Best AI note taker for Microsoft Teams interviews in 2026
On this page
As of October 2026, the AI note takers that work best for Microsoft Teams interviews are Teams' own transcription and intelligent recap (with a Teams Premium or Microsoft AI add-on license), BrightHire (invited by adding its recorder address to the meeting), bot-based tools such as Metaview, Otter, Read.ai and Fathom, and bot-free tools that capture audio on your computer, such as Granola, Zoom's My Notes, the Fireflies and tl;dv desktop apps, and Interview Signal. Teams is the platform where the choice matters most, because Teams now detects external bots and holds them in the lobby by default.
We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. For recording without any AI, see how to record a Teams interview without a bot, and for retention and storage, Teams meeting transcription for interviews.
What happens when a note-taker bot joins a Teams interview?
Microsoft's external bots documentation (updated July 2026) says Teams uses join signals to detect external AI bots and, when detection is on, places them in the lobby "irrespective of the lobby configuration," where organizers must admit them and are reminded of the risk. The admin setting "Manage external bots and their access to meetings" defaults to "When detected, require approval before joining." Microsoft adds that some bots may not be detected and some people may be misclassified as bots.
In an interview that means:
- If you are the organizer, you admit your own bot every time, and the candidate may see it flagged.
- If a hiring manager or client organizes, your bot waits for them, and their admin policy decides.
- If the bot is missed in the lobby, you get no notes at all.

Each option, and who it suits
Teams' own transcription and intelligent recap
The organizer sets who can record and transcribe, and "all participants see a notification that the meeting is being transcribed"; people from another tenant and anonymous users cannot start transcription, and transcripts are stored in the organizer's OneDrive (Microsoft Support). Intelligent recap adds AI notes, recommended tasks, speaker timelines and chapters, and requires a Teams Premium or Microsoft AI add-on license with transcription turned on; without recording allowed, recap comes without speakers, topics and chapters (Microsoft Learn). Best for: in-house interviewers on a licensed Microsoft tenant. Watch for: the recap is a meeting summary, not an evaluation, and the file belongs to whoever organized.
BrightHire
For Teams, BrightHire recommends adding its recorder address to the meeting invite, calling it "the most reliable method," or adding #brighthire to the meeting details (BrightHire). It pushes notes into your ATS and auto-fills scorecard fields. Best for: in-house teams that schedule Teams interviews from their ATS. Watch for: it still arrives as a participant, so check how your tenant's bot policy treats it; prices are not published.
Metaview, Otter, Read.ai and Fathom
Each offers a participant that joins Teams: Metaview's notetaker (FAQ), Otter's Notetaker, which its pricing page says joins Zoom, MS Teams and Google Meet (Otter), Read's assistant (Read.ai) and Fathom's bot, which offers bot-free capture only in beta on Mac (Fathom). Best for: organizers who are happy to admit a bot from the lobby. Watch for: on someone else's tenant, you depend on them. Otter's desktop page names Zoom, Google Meet, Slack Huddles and in-person conversations for bot-free recording, not Teams, so test it before relying on it.
Granola and Zoom My Notes
Granola says it works with Zoom, Google Meet, Teams and other meeting apps without joining the meeting (Granola). Zoom's My Notes can transcribe meetings on third-party platforms, naming Microsoft Teams, using the system and microphone audio on your device, and Zoom reminds you to follow laws that may require notice (Zoom). Best for: interviewers who are not the organizer. Watch for: general notes, not a scorecard. How device-audio capture works, and its trade-offs, is covered in AI note takers without a bot.
tl;dv, Fireflies and Tactiq
tl;dv's desktop app records Teams from system audio "with no meeting bot required" on Mac and Windows (tl;dv). The Fireflies desktop app captures system audio without a bot (Fireflies), though its Chrome extension works only with Google Meet. Tactiq lists Teams for its bot-free browser extension (Tactiq). Best for: recordings and transcripts without the lobby problem. Watch for: check which Teams client (desktop or browser) each one supports.
Interview Signal
Ours captures Teams audio on your Windows or Mac computer, labels you and the candidate, and needs nothing from the organizer's tenant. It adds a live question guide, suggested follow-ups, and a scorecard whose quotes are checked against the transcript; transcripts and notes stay on your computer (security). Best for: agency recruiters, RPO recruiters and panelists who join as guests. Watch for: no ATS integration, no video recording, desktop only.
What if you are a guest on someone else's Teams?
Microsoft Support says only the organizer and people in the organizer's organization can start a Teams recording; guests, people from another organization and anonymous users cannot (Microsoft Support). For an agency recruiter on a client's interview, or a hiring manager joining a partner's call, that leaves three routes: ask the organizer to transcribe and share, ask them to admit your bot, or capture on your own device. The last route is the only one you control, and it puts the whole notice on you. RPO teams face this on every client; see AI note takers for RPO.
Before your next Teams interview
- Know who the organizer is and what their tenant allows: transcription, recap, external bots.
- If you rely on a bot, make sure the organizer knows to admit it from the lobby.
- If you capture on your device, test with the Teams client you will actually use, with headphones on.
- Say the consent line before anything starts; the consent script has wording.
- Decide where the notes go afterwards, and delete the rest on schedule.
How do you choose?
- You organize and have Teams Premium or the AI add-on: intelligent recap.
- In-house team scheduling Teams interviews from an ATS: BrightHire.
- You join as a guest: Granola, a desktop recorder, or Interview Signal.
- Notes must become a scorecard or submittal: Interview Signal or BrightHire.
- No budget: see free AI note takers for interviews.
Questions people ask
Does Microsoft Teams block AI note-taker bots?
By default it holds them back. Microsoft's documentation says Teams detects external bots when they join and places them in the lobby regardless of the meeting's lobby settings, where the organizer has to admit them explicitly. An admin can switch detection off, and Microsoft notes some bots may not be detected.
Does Teams have a built-in AI note taker for interviews?
Yes. Teams' intelligent recap produces AI meeting notes, tasks, speaker timelines and chapters after a meeting, but it needs a Teams Premium license or a Microsoft AI add-on license, and transcription must be turned on. Full recap with speakers and chapters also needs recording allowed. It summarizes the meeting rather than scoring the candidate.
Which AI note takers work on Teams without a bot?
Tools that capture audio on your own computer: Granola, Zoom's My Notes, the Fireflies and tl;dv desktop apps, and Interview Signal. Tactiq transcribes Teams in the browser without a bot. None of these appears in the participant list, so you give the candidate notice yourself.
Can a guest record a Teams interview on another company's tenant?
No. Microsoft Support says guests and people from another organization cannot start or stop a Teams recording, and people from another tenant cannot start transcription. Agency recruiters, RPO recruiters and outside panelists need the organizer to record, or a tool that captures audio on their own device, with the candidate's consent.
