AI notetaker for Gem: Gem ATS versus Gem on top of another ATS, and what BrightHire and Metaview write
On this page
"Gem" means two different setups, and the notetaker question depends on which you have. Some teams run Gem as their whole recruiting system, using Gem ATS. Many others use Gem's CRM, sourcing and scheduling on top of another ATS, most often Greenhouse or Workday. Notetakers attach to the ATS, so a Gem CRM team on Greenhouse should be reading about Greenhouse integrations, not Gem ones.
For Gem ATS customers, two interview intelligence tools document a direct connection as of October 2026: BrightHire and Metaview. Gem itself summarizes interviewer feedback with AI but does not record interviews. This page covers what Gem does natively, exactly what each integration writes, and how to choose. Every vendor fact links to the page we checked.
Which Gem do you have?
Gem's pricing page sets out the split: "Gem + Your ATS" adds AI sourcing, outreach, scheduling and analytics to an existing ATS, while "Gem All-in-One" includes Gem's own ATS. A startup program for companies of 1 to 10 employees lists $130 a month on yearly payment, including the ATS. Larger plans are priced by headcount.
- Gem All-in-One or the startup program: your interviews and scorecards are in Gem ATS. Read on.
- Gem on top of Greenhouse: interviews and scorecards are in Greenhouse. See our Greenhouse notetaker guide.
- Gem on top of Workday: see our Workday notetaker guide.
Metaview's own Gem guide makes the same distinction: its integration is designed for Gem ATS, and CRM-only teams cannot use its scheduling or scorecard features even with a valid key.
What Gem ATS does natively
From Gem's ATS page, as of October 2026:
- Scheduling: book interviews directly from the candidate pipeline, plus self-scheduling and panel scheduling described on the pricing page.
- AI Scorecard Summaries: after every interview, Gem generates a structured summary from interviewer feedback, so the team can debrief with full context.
- Integrations: the page names BrightHire and CodeSignal among the tools Gem works with.
The summaries work from what interviewers write in their scorecards. Evidence-rich scorecards produce useful summaries; one-line scorecards produce thin ones. That is where a notetaker earns its place.
How each integration writes back
| Tool | Setup | What reaches Gem | Limits noted |
|---|---|---|---|
| BrightHire | Gem admin creates an API key; BrightHire Site Admin adds it | Interview shown in the Gem scorecard; one-click fill with time-stamped notes | Detailed feature limits not published |
| Metaview | Gem API key entered in Metaview; sync up to 48 hours | Notes posted with one click, links to notes, submitted scorecards, stage moves | Gem ATS only; no rejection write-back |
BrightHire
BrightHire's Gem integration article has a Gem admin create an API key under Team Settings, Additional Settings, and a BrightHire Site Admin add it under a new integration. Its guide for interviewers describes what happens next:
- Before and during: BrightHire's Interview Assistant pulls candidate information and custom questions from Gem.
- After: the BrightHire interview appears in the Gem scorecard, and interviewers fill the scorecard with time-stamped BrightHire or AI notes in one click.
- Setup options: positions import from Gem with Auto-Join, filtered by department and location, and a Chrome extension works inside Gem.
Gem's partner directory describes the integration as keeping candidate, application, position, user and interview data in sync. BrightHire is now part of Zoom and does not publish prices.
Metaview
Metaview's Gem ATS guide uses the same Gem API key, entered in Metaview. The key authorizes the connection as a whole; there are no individual permissions to choose. Required access covers candidates, applications, jobs, scheduled interviews, scorecards, users and adding a note to a candidate; optional features use creating candidates, moving applications and submitting scorecards.
- Notes and links: post notes to Gem with one click, and links to Metaview notes are added automatically.
- Scorecards: Metaview fills parts of the Gem feedback form and leaves judgment fields blank. It does not submit automatically; the interviewer clicks Submit Feedback.
- Capture: interviews scheduled in Gem are captured automatically; the meeting type must be Job interview or Debrief for matching.
- Rejections: Gem's API does not support rejecting an application, so Application Review rejections in Metaview cannot be written back.
Gem's partner directory listing for Metaview shows a special offer of one year free for Gem ATS customers, as of October 2026; confirm the terms with Metaview. Its standard pricing is a free tier of 25 calls a month and Pro at $60 a user a month (pricing).
The rejection gap
The missing rejection write-back is small but worth planning for. If recruiters review applications in Metaview and reject there, the rejection stays in Metaview and the candidate remains open in Gem. Either reject in Gem, or make someone responsible for closing the loop daily, so candidates get their rejection email and your pipeline reports stay accurate.
The same applies to stage moves. Metaview can move applications between stages in Gem, which is convenient for a recruiter working through a review queue. Decide who may do that from Metaview, and check Gem's activity history after the first week to confirm moves are attributed in a way your team can audit.
Phone screens
Gem's pages do not describe call recording. Metaview's phone calls guide describes calling through its own number, and BrightHire's integrations page describes click-to-call from the ATS in general; ask whether that applies to Gem. Our guide to recording a phone screen covers other routes.
How to choose
- Interview guides and coaching matter as much as notes: BrightHire, whose Interview Assistant pulls Gem's custom questions into the call.
- A low-cost start for a startup on Gem ATS: Metaview, especially if the directory offer applies.
- You use Gem's CRM with another ATS: pick from that ATS's integrations.
Our Metaview vs BrightHire comparison goes deeper on the two platforms.
A two-week trial on Gem ATS
Both integrations use the same kind of Gem API key, so a fair comparison is practical for a small team:
- Create the API key from a shared admin account, not a personal one, so the connection survives someone leaving.
- Pick one job with at least eight interviews coming up, scheduled from Gem so both tools can pick them up.
- Run one tool per interview, alternating, and never two on the same call. Tell candidates which one is recording.
- After each interview, note how long the scorecard took and whether anything in the draft notes was wrong.
- At the debrief, read Gem's AI Scorecard Summary for the candidate and ask whether it cites what was actually said.
The last step is the useful one. The point of a notetaker on Gem ATS is better scorecards, and better scorecards should show up as better summaries. If the summaries look the same as before, interviewers are not using the notes.
What to test before rollout
| Check | Pass looks like | Result |
|---|---|---|
| Right system | The notetaker is connected to the system where scorecards are actually completed | |
| Key ownership | The Gem API key belongs to an admin account that will not be deactivated | |
| Scorecard fill | Notes land in the scorecard; ratings are entered by the interviewer | |
| Rejections | Candidates rejected anywhere are rejected in Gem | |
| Summaries | Gem's AI Scorecard Summaries cite evidence from the filled scorecards | |
| Deletion | A candidate's recording and transcript can be deleted in both systems |

Standalone tools, and who each option suits
Interview Signal has no Gem integration. It is a desktop app with no bot that captures audio on the interviewer's computer, including phone screens, and exports a scorecard quoting the candidate that you paste into the Gem scorecard.
- BrightHire: Gem ATS teams wanting interview guides, notes in the scorecard and analytics.
- Metaview: Gem ATS teams wanting a free tier and scorecard submission from the notetaker.
- Your ATS's notetaker: Gem CRM teams on Greenhouse or Workday.
Questions people ask
Does Gem have a built-in AI notetaker?
Not that we could find as of October 2026. Gem's ATS page describes AI Scorecard Summaries, which generate a structured summary from interviewer feedback after each interview, and lists BrightHire among the tools it works with. It does not describe Gem recording or transcribing interviews.
How does BrightHire work with Gem?
A Gem admin creates an API key under Team Settings, Additional Settings, and a BrightHire Site Admin adds it in BrightHire. BrightHire's help center says the interview then appears in the Gem scorecard, interviewers can fill the scorecard with time-stamped BrightHire or AI notes in one click, and BrightHire pulls candidate information and custom questions from Gem into its Interview Assistant.
Does Metaview work with Gem if we only use Gem's CRM?
Not fully. Metaview's help center says its Gem integration is designed for Gem ATS customers, and teams using only Gem's CRM cannot use scheduling or scorecard features even with a valid API key. If your ATS is Greenhouse or Workday with Gem on top, connect the notetaker to that ATS.
Can Metaview reject candidates in Gem?
No. Metaview's Gem guide says Gem's API does not support rejecting an application, so rejections made in Metaview's Application Review cannot be written back to Gem, as of October 2026. Notes, scorecard submission and stage moves are supported.
