As of October 2026, the AI note takers built for, or wired into, executive search are CoRecruit (which positions itself for search firms and syncs with Clockwork, Thrive, Ezekia and Invenias), Metaview (integrations with Clockwork, Thrive and Ezekia) and Atlas (a search and agency platform with its own note taker). General tools such as Granola and Otter add bot-free and in-person capture without search-CRM sync. The best fit depends on three things executive search cares about more than most desks: discretion, long and in-person conversations, and getting notes onto the right contact record.

We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. If you run an agency desk rather than retained search, our staffing agency buyer's guide is the better starting point.

What does executive search need from an AI note taker?

  • Discretion on the call. Many candidates are sitting executives who took the call quietly. An unfamiliar vendor name in the participant list invites the question "who else is listening?" at the worst moment.
  • Long conversations. A first meeting with a CFO candidate can run 90 minutes or more. Per-call caps that suit a 20-minute screen cut these off.
  • Meetings away from a desk. Breakfasts, client offices and conference corridors are where search work happens. Phone and in-person capture matter.
  • Search CRM sync. Notes belong on the contact in Clockwork, Thrive, Ezekia, Invenias or FileFinder, where the research team will find them next year, not in someone's personal app.
  • Candidate reports. The deliverable is a write-up the client reads, built from evidence, not a meeting summary.
  • Retention and access. Long-lived relationship data about senior people needs a clear retention period and a clear list of who can read it.

As published by each vendor, checked as of October 2026. "Not listed" means we did not find it on the vendor's site, not that it is impossible.

Each option, and who it suits

CoRecruit

CoRecruit's homepage headline is about making "executive search and recruitment firms more profitable," and it lists capture across Zoom, Teams, Meet, WhatsApp, cell phone and VoIP, plus in-person notes while visiting a client or candidate (corecruit.com). Its integrations page names Clockwork, Thrive, Ezekia, Invenias and Cluen alongside agency systems. Clockwork's own partner page describes Quil, CoRecruit's former name, posting notes to the matching contact's record in Clockwork (Clockwork partners). Pricing runs from $85 per user per month on an annual term, or $64 paid upfront, on a 12-month minimum term with a 7-day trial (CoRecruit pricing). Best for: retained search firms that want one tool for calls, in-person notes and CRM updates. Watch for: the annual commitment, and FileFinder was not on its integrations list when we checked. Our CoRecruit alternatives page goes deeper.

Metaview

Metaview's integrations page lists Clockwork, Thrive and Ezekia among many ATSs. Thrive's own Metaview integration page describes notes synced to Thrive contacts and better people-search results based on Metaview notes. Metaview's notetaker joins video calls as a participant, and phone calls use its switchboard (Metaview FAQ). Its security page says it is SOC 2 Type II certified, hosts data in an AWS UK environment, and keeps data for two years by default, changeable on request. Best for: Thrive or Clockwork firms whose candidate meetings are scheduled video calls. Watch for: a bot in the call with a candidate who is still employed.

Atlas

Atlas calls itself an all-in-one AI recruitment platform for enterprise agencies, with an Executive Search Reports feature and an AI note taker (recruitwithatlas.com). Its note taker page says that if you do not invite the Atlas bot to an event, it will not record (Atlas). Published prices are £105 per user per month for Basic and £135 for Premium on a 12-month commitment; the pricing page does not say which plan includes the note taker (Atlas pricing). Best for: firms ready to change their whole search system. Watch for: it is a platform decision, not a note-taker add-on.

Granola

Granola runs on macOS, Windows, iOS and Android, captures device audio without joining the meeting, and says its mobile app covers phone calls (Granola). Enterprise at $35 per user per month adds SSO and org-wide auto-deletion (pricing). Its security FAQ says audio is deleted after transcription, notes are stored on AWS in the United States, and on Free and Business plans anonymised data may be used for model improvement unless you opt out (Granola FAQ). Best for: partners who want discreet notes on calls, dinners and drives. Watch for: no search CRM sync, so notes stay in Granola unless someone moves them.

Otter.ai

Otter Business allows up to 4 hours per conversation, against 90 minutes on Pro and 30 minutes on the free plan, at $30 per user per month or $19.99 billed yearly (Otter pricing). Its desktop app records Zoom, Google Meet, Slack Huddles and in-person conversations without a bot (Otter desktop). Best for: long first meetings on a small budget. Watch for: no named search CRM integration, and a general meeting summary is not a candidate report.

Interview Signal

Ours is a desktop app for Windows and macOS that captures audio on your computer, so nothing joins the call. It builds a question guide from the job description, scores answers with the candidate’s own quotes checked against the transcript, and drafts a client submittal in your template. Transcripts, quotes and candidate names stay on the consultant's computer (security). Best for: consultants who want discretion and a structured write-up. Watch for: no ATS or search CRM integration (you paste notes in), no mobile app, and it is a newer product with few public reviews.

  1. Tell the candidate, every time. A senior candidate who discovers a transcript later loses trust in the firm, not the tool. Use a short spoken line; the consent script has wording.
  2. Pause for the sensitive part. Compensation detail, a reason for leaving that involves the current board, or a health matter may not need to be in a transcript at all.
  3. Separate notes from the report. The client should receive evidence and your judgment, not a raw transcript.
  4. Set retention per search. Decide how long transcripts live after the search closes, separately from the relationship notes you keep on the contact.
  5. Limit access. Not every researcher needs every partner's candidate conversations.

How do you choose?

  • You live in Clockwork, Thrive or Ezekia: shortlist CoRecruit and Metaview, and ask each to post a test note to a real contact.
  • A bot in the call is unacceptable: CoRecruit, Granola, Otter's desktop app or Interview Signal.
  • Half your meetings are in person: CoRecruit or Granola's mobile app.
  • You want a structured write-up from each meeting: CoRecruit, Atlas's reports, or Interview Signal's template.
  • You are a solo consultant: Granola Business or Interview Signal Solo, then paste into your CRM.

Test with the hardest call you have, not the easiest: a 90-minute candidate meeting with a poor line, followed by a reference call. Our executive search screening questions and reference call script make good trial material.

Questions people ask

Which AI note taker integrates with Clockwork or Thrive?

As of October 2026, CoRecruit lists Clockwork, Thrive, Ezekia, Invenias and Cluen among its integrations, and Metaview's integrations page lists Clockwork, Thrive and Ezekia. Thrive also has its own Metaview integration page describing notes synced to contacts. Ask either vendor to show a note landing on a real contact record before you buy.

Is there an AI note taker for in-person executive search meetings?

Yes. CoRecruit says it captures notes while you visit a client or candidate, Granola has iOS and Android apps for meetings on the go, and Otter's desktop app records in-person conversations. Tell the candidate before you start; a quiet restaurant table is still a recorded conversation.

Do AI note takers join executive interviews as a bot?

Some do. Metaview and Atlas use a bot that joins the meeting. CoRecruit describes note-taking with no visible bot, Granola captures device audio with no bot, and Interview Signal captures audio on the interviewer's computer. For senior candidates who are still employed, many firms prefer a tool that adds nothing to the call.

How long do AI note takers keep executive candidate data?

It varies. Metaview's security page gives a default retention of two years that customers can change, Granola keeps notes until you set an auto-deletion period, and Interview Signal keeps transcripts and notes on the consultant's own computer. Set retention to match your firm's policy before the first search.
