For in-house recruiters, the best AI note taker as of October 2026 is the one that fits your ATS and your interview platform. Metaview is the best fit for teams that want draft scorecards in almost any ATS at a published price ($60 per user per month, with a free plan); BrightHire suits Zoom-first enterprises; Greenhouse Notetaker and Ashby AI Notetaker are the low-effort choice if you already run those systems; and Screenloop suits teams ready to replace their ATS. Bot-free desktop apps suit interviewers whose candidates or hiring managers do not want an extra participant on the call.

We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. This page is for in-house talent teams; agency recruiters should start with our broader guide for recruiters, and hiring managers choosing for themselves with the hiring manager guide.

What does an in-house recruiter need from an AI note taker?

An in-house recruiter's problem is rarely their own notes. It is everyone else's: hiring managers who submit scorecards late or thin, interview loops where three people ask the same question, and a security team that has to approve anything touching candidate data. That shifts the requirements:

  • Scorecards in the ATS. The output that matters is a completed scorecard on the right candidate record, ideally drafted for the interviewer to review and submit.
  • Seats for occasional interviewers. Twenty hiring managers who interview twice a month change the cost far more than four recruiters do.
  • Calls you do not host. Hiring managers book their own meetings; a bot that waits for a host to admit it will miss some of them.
  • A security review you can pass. Where transcripts are stored, for how long, and how one candidate's data is deleted.
  • Some phone screens. Fewer than an agency desk, but recruiter screens by phone still happen.

Which AI note taker is best for each in-house setup?

  • Any ATS, want scorecards drafted and a visible price: Metaview.
  • Enterprise on Zoom, many hiring managers, quality analytics wanted: BrightHire.
  • Already on Greenhouse or Ashby, interviews mostly scheduled video: their built-in note taker.
  • Planning an ATS change anyway: Screenloop, which bundles ATS and interview intelligence.
  • Phone, video and in-room interviews in one tool: HireLogic.
  • The company already pays for Fireflies: Fireflies, accepting fewer ATS links.
  • No bot on any platform, notes kept on the interviewer's computer: Interview Signal.

Should you start with the note taker built into your ATS?

For many in-house teams, yes, at least as the first test. It adds no vendor and no extra security review, and the notes land where hiring managers already work.

  • Greenhouse Notetaker joins Zoom, Google Meet or Microsoft Teams interviews automatically, drafts question notes and a summary mapped to scorecard questions with timestamps back to the recording, and lets interviewers add the notes to the scorecard in one click. Candidates consent through self-scheduling or availability requests, and Site Admins set retention up to 60 days. It is on Greenhouse's Core, Plus and Pro tiers (Greenhouse). Its security FAQ says in-person and phone interviews are not supported and the bot appears as "Greenhouse Interview Notetaker."
  • Ashby AI Notetaker joins your meetings as a participant, drafts feedback form submissions for you to review, edit and approve, and feeds transcripts to Ashby's AI Candidate Assistant. Each plan includes 500 interviews to try it at no extra cost and no expiry; Foundations customers see pricing in the product, and Plus and Enterprise pricing is by quote (Ashby).
  • Lever said in a September 2025 post that AI interview transcripts and summaries are included in its core subscription. We could not open Lever's help center to confirm current limits in October 2026, so check with your account manager.

Where built-ins fall short: phone screens, interviews scheduled outside the ATS, and any team that does not want a bot on the call. Our Greenhouse Notetaker alternatives page covers those gaps, and most of it applies to Ashby too.

The AI note takers for in-house teams, one by one

Metaview

Metaview's notetaker joins Zoom, Teams, Meet and Webex as a visible guest named after your company, and a desktop app for Apple Silicon Macs on macOS 14.2 or later and Windows 10 or later records without a bot once an admin enables it. Admins can have it draft a scorecard after every interview for the interviewer to review, or post it to the ATS automatically (workspace settings). Data is hosted on AWS in the UK with a two-year default retention (privacy). Best for: in-house teams on almost any ATS that want hiring managers' scorecards drafted for them. Weak spots: a bot by default, and hosts must admit it within five minutes. See our Metaview review.

BrightHire

Owned by Zoom since December 2025 (Zoom), BrightHire runs inside Zoom without a per-call bot, drafts ATS scorecards that interviewers submit in one click, and adds interview planning, topic coverage, coaching and an AI interviewer in higher plans. SSO and role-based access are listed from its Teams plan. Best for: Zoom-first enterprises with many hiring managers and uneven interview quality. Weak spots: no published price; Teams needs a recorder address on every invite. See our BrightHire review.

Screenloop

Screenloop is an ATS with interview intelligence, references, background checks and interviewer training built in, and its notetaker also plugs into six other ATS. On Zoom it uses Zoom cloud recording (Zoom Pro or higher); on Meet a notetaker named after your organization joins; Teams needs an active ATS integration. Its notetaker auto-fills scorecards and supports interviews in more than 35 languages (interview intelligence). Best for: teams already planning to change ATS. Weak spots: depends on interviews scheduled through the ATS; no published price. See Metaview vs Screenloop.

HireLogic

HireLogic joins Zoom, Teams or Meet when invited by email, listens to phone calls you conference it into, and records in-person interviews through a companion app. It matches the conversation against the job description, flags potentially discriminatory questions, and says it does not keep audio or video from interviews. Best for: HR teams whose interviews split across phone, video and in-room. Weak spots: no named ATS integrations and no published price. See our HireLogic review.

Fireflies

Fireflies sends a bot to Zoom, Meet and Teams by default; its desktop app captures system audio without one, and its Chrome extension records Meet. Its recruiting page lists interview summaries, intake and debrief notes and scorecards, and it lists eight ATS including Greenhouse, Lever and Ashby (recruiting). Best for: companies that already use Fireflies for other meetings. Weak spots: no Workday, iCIMS or SmartRecruiters integration listed; general-purpose summaries need shaping into scorecards. See Metaview vs Fireflies.

Interview Signal

Our desktop app for Windows 10/11 and macOS 13 or newer captures audio on the interviewer's own computer, so nothing joins Zoom, Teams or Meet and phone screens taken through the computer work too. During the call it shows a live transcript, a question guide built from the job description with must-ask questions pinned until asked, and suggested follow-ups; afterward, a scorecard where every score carries the candidate's own quotes, checked against the transcript. On panels, interviewers share which questions were asked and the scores, never transcripts. Transcripts and notes stay on the interviewer's computer (security). Best for: hiring teams that want a structured guide during the interview and evidence-backed scorecards with no bot. Weak spots: no ATS integration (scorecards are pasted into Greenhouse, Lever or another ATS by hand), desktop only with no mobile or web app, no video recording, phone screens must run through the computer, and a newer product with few public reviews.

Which of these work on phone screens?

Fewer than you might expect. As of October 2026, Metaview has a dedicated phone flow from a registered number, HireLogic listens when you conference in its number, Fireflies captures calls routed through your computer or a supported dialer, and Interview Signal captures calls taken through the computer's audio. Greenhouse Notetaker does not support phone interviews, and we did not find phone capture described for Ashby or Screenloop. If your recruiters run first screens by phone, test that before anything else; our guide to recording a phone screen covers the options.

What does it cost for an in-house team?

Hiring managers drive the bill. Here is an example team of 4 recruiters and 20 hiring managers, at published prices as of October 2026; the totals are our arithmetic, and your seat mix will differ.

Interview Signal hour packs are bought once and never expire, so a manager who interviews rarely may not need a second pack in a year. Metaview's Free plan keeps only the last 14 days of calls visible, which matters if a manager wants to revisit a screen before a debrief. Our pricing comparison works through more scenarios.

How should an in-house team choose?

  1. List where last month's interviews happened: Zoom, Teams, Meet, phone, in person, and who hosted each.
  2. Test your ATS's own note taker first if it has one.
  3. Shortlist two more tools that cover what the built-in misses.
  4. Run the same ten real interviews through each, with candidates told, including two that a hiring manager hosts.
  5. Compare scorecard completion time, the accuracy of three facts per interview, and how many calls were missed.
  6. Send the shortlist to security with three questions: where transcripts are stored, the default retention, and how one candidate's data is deleted.

Whatever you choose, tell candidates before the call and offer a way to opt out; in some states every participant must consent. Our rollout guide covers training hiring managers so the scorecard stays their judgment, not the software's.

Questions people ask

What is the best AI note taker for in-house recruiters?

It depends on your ATS and where interviews happen. As of October 2026, Metaview suits in-house teams that want draft scorecards in almost any ATS at a published price, BrightHire suits Zoom-first enterprises, and Greenhouse Notetaker or Ashby AI Notetaker suit teams already on those systems. Screenloop suits teams ready to replace their ATS, and desktop apps such as Interview Signal suit interviewers who want no bot on the call.

Should an in-house team use the note taker built into its ATS?

Test it first, because it adds no new vendor or security review. Greenhouse Notetaker joins Zoom, Google Meet and Microsoft Teams interviews and drafts notes mapped to scorecard questions on the Core, Plus and Pro tiers, and Ashby includes 500 interviews to try its AI Notetaker on every plan. Both join as a participant and neither covers phone screens, so teams with many phone or ad hoc interviews may still need another tool.

Which AI note takers for in-house recruiters work without a bot?

As of October 2026, BrightHire runs inside Zoom without a per-call bot, Metaview and Fireflies offer desktop apps that record without a bot, Screenloop uses Zoom cloud recording rather than a participant on Zoom, and Interview Signal captures audio on the interviewer's computer on every platform. Greenhouse Notetaker, Ashby AI Notetaker and HireLogic join video calls as a participant.

How much does an AI note taker cost for an in-house recruiting team?

At published prices as of October 2026, Metaview Pro is $60 per user per month, Fireflies is $10 to $19 per seat per month on annual billing, and Interview Signal's Team plan is $59 per seat per month or $49 billed yearly with a three-seat minimum. BrightHire, Screenloop and HireLogic quote on request, and Greenhouse and Ashby price their note takers with the ATS. Hiring managers who interview rarely can often use free or pay-as-you-go options.
