Invenias by Bullhorn has an AI Assistant for drafting, but no notetaker, so call notes come from a partner or from your own typing. As of October 2026 six Bullhorn Marketplace partners are tagged for the Invenias platform; among them CoRecruit says it captures calls without a bot and writes structured notes to the Invenias Person record, Ringover adds call transcription and AI summaries, and SourceWhale's listing describes a Notetaker for video calls. Without a partner, notes go in as Journal actions.
This page covers what Invenias is today, what its AI does, which partners write notes into it and how, the Journal route step by step, and the discretion questions that matter in executive search. Facts link to the pages we read, dated October 2026. If your firm runs Bullhorn's main ATS instead, see our AI notetaker for Bullhorn page; the two products have different partner lists. Firms comparing search systems can also read our pages on Thrive TRM, Clockwork and Ezekia.
Is Invenias still sold, and who is it for?
Yes. Bullhorn's Invenias product page describes Invenias by Bullhorn as a boutique executive search platform, citing 18 years in market and 700+ global customers with 10,000 users. It is built around Outlook, with a desktop application and a web application that gained offers and placements, fee allocations and client sharing during 2026. Bullhorn's executive search page mentions 12+ pre-integrated Invenias partners. Prices are not published.
One practical note from the 2026.04 release notes: the Invenias desktop application is no longer supported on Windows 10, so check that any note taker you add also runs on your firm's Windows 11 machines.
What does Invenias's own AI do?
From the Invenias knowledge base article on using AI Assistant on a Person record and the Assignment record version:
- What it is: Invenias AI Assistant, an optional feature you request from your Invenias account manager, which connects to OpenAI or Azure OpenAI.
- What it drafts: profile summaries, emails and more from preset prompts, including Pitch Candidate for an Assignment, Draft Interview Questions and Write Rejection Letter, plus your own prompts with Ask Me Anything.
- What it reads: the CV/Resume pane, your own user details, and the Assignment Name, Company Name and External Assignment Brief.
- Output: you refine the text, then copy it into an email.
AI Search, which answers natural-language questions about your Invenias data, is in alpha and was extended to Company records in the 2026.10 release. Neither feature records or transcribes a call, and the knowledge base does not mention Bullhorn's Amplify Transcribe for Invenias, so ask Bullhorn if you were hoping to use it.
Which marketplace partners write call notes into Invenias?
We filtered the Bullhorn Marketplace by its Invenias platform tag in October 2026. Six partners carry it: Coral Starfish, CoRecruit, Daxtra, Kyloe Partners, Ringover and SourceWhale. Three capture conversations:
| Partner | What its listing or own page says | Where notes land |
|---|---|---|
| CoRecruit | Listing: captures phone calls, VoIP, video meetings, WhatsApp and in-person meetings with botless recording, and updates Bullhorn and Invenias | Activity section of the linked Person record, categorized by Invenias Note Action Types (CoRecruit's Invenias page) |
| Ringover | Listing and Ringover's integration announcement: calls, SMS, WhatsApp, AI transcriptions, call summaries and analysis integrated into Invenias | Not detailed for Invenias; the listing describes Bullhorn notes |
| SourceWhale | Listing: a Notetaker that joins Teams, Meet and Zoom calls, transcribes and summarizes; SourceWhale's integrations list includes Invenias | The listing text says notes are auto-logged to Bullhorn; ask whether the Notetaker writes to Invenias |
The other three tagged partners are a market intelligence tool, a search and matching tool, and Kyloe's consulting and data tools, not note takers. Metaview, which documents Bullhorn, Thrive and Ezekia, has no Invenias guide in its help center.
How CoRecruit connects
CoRecruit's Invenias page says it connects with a Client ID and Secret generated in the Invenias API portal, pushes structured notes to the Activity section of the relevant Person record after every call, and lets you map your Invenias Note Action Types (interview, intake call, reference check, client conversation) to meeting types from a dropdown. Its notetaker page lists Zoom, Teams, Meet, WhatsApp, cell phone, VoIP and in-person capture with no visible bot.
How do you log notes in Invenias without an integration?
From the knowledge base article on Actions and Journal:
- Pick the action. Invenias records activity as actions (Telephone, Note, Email, Document, Send CV, Interview, Task, Feedback, Appointment and Meeting) saved to the Journal.
- Save it to every record it concerns. An action can be saved to People, Company, Assignment and Programme records; started from a candidate in an Assignment, those fields fill in automatically.
- Set the Type. Types such as Business Development or Candidate update are configurable; agree one for candidate interviews so reports count them.
- Paste the summary into the central section, and set the date and time of the call if you are logging it later.
- Use Confidential and Pin. Confidential hides the item from users in lower permission groups than the owner; Pin to Journal keeps it at the top of each record's Journal.
- For Outlook meetings, the Meeting Notes button in the Invenias section of the appointment toolbar saves notes back to Invenias, where they appear in the Journal tab.
Our guide to AI notes without an integration covers the routine for any system.
How do the realistic options compare?
We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. As of October 2026.
| Option | How it captures the call | Bot or no bot | Phone screens | Invenias link | Published price | Best for |
|---|---|---|---|---|---|---|
| CoRecruit | Cell phone, VoIP, WhatsApp, Zoom, Teams, Meet and in person | No visible bot | Yes | Notes to the Person record Activity section, with Note Action Types | From $85 per user a month on an annual term, or $64 paid annually upfront; 7-day trial (pricing) | Consultants whose calls happen on mobile, WhatsApp and in person |
| Ringover | Its own phone system, with transcription and AI summaries | No bot on phone calls; its video meeting recorder is a bot | Yes, calls made through Ringover | Integration announced with Invenias; note placement not detailed | Business plan, which lists 100+ native integrations, $49 per user a month with a 12-month commitment, 3-user minimum | Firms willing to move their phone lines to get call summaries |
| SourceWhale Notetaker | Records and transcribes video meetings | Joins Teams, Meet and Zoom calls, per its listing | Its dialer records its own calls, per its listing | Tagged for Invenias; Notetaker write-back not stated | Not published | Firms already using SourceWhale for outreach |
| Interview Signal | Desktop app on the interviewer's Windows or Mac computer | No bot | Yes, when the call runs through the computer | None; you paste into a Journal action | Free 20 minutes; 5 hours $29; Solo $49 a month | Consultants who want transcripts kept on their own computer and quote-backed notes |
Interview Signal has no Invenias integration: you copy or export the scorecard and paste it into a Note or Telephone action. Its ready-made note formats are for Bullhorn, Greenhouse, Lever and JobAdder, not Invenias. It is desktop only, does not record video, is a newer product with few public reviews, and calls must run through the computer, so a call on your mobile is not captured.
What should search firms check for discretion and consent?
- Confidential searches. A named bot joining a call with a sitting executive can be a problem. A botless or desktop capture shows nothing, so the notice has to come from you.
- Spoken consent on every call. Our consent script and calls across state lines cover wording and the stricter rule.
- UK and EU candidates. Bullhorn says Invenias includes GDPR tools for consent requests and notices; a transcript is personal data with its own lawful basis and retention period. See recording interviews under UK GDPR.
- Confidential journal items. Use the Confidential flag for compensation and off-limits reasoning so it does not reach colleagues in lower permission groups or client deliverables.
This is not legal advice.
What should you test before rollout?
| Check | Pass looks like | Result |
|---|---|---|
| Record matching | Notes land on the existing Person, not a duplicate | |
| Action type | Notes use the Note Action Type your reports count | |
| Assignment link | The note is saved to the Assignment the call was about | |
| Confidentiality | Sensitive notes are marked Confidential and hidden from the right users | |
| Client portal | Nothing from the note taker appears in client-shared documents | |
| Deletion | A transcript can be deleted in the partner tool as well as in Invenias |

Who should pick which option?
- CoRecruit: best for Invenias firms that want notes written to the Person record automatically from mobile, WhatsApp, video and in-person conversations.
- Ringover: best for firms ready to change phone systems to get transcription, summaries and click-to-call alongside Invenias.
- SourceWhale Notetaker: best for firms already on SourceWhale, after confirming that notes reach Invenias and not only Bullhorn.
- Interview Signal: best for consultants who want no bot, transcripts on their own computer and are happy to paste; see Interview Signal for executive search.
Questions people ask
Is Invenias still sold?
Yes. As of October 2026 Bullhorn sells it as Invenias by Bullhorn, an executive search platform, on its own product page, and the Invenias knowledge base published its 2026.10 release in October 2026, adding AI Search on Company records and client sharing in the web app.
Does Invenias have an AI notetaker?
No. Invenias AI Assistant, an optional feature that connects to OpenAI or Azure OpenAI, drafts emails, profile summaries, candidate pitches, interview questions and rejection letters from Person and Assignment records, and AI Search is in alpha. Neither records or transcribes calls, as of October 2026.
Which AI note takers integrate with Invenias?
Six Bullhorn Marketplace partners are tagged for the Invenias platform as of October 2026. Of those, CoRecruit says it captures calls and writes structured notes to the Activity section of the Invenias Person record, Ringover offers call transcription and AI summaries for Invenias users, and SourceWhale's listing describes a Notetaker for Teams, Meet and Zoom calls.
How do you log interview notes in Invenias without an integration?
Create a Note or Telephone action and save it to the Person, Assignment and Company records it concerns; you can mark it Confidential or Pin to Journal. For Outlook meetings, the Meeting Notes button in the Invenias section of the appointment toolbar saves notes back to the Journal, according to the Invenias knowledge base.
