AI notetaker for Greenhouse: where each tool writes back, and the Harvest v3 check

Greenhouse has its own notetaker, so the question for most Greenhouse customers is not which tool to buy but where each option puts its output. Greenhouse Notetaker drafts notes question by question inside the scorecard. Metaview fills parts of the scorecard and posts comments. BrightHire syncs notes and fills scorecards through an integration user. Fireflies writes to the activity feed. Noota adds a note and can fill candidate fields. Those differences decide what a hiring manager actually sees at the debrief.
This page sets out what Greenhouse does natively and exactly how each integration writes back, as of October 2026, with a link to every page we checked. What Greenhouse does natively
From the Greenhouse Notetaker product page, the setup guide, the article on using it and the security and privacy FAQ, as of October 2026:
- Plans and switch-on: available on the Core, Plus and Pro tiers. It is off by default; a Site Admin enables it under Configure, AI Tools, for all interviews or only those scheduled from then on.
- Credits: usage draws from your organization's credits, and one credit is used each time a Notetaker joins an interview. Greenhouse does not publish a price.
- Capture: Zoom, Google Meet and Microsoft Teams. It joins one minute before the start as a participant tile. Phone and in-person interviews are not supported, and transcription is English only.
- Consent: candidates consent through self-schedule or availability requests. If a candidate withdraws consent after scheduling, Greenhouse removes the Notetaker automatically.
- Output: a recording and transcript tab, "question notes" for each interview question with timestamps, and an overall summary.
- Into the scorecard: the interviewer clicks "Add to summary" under each generated section. A Key Takeaways section is for the interviewer's own evaluation, and Greenhouse shows a reminder if generated notes are submitted without it, though it does not block submission.
- Who sees it: Job Admins need "Can view interview recordings and transcripts on other scorecards" to see other interviewers' recordings.
- Retention and processors: retention up to 60 days. The FAQ names Recall.ai for the meeting bot and transcription, hosted on U.S. servers, and OpenAI as the current language model provider.
The native tool has one structural advantage no integration fully matches: its notes are generated against the scorecard questions in the interview kit, so they arrive already organized the way your debrief reads them.
How each integration writes back
As documented by each vendor or by Greenhouse, as of October 2026. "Not stated" means the pages we checked do not say.

Metaview
Metaview's Greenhouse guide describes a v3 connection using OAuth: a Greenhouse Site Admin authorizes a fixed set of permissions, and Metaview recommends authorizing with a service account so the connection survives a person leaving. Create Note is required; Update Scorecard, Advance Application and Reject Application are among the optional permissions.
- Scorecards: Metaview fills parts of the scorecard from what was said and deliberately leaves blank fields that call for judgment.
- Comments: it posts notes or a link as a comment on the candidate's profile. Comments must come from a Greenhouse user, so by default Metaview posts as a site admin. To have comments appear from "Metaview", create a user with the email metaview@ your domain and make it a full site admin.
- The Metaview Notes section: add a scorecard section titled exactly "Metaview Notes" and the Chrome extension pulls the whole note template into it with "Autofill with Metaview". It does not overwrite sections the interviewer has already filled in.
- Matching: interviews scheduled in Greenhouse are captured automatically; other calls are matched within about 30 minutes, and the meeting type must be Job interview or Debrief.
The admin-user point is worth deciding deliberately. A full site admin account created only for a notetaker is a powerful account; your security team may prefer comments to post as an existing admin instead.
BrightHire
Greenhouse's own BrightHire integration article (last updated September 21, 2026) says the integration lets teams schedule and launch interviews, sync interview notes to candidate records and fill out scorecards. Interviews scheduled in Greenhouse with a phone number or video link are recorded and transcribed, and AI notes are emailed to the interviewer. Setup creates an integration user at a brighthire.ai address with Site Admin permission, a Harvest API key, and two webhooks: one for deleted interviews and one for anonymized candidates, which BrightHire's data retention feature relies on. BrightHire is now part of Zoom (Zoom's announcement) and does not publish prices.
Fireflies and Noota
Fireflies' Greenhouse guide matches meeting participants to candidates by email and writes notes to the candidate's activity feed. By default it creates a new candidate in Greenhouse when no match is found, which you can switch off; do so before your first sync, or internal meetings with outside guests may create stray candidates. Private meetings sync only for Super Admins. Noota's Greenhouse page says it exports the interview summary as a note and can fill individual candidate fields, and it captures by bot, browser extension or a recorder for face-to-face interviews.
The Harvest v3 check
Greenhouse's Harvest API documentation states that the Harvest v1/v2 API is deprecated and was to be removed on August 31, 2026, with integrations moving to Harvest v3. That matters for notetakers because write-back is exactly what breaks quietly: the call is still recorded, but the note never reaches Greenhouse.
- Metaview documents a v3 OAuth connection and keeps a separate page for its legacy v1 integration. If you connected Metaview before v3, check which one you are on.
- Fireflies asks for a Harvest key with "Candidates from Harvest V1" permission in the guide we checked.
- BrightHire setup in Greenhouse's article still describes creating a Harvest API key.
We could not confirm from these pages whether those two connections have since moved to v3. Ask each vendor in writing, then run one test interview per tool and confirm the note, comment or scorecard content appears.
Phone screens and in-person rounds
The native notetaker does not capture phone or in-person interviews. Greenhouse's BrightHire article says BrightHire records interviews scheduled with a phone number. How to choose
- Scheduled English video interviews are most of your volume: start with Greenhouse Notetaker. Its notes are already mapped to your scorecard questions.
- You want scorecard pre-fill plus phone screens: Metaview, with the Metaview Notes section set up and the admin-user question settled.
- You want an interview intelligence platform with phone recording on scheduled calls: BrightHire, after confirming its API version.
- The company already uses Fireflies or Noota for other meetings: their integrations put notes in the activity feed or a note, not in scorecard questions, which suits recruiter screens more than structured loops.

Standalone tools, and who each option suits
Interview Signal has no Greenhouse integration. It is a desktop app with no bot that captures audio on the interviewer's computer, including phone screens, and exports a scorecard quoting the candidate that you paste into Key Takeaways.
