Otter's Recruiting Agent, as of October 2026, is a set of recruiting features layered on Otter's meeting note taker. Before an interview it summarizes resumes and LinkedIn profiles, matches them to the job description and drafts an interview agenda; during the call it transcribes in real time and flags keywords, sentiment and action items; afterward it writes a summary of strengths, weaknesses and concerns, drafts feedback emails and syncs notes to Greenhouse, which Otter's own page says works through Zapier. Otter publishes no separate price for the agent; its recruiting page lists the Business plan from $19.99 per user per month. It suits in-house teams on Greenhouse who want inexpensive transcripts with recruiting summaries, less so teams that need scorecards, client submittals or an agency ATS.

Disclosure: we make Interview Signal, mentioned once below as an alternative; everything about Otter comes from Otter's own site and help center, linked and dated. For Otter's general strengths in recruiting beyond the agent, see Otter.ai for recruiting.

What does the Otter Recruiting Agent do?

From Otter's Recruiting Agent page and its demo request page, checked October 2026:

StageFeature, in Otter's termsWhat the pages do not say
BeforeAutomatic resume and LinkedIn summaries; job description matching; customizable interview agendas with questions based on the candidate's profileWhether agendas follow your own competencies or interview plan
DuringReal-time transcription; keyword detection (examples given: "strong leadership", "data-driven"); sentiment analysis of the candidate's tone; action item taggingHow sentiment is measured or shown
AfterSummary of strengths, weaknesses and concerns; drafted candidate feedback emails; notes synced to Greenhouse "and other ATS systems"Any ATS other than Greenhouse; any rating or scorecard
Across candidatesCentralized notes for recruiters and hiring managers; patterns or red flags across candidatesWhat counts as a red flag
ScreeningThe demo page adds "Fully automate candidate screening via Agent-led video calls"Anything else about it; no help article or pricing found

The Greenhouse sync deserves a precise reading. The heading says "Automatically sync to Greenhouse", but the text under it says to "Leverage Zapier integrations to automatically push meeting notes to CRM", and the demo page says notes sync "to Greenhouse via Zapier". Otter's integrations directory lists 36 integrations, including Salesforce, HubSpot and Zapier, but not Greenhouse or any other ATS.

How does it capture interviews?

  • With a bot: Otter's Notetaker joins Zoom, Microsoft Teams and Google Meet; those integrations are on every plan, including the free one (pricing).
  • Without a bot: the desktop app for Mac and Windows says it records "without a bot across Slack Huddles, Zoom, Google Meet, and in-person". Microsoft Teams is not named there. The integrations directory gives the requirements as macOS 12.3 or later and Windows 10 or later.
  • On a phone in the room: Otter's iOS and Android apps record in-person conversations; its in-person guide covers microphone placement.
  • Phone screens: the recruiting pages do not mention them. The integrations directory lists Zoom Phone and RingCentral.

One trade-off Otter states itself: its accuracy FAQ says recognition is generally more accurate with the Notetaker, which records the meeting's internal audio stream, than with manual recording through a device's speaker and microphone. Teams that choose bot-free capture for the candidate's sake should test accuracy on that setup.

How much does it cost?

Otter's pricing page, list prices per user, as of October 2026:

PlanMonthly billingYearly billingMeeting minutesLongest conversation
BasicFreeFree300 a month30 minutes
Pro$16.99$8.33 a month1,200 a month90 minutes
Business$30$19.99 a monthUnlimited; 6,000 minutes of imported files4 hours
EnterpriseContact salesContact salesUnlimited4 hours
  • The agent is not mapped to a plan. The pricing page lists Recruiting among its agent use cases without saying which plans include it. The recruiting page shows Basic, Business "from $19.99/month per user" and Enterprise.
  • A minutes puzzle, mostly explained. The recruiting page lists Business with "6000 monthly transcription minutes", while the pricing page says unlimited meeting minutes and 6,000 minutes for imported files. Ask Otter which limit applies to live interviews.
  • Enterprise controls: SSO, SCIM and domain capture, plus HIPAA compliance as an add-on, are listed under Enterprise.

At the Business yearly rate, a five-recruiter team pays $19.99 × 5 × 12 = $1,199.40 a year before any Zapier plan needed for the Greenhouse sync. Compare per-hour and per-seat pricing across tools in AI interview note taker pricing.

What does it do well?

  • Price for what you get. Transcription, summaries and recruiting prep at a per-seat price below most recruiting-specific tools.
  • Bot or no bot. You can choose per meeting, and record in person from a phone.
  • Prep in one place. Resume summaries and agendas next to the transcript save switching tools.
  • Templates you can shape. Otter's custom meeting type templates, available on all plans with limits that vary by plan, let you add named "insights" with your own prompts (each limited to 128 characters) or a longer custom prompt. That is the closest Otter gets to an interview scorecard.
  • Candor about AI limits. Otter's help center says plainly that "no vendor can guarantee no hallucinations" and shows the sources behind AI Chat answers.

Where does it fall short for recruiting?

  • No scorecard. Strengths, weaknesses and concerns are a summary, not ratings against your competencies with evidence. Why that matters in a debrief is covered in why meeting summaries don't work as interview scorecards.
  • No client submittal, and no agency ATS named. Bullhorn, JobAdder, Lever and others are absent.
  • Greenhouse through Zapier, which means another subscription, a workflow someone has to build and maintain, and a check on what lands in the candidate record.
  • Teams without a bot is not named on the desktop page; test it before you rely on it.
  • Sentiment analysis needs a policy decision. If outputs about a candidate's tone feed hiring decisions, check whether rules on automated employment decision tools apply. In New York City, for example, Local Law 144 requires a bias audit within one year of use and notices to candidates for tools in scope. Our NYC Local Law 144 explainer covers how it treats note takers. Not legal advice.
  • Consent practices are in litigation. Otter is the defendant in a putative class action, In re Otter.ai Privacy Litigation, No. 25-cv-06911 (N.D. Cal.), alleging its Notetaker recorded meetings without all participants' consent. On August 13, 2026 the court granted Otter's motion to dismiss in part and denied it in part; the allegations are unproven. Whatever tool you use, ask candidates yourself rather than relying on a bot's join message.

How should you evaluate it?

  1. Pick ten real interviews across your formats: video, phone, in person, and at least one on Teams if you use it.
  2. Run the agent on all ten, half with the bot and half bot-free, after asking each candidate's consent.
  3. Check the summaries against the transcripts: count unsupported claims and gaps smoothed over. The method is in AI note taker hallucinations.
  4. Build one custom template with your competencies as insights and see whether hiring managers can rate from it.
  5. Set up the Zapier sync to a test candidate in Greenhouse and look at exactly what arrives.
  6. Score the trial on the sheet in the AI note taker evaluation checklist.

Questions to put to Otter's sales team before signing:

1. Which plans include the Recruiting Agent, and at what price?
2. Is live interview time on Business unlimited or 6,000 minutes a month?
3. Is Greenhouse sync only through Zapier? What fields does it write?
4. Which ATSs besides Greenhouse are supported, natively or otherwise?
5. How is sentiment analysis calculated, and can it be switched off?
6. What are "agent-led video calls" for screening, and are they available?
7. Does bot-free desktop capture work on Microsoft Teams?
8. Can admins set retention and deletion for interview recordings?

Who should choose it, and who should look elsewhere?

Best for: in-house recruiters and hiring managers on Greenhouse, or with no ATS sync needs, who want inexpensive transcripts, resume prep and readable summaries, and who will rate candidates themselves.

Look elsewhere if:

  • debriefs run on scorecards with evidence, not summaries;
  • you are an agency writing client submittals and working in Bullhorn, JobAdder or a similar ATS;
  • most of your screens are phone calls or Teams interviews without a bot;
  • your legal team will not accept sentiment analysis of candidates.

For that last group, Interview Signal is one alternative: a desktop app with no bot that works beside Zoom, Teams, Meet and phone screens taken through the computer, fills a scorecard with the candidate's quotes checked against the transcript, and drafts a client submittal; it has no ATS integration and no mobile app. There is a head-to-head comparison of the two, and a wider shortlist matched to why teams leave Otter is in Otter.ai alternatives for recruiters.

Questions people ask

What does Otter's Recruiting Agent do?

As of October 2026, Otter describes it as recruiting features on top of its note taker: resume and LinkedIn summaries, job description matching and interview agendas before the call; real-time transcription, keyword detection, sentiment analysis and action items during it; and a summary of strengths, weaknesses and concerns, drafted feedback emails and note sync to Greenhouse afterward.

How much does the Otter.ai Recruiting Agent cost?

Otter does not publish a separate price for it. Its recruiting page lists the Business plan 'from $19.99/month per user', which matches the pricing page's yearly rate; Business is $30 a month billed monthly. The pricing page does not say which plans include the Recruiting Agent, and the agent's demo page is a contact form, so confirm what your plan includes before buying.

Does Otter's Recruiting Agent integrate with Greenhouse or other ATSs?

Otter's recruiting page says notes sync to Greenhouse, and the body text and the agent's demo page say this works through Zapier. Greenhouse is not in Otter's integrations directory as of October 2026, and no other ATS is named, so plan on Zapier for Greenhouse and on copying notes by hand for agency systems such as Bullhorn or JobAdder.

Does Otter's Recruiting Agent score candidates?

Otter's pages describe keyword detection, sentiment analysis and a summary of strengths, weaknesses and concerns, but not a rating against your competencies or an interview scorecard, as of October 2026. You can approximate one with Otter's custom meeting templates or AI Chat, then rate the candidate yourself.

Is Otter's Recruiting Agent good for agency recruiters?

It fits agency work less well than in-house work. Otter names Greenhouse rather than agency ATSs, does not describe client submittals, and its recruiting pages do not cover phone screens. Agency recruiters who mainly need cheap transcripts can still use it, but should expect to write submittals and update their ATS by hand.
