unlimited recordings with bot-free capture on Mac in beta, and MacWhisper has a free version that transcribes on the device.
Can I record and transcribe a phone screen on my Mac?
Yes. On macOS Tahoe 26, Apple's Phone app can record an iPhone call that you take on the Mac; both people hear an audio notice, and the recording and transcript are saved in Notes. Fireflies' desktop app also captures iPhone calls on a Mac through FaceTime's Calls from iPhone setting, and desktop apps that capture system audio can transcribe a softphone call.
Which Mac transcription apps do not add a bot to the interview?
As of October 2026, Granola, Jamie, MacWhisper and Interview Signal never add a bot, and Otter, Fireflies and Fathom each offer a bot-free desktop mode on Mac alongside their meeting bots. Bot-free capture still needs a notice to the candidate.
Do Mac interview transcription apps need an Apple silicon Mac?
Some do. Apple's Notes transcription and Apple Intelligence summaries need an M1 or later Mac, and Bluedot's Mac app supports Apple silicon only. MacWhisper and Fireflies offer builds that run on Intel Macs, although some MacWhisper features need an M-series chip.
