Read AI and Otter.ai are general meeting assistants that join Zoom, Microsoft Teams and Google Meet as a visible participant and also offer desktop apps that record without a bot. For interviews, as of October 2026, Otter is cheaper (Pro $8.33 per user per month billed annually against Read's $15), syncs notes to Greenhouse through its Recruiting Agent, and includes audio playback on every plan. Read AI gives candidates more control: any participant can type "Opt Out" to remove Read and delete the recording. Both free plans are too limited for regular interviewing.
Every vendor fact below comes from Read's and Otter's own sites, checked in October 2026 and linked. For setup detail, see Read AI for interviews and Otter.ai for recruiting.

How does each join, and what can the candidate do about it?
Read's help article on stopping or opting out of a recording is unusually clear about the candidate's side:
- Before the meeting: external invitees may get an email warning that the meeting will be recorded, with an opt-out link. If they use it, Read does not join.
- During the meeting: when Read joins as a participant it posts a chat message. Any participant can type "Read Stop" (Read leaves and keeps a report of what it captured) or "Opt Out" (Read leaves and deletes everything, with no report). The host does not have to approve, and an opt-out stops recording for everyone.
- Desktop and mobile apps: Read records on the user's own device, so chat commands and opt-out links do not apply. Read's advice to anyone who has not agreed is to ask the person recording.
For an interviewer, that means a candidate can delete a Read recording mid-interview, which is fair and worth telling them in advance. It also means a panel member's notes can vanish if one person opts out, so do not rely on Read as the only record of a panel.
Otter's notetaker joins Zoom, Teams and Google Meet to write and share notes, according to its pricing page, and its desktop app records Slack Huddles, Zoom, Google Meet and in-person conversations without a bot. Teams is not named on the desktop page, so test it first. The pricing page's admin and security section lists a recording disclaimer email and Microsoft Teams recording permission capture; ask Otter which plan includes them. The candidate notice is otherwise yours to give; our interview recording consent script has wording.
Will the free plans cover a real interview?
Rarely, and for different reasons:
- Otter Basic caps each conversation at 30 minutes and keeps the 25 most recent conversations. A 45-minute interview is cut short; Pro raises the cap to 90 minutes and Business to 4 hours.
- Read Free allows meetings up to an hour, but only five transcripts a month. A recruiter doing ten screens a week runs out in the first week.
For a hiring manager with one or two interviews a month, Read Free may be enough. For a recruiter, plan on a paid seat with either. Other free options are compared in free AI note takers for interviews.
Which one gets notes into an ATS?
Otter. Its Recruiting Agent page says Otter captures interviews, offers live support, generates structured candidate insights and follow-ups, and syncs everything to Greenhouse and other ATS systems; Greenhouse is the system its integrations page names. Read's integrations page lists no applicant tracking system, and its paid plans list Notion, Salesforce, HubSpot, Jira, Confluence, Zapier and webhooks. With Read, notes reach an ATS through Zapier, webhooks or copy and paste. Our guide to AI note takers for Greenhouse compares other tools that post to Greenhouse.
What does each cost?
Per user per month, from each pricing page as of October 2026:
- Read AI: Free; Pro $15 billed annually or $19.75 monthly (unlimited transcripts, meetings up to 4 hours, premium integrations); Enterprise $22.50 or $29.75 (adds audio and video playback and video highlights); Enterprise+ $29.75 or $39.75 with five or more licenses (HIPAA, SAML and SCIM, custom retention, meetings up to 8 hours).
- Otter: Basic free; Pro $8.33 billed annually or $16.99 monthly (1,200 minutes a month, 90 minutes per meeting, workspaces up to 5 billed users); Business $19.99 billed annually or $30 monthly (unlimited meetings, 4 hours per meeting); Enterprise by demo.
| Example, billed annually | Read AI | Otter |
|---|---|---|
| One recruiter | Pro: $15 × 12 = $180 | Pro: $8.33 × 12 = $99.96 |
| One recruiter who needs playback | Enterprise: $22.50 × 12 = $270 | Pro includes playback: $99.96 |
| Five interviewers | Pro: 5 × $15 × 12 = $900 | Business: 5 × $19.99 × 12 = $1,199.40 |
Watch Otter Pro's limits before buying it for a busy desk: 1,200 minutes is forty 30-minute screens a month (1,200 ÷ 30), and each meeting stops at 90 minutes. A recruiter running more than that should price Business, or compare cost per interview against tools sold by the hour.
Which features need care with candidates?
Read's plans list live notes and metrics, a personalized meeting coach and coaching trends. Engagement and speaking metrics were designed for coaching people in meetings; applied to a nervous candidate they measure style, not ability, and can reflect accent or disability. Otter's Recruiting Agent generates structured candidate insights, which are useful as a summary but are not a rating. If AI output substantially assists a hiring decision, rules such as NYC Local Law 144 may apply. Use either tool to find the candidate's words, and rate them yourself against the job's criteria.
How should you set up either one before interviewing?
- Pick the capture mode per interview. Use the desktop app for screens and for meetings a client hosts; use the visible assistant only when the candidate has been told who, or what, will join.
- Check calendar joining. Both tools can join meetings from your calendar. If interviews share a calendar with internal meetings, decide whether the assistant should join external meetings at all.
- Tell the candidate how to opt out. With Read's assistant, say in the invite that they can type "Opt Out" at any time. With Otter or either desktop app, say they can ask you to stop.
- Limit sharing. Otter describes its notetaker as writing and sharing notes automatically; check Read's report sharing settings too. Interview notes often contain pay and personal details, so send them to the hiring panel, not every attendee or a team channel.
- Set a deletion habit. Copy the evidence you need into your scorecard or ATS, then delete transcripts you no longer need under your retention policy.
Which should you pick?
- Otter, best for: in-house recruiters on Greenhouse, individuals who want the lowest paid price, and anyone who wants to replay audio without an Enterprise plan.
- Read AI, best for: teams that want candidates to be able to stop or delete the recording themselves, Windows 10 users who want a bot-free desktop app, and occasional interviewers who fit inside five hour-long meetings a month.
- Neither, if: you are an agency recruiter writing client submittals, or your screens are mostly phone calls; both are built for video meetings.
We make Interview Signal, one recruiting-specific alternative: a Windows and macOS app with no bot that captures phone screens taken through the computer and writes a scorecard and submittal, with no ATS integration (you paste the output) and few public reviews so far; everything about Read AI and Otter on this page comes from their own sites, linked and dated.
Questions people ask
Is Read AI or Otter better for job interviews?
Otter suits most recruiters as of October 2026: Pro costs $8.33 per user per month billed annually, its Recruiting Agent syncs interview notes to Greenhouse, and every plan includes audio playback. Read AI suits teams that want candidates to have clear control, because any participant can type Opt Out to remove Read and delete the recording, and its free plan allows meetings up to an hour, though only five a month.
Can a candidate stop Read AI or Otter from recording an interview?
With Read AI, yes, when it joins as a participant: Read's help center says anyone can type Read Stop to end recording or Opt Out to remove Read and delete everything for the whole meeting. With either tool's desktop app nothing joins the call, so the interviewer must tell the candidate and stop if they decline.
Is the free plan of Read AI or Otter enough for interviews?
Usually not. As of October 2026 Otter Basic gives 300 minutes a month but caps each conversation at 30 minutes, shorter than most interviews. Read AI Free allows meetings up to an hour but only five transcripts a month. Both are fine for a trial.
Do Read AI or Otter integrate with an ATS?
Otter does: its Recruiting Agent page says interview notes and insights sync to Greenhouse and other ATS systems, and Greenhouse appears on its integrations page. Read AI's integrations page lists no applicant tracking system as of October 2026; its paid plans connect to Notion, Salesforce, HubSpot, Jira, Confluence, Zapier and webhooks.
