For panel interviews, the AI note takers worth comparing as of October 2026 are Greenhouse Notetaker and Ashby AI Notetaker for panels run inside those applicant tracking systems, Metaview and BrightHire for in-house teams that want one shared record per panel, HireLogic and Google Meet's in-person notes for panels in a room, Otter for a low-cost shared transcript, and Interview Signal for panels that split questions between interviewers. The best choice is the one that captures each panel once, keeps every interviewer's score independent until the debrief, and puts notes where your feedback already lives.

We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated.

What makes a panel interview harder for an AI note taker?

A one-to-one screen has one interviewer and one recording. A panel adds four problems most buyers only notice afterwards.

  • Several bots in one call. If three interviewers each have a note taker set to auto-join, the candidate can face three extra participants. Otter, for example, limits this inside one workspace but says Notetakers from other workspaces still join (Otter help). Fathom notes that external attendees may get more than one consent email when several colleagues attend (Fathom help).
  • Whose account owns the record. Built-in tools tie the notes to one person: Zoom's meeting summary can only be started or stopped by the host or co-host (Zoom support), and Google Meet saves notes to the organizer's Drive (Google Meet Help).
  • Independent judgment. A panel exists to get several separate views. A shared AI summary read before scoring can pull every rating toward the same words.
  • The room. Onsite panels often happen around a table, where a meeting bot has nothing to join.

How does each tool handle a panel?

Greenhouse Notetaker

Greenhouse drafts notes against each scorecard question, with timestamps back to the recording, and each interviewer adds them to their own scorecard in one click before writing their assessment (Greenhouse). Because the feedback stays per interviewer, it fits the way Greenhouse panels already work. Best for: Greenhouse customers who schedule panels in Greenhouse.

Ashby AI Notetaker

Ashby's note taker joins your meetings and drafts feedback form submissions from the transcript that interviewers review, edit and approve; it can be made available to all interviewers, and each plan includes 500 interviews to try it (Ashby). Best for: Ashby customers who want each panelist's feedback drafted for them.

Metaview

Metaview's own panel guide says its notes auto-detect panel calls from the calendar, load the right template, and give every panelist structured notes they can edit and share (Metaview, January 2026). It joins video calls as a participant, and since October 12, 2026 also offers a desktop app for Mac and Windows that records without a bot (Metaview). Best for: in-house teams that want one shared, searchable record of each panel.

BrightHire

BrightHire organizes notes around the competencies you define, drafts each interviewer's ATS scorecard from its notes for them to review, makes highlights playable inside the ATS, and offers templates for debriefs (BrightHire). Zoom completed its acquisition of BrightHire in December 2025 (Zoom). Prices are not published. Best for: Zoom-first companies with defined interview loops.

Otter

Otter's deduplication sends one Notetaker per workspace to a meeting by default, picking a primary recorder from the guest list (Otter help), which keeps a panel of colleagues from bringing three bots. It produces a transcript and summary, not per-interviewer scorecards. Best for: small hiring teams that want one inexpensive transcript of each panel.

Google Meet Take notes for me

On eligible Workspace editions, Meet tells all participants when notes are being taken and saves them to the organizer's Drive (Google). Google also describes taking notes for in-person meetings from the Meet app, with the device set nearby (Google). Best for: Workspace companies running onsite panels who want no extra vendor.

HireLogic

HireLogic joins Zoom, Teams or Meet when invited, listens to phone calls when you conference in its number, and has a companion app you open on any device for in-person interviews; it also offers guides that capture ratings (HireLogic). No prices are published. Best for: teams whose panels move between video and a meeting room.

Interview Signal

Ours splits the question guide across the panel so each interviewer owns set questions, and shares only which questions were asked and each interviewer's scores, never transcripts. Each interviewer runs the desktop app on their own Windows or Mac computer with no bot, and gets a scorecard where each score carries the candidate's quotes, checked against the transcript. Team is $59 per seat per month, or $49 billed yearly, minimum three seats (pricing). Weaknesses: no ATS integration, desktop only, no video recording, few public reviews yet. Best for: panels where each interviewer covers different ground and transcripts should stay with the person who took them.

How do you keep panel scores independent when everyone has AI notes?

Shared notes help a debrief start from the same facts. They should not replace each interviewer's own judgment. Two settings in the major systems exist for exactly this:

  • Greenhouse lets admins choose whether interviewers see other scorecards Never, Always, or "Only after submitting their own", on Core, Plus and Pro (Greenhouse support).
  • Ashby can hide other feedback until an interviewer has submitted their own, under its feedback visibility settings (Ashby product update, 2021).

Add three habits, whatever tool you use:

  1. Score first, then read. Write your scorecard from your own notes, then open the transcript to check quotes and numbers.
  2. Rate against the plan, not the summary. Each interviewer rates only the competencies they were assigned in the panel interview plan.
  3. Debrief in a set order. Our debrief template and calibration session guide cover running it without anchoring on the most senior voice.

What about onsite panels in one room?

In a room there is no meeting to join, so the choice narrows to a device on the table: Meet's in-person notes, HireLogic's companion app, or the mobile and desktop apps of general tools such as Otter. Put one device in the middle, not one per interviewer, test the microphone from the candidate's seat, and expect the transcript to struggle with crosstalk. Tell the candidate before you start; a recording notice from an app on someone's laptop is easy to miss across a table. Our consent script has wording.

A panel setup that works with any note taker

  1. Pick one capture per panel. The coordinator decides which tool records, and everyone else turns auto-join off for that meeting.
  2. Assign competencies and questions before the day, using the panel roles guide.
  3. Give notice once, at the start, for the whole panel.
  4. Decide who gets the transcript. Everyone, only the coordinator, or no one beyond the interviewer. Write it down.
  5. Collect scorecards before the debrief, with visibility set so nobody sees others first.

Which tool fits your panel?

  • Your panels live in Greenhouse or Ashby: start with that system's own note taker.
  • You want one shared record across many ATSs and teams: Metaview or BrightHire.
  • Your panels are in a meeting room: Google Meet's in-person notes or HireLogic.
  • You want the cheapest shared transcript: Otter.
  • Each interviewer owns different questions and transcripts should stay private: Interview Signal.

Questions people ask

Which AI note taker is best for panel interviews?

It depends on where your panel's feedback lives. As of October 2026, Greenhouse Notetaker and Ashby AI Notetaker suit panels run inside those systems because each interviewer's notes feed their own scorecard. Metaview and BrightHire suit larger in-house teams that want one shared record per panel, HireLogic and Google Meet's in-person notes cover panels in a room, and Interview Signal suits panels where each interviewer owns set questions and transcripts should not be shared.

Will every interviewer's AI note taker join the same panel interview?

It can, which is why panels often end up with several bots. Otter says it only sends one Notetaker per workspace by default, but Notetakers from other workspaces still join. Agree before the panel which single tool captures the call and ask everyone else to turn auto-join off for that meeting.

Should panel interviewers read the AI notes before they submit their scorecards?

Ideally not. Write and submit your own scorecard first, then use the transcript to check facts, so other interviewers' views and an AI summary do not anchor your rating. Greenhouse lets admins show other interviewers' scorecards only after you submit your own, and Ashby can hide feedback until an interviewer has submitted theirs.

Can an AI note taker capture an in-person panel interview?

Yes, with a device in the room. As of October 2026, Google Meet's Take notes for me works for in-person meetings from the Meet app on an eligible Workspace account, HireLogic has a companion app for in-person interviews, and Otter's desktop and mobile apps record in-person conversations. Tell the candidate before you start.
