The best AI note taker for an independent recruiter is the one that captures how you actually screen, writes to the ATS you already pay for, and does not lock a one-person business into a cost it cannot carry. As of October 2026, Metaview (free for 25 calls a month, then $60 a month) and CoRecruit (from $64 a month on a 12-month term) are built for recruiters and list agency systems such as Bullhorn, JobAdder and Loxo. Fireflies ($10 a month billed annually), Otter ($8.33), Fathom (free) and Granola ($14) are cheaper general tools. Interview Signal sells hours that never expire.
We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. For recruiting teams of any size, see the best AI note takers for recruiters; this page is for people who run the desk alone.
What does an independent recruiter need from an AI note taker?
- Phone screens. Most solo desks still start with a call. A tool that only joins video meetings misses the conversation that matters most.
- Your ATS, not a corporate one. Independent recruiters tend to run Bullhorn, JobAdder, Loxo, Crelate or Recruit CRM. Greenhouse and Lever integrations are no help.
- The client submittal. Your output is a write-up a client will read. Meeting summaries need rewriting; submittals in your format save the most time.
- A cost that flexes. Billings are uneven. Monthly or pay-as-you-go pricing protects cash flow in slow months; 12-month terms do not.
- No surprises in a client's meeting. When a hiring manager hosts, a bot waits in their lobby. Bot-free capture avoids that conversation.

Which tools are built for recruiters?
Metaview
Metaview's notetaker is free for 25 calls a month, and Pro is $60 per user per month for unlimited calls. For phone screens you register your own number once, then call candidates with one click from its phonebook or dial its switchboard; Metaview's help center says phone calls get the same notes and transcripts as video calls. Its desktop app records without a bot on Apple Silicon Macs (macOS 14.2 or later) and Windows 10 or later, audio only. The integrations page lists agency systems including Bullhorn, JobAdder, Loxo, Crelate and Recruit CRM. Best for: an agency recruiter on one of those systems who wants to start free and stay under 25 calls a month. Watch: a busy desk passes 25 calls quickly, and $60 a month is the highest monthly price here.
CoRecruit
CoRecruit's Starter plan, for one user or more, is from $64 per user per month, and all plans have a 12-month minimum term. Every plan includes a botless AI notetaker, client-ready submittals, ATS-integrated notes and VoIP with unlimited US and Canada calling; it says it captures mobile calls, VoIP, Zoom, Meet, Teams, Webex, WhatsApp, FaceTime and in-person meetings, with Mac and Windows desktop apps, a browser extension and iOS and Android apps. A new number costs from $10 a month, or you can port your own. Best for: a phone-first desk that wants calling, notes and submittals in one bill. Watch: the 12-month minimum is a real commitment for a one-person business.
Interview Signal
Our desktop app for Windows 10/11 and macOS 13 or newer captures audio from your own computer with no bot, beside Zoom, Teams, Meet and phone screens taken through the computer. It builds a question guide from the job description, pins must-ask questions, suggests follow-ups, fills a scorecard where each score carries the candidate's quotes checked against the transcript, and writes a submittal in your template. Transcripts stay on your computer. Pricing: 20 free minutes, then hours bought once that never expire (1 for $9, 5 for $29, 15 for $69) or Solo at $49 a month or $468 a year. Best for: independent recruiters whose volume rises and falls and whose deliverable is a submittal. Weak spots: no ATS integration (you paste notes into Bullhorn, JobAdder and others), desktop only with no mobile or web app, no video recording, phone calls must run through the computer, and few public reviews so far.
Which general note takers work for a one-person desk?
- Fireflies.ai: Pro is $10 a month billed annually or $18 monthly. Its desktop app captures phone calls routed through the computer, and it lists Loxo and Workable among its ATS connections. Best for: low-cost notes with an ATS link. Watch: Pro storage is 8,000 minutes per seat.
- Otter.ai: Pro is $8.33 a month billed annually, with 1,200 minutes a month and 90 minutes per meeting. Its Recruiting Agent syncs to Greenhouse, which few agencies use. Best for: the cheapest transcripts for video screens. Watch: the free plan stops at 30 minutes per conversation.
- Fathom: the free plan has unlimited recordings and transcription; bot-free capture is a Mac-only beta. Best for: a Mac user who wants free notes and replay. Watch: no ATS or phone capture listed, and a bot on Windows.
- Granola: no bot on Windows or Mac, audio deleted after transcription, and an iPhone app that transcribes outbound calls you place from it. Business is $14 a month. Best for: a recruiter who calls from an iPhone and wants no recording kept. Watch: inbound calls and Android are not supported, and there is no ATS link.
What does each cost a solo recruiter for a year?
At published prices as of October 2026, for one user, using yearly rates where offered. Arithmetic only, not quotes.
| Tool and plan | One year | Limit to check |
|---|---|---|
| Metaview Free / Pro | $0 / $60 × 12 = $720 | 25 calls a month on Free |
| CoRecruit Starter | $64 × 12 = $768 | 12-month minimum term |
| Fireflies Pro | $10 × 12 = $120 | 8,000 minutes of storage |
| Otter Pro | $8.33 × 12 = $99.96 | 1,200 minutes a month |
| Fathom Free / Premium | $0 / $16 × 12 = $192 | Bot-free only on Mac |
| Granola Business | $14 × 12 = $168 | No ATS link |
| Interview Signal Solo / pay as you go | $468 / from $9 an hour, bought once | Desktop only, no ATS link |
Example: a desk doing 12 screens a week at 30 minutes each runs about 52 calls and 1,560 minutes a month (12 × 4.33 weeks; 52 × 30). That passes Metaview's 25 free calls and Otter Pro's 1,200 minutes, and fills Fireflies Pro's 8,000 minutes of storage in about five months (8,000 ÷ 1,560) unless you delete old transcripts. Run your own numbers; our note-taker pricing comparison shows the method.
How should a solo recruiter choose?
- Start with your calls. If most screens are mobile calls, shortlist CoRecruit, Metaview, Granola (iPhone, outbound) or a computer-based tool you can route calls through.
- Then your ATS. On Bullhorn, JobAdder or Loxo, Metaview and CoRecruit save the copy step. See AI note takers for Bullhorn for that system.
- Then your output. If clients want a written submittal, favor tools that draft one. Our candidate submittal template shows what it should contain.
- Then the contract. Prefer monthly or pay-as-you-go terms in your first year, and test on free tiers with real screens before paying.
If note-taking is one of several tools you are choosing, our guide to AI recruiting tools for small agencies covers ATS and sourcing options at published prices.
What about consent and client rules when you work alone?
Working alone means no compliance team checks your setup. Tell every candidate before you record, in the invite and again at the start of the call, and take notes by hand if they decline. Phone calls can cross state lines, and some states require every party's consent; our interview recording consent script has wording for both cases. Some clients also ask in their terms how you store candidate data, so know where each tool keeps transcripts before you sign. This is general information, not legal advice.
Questions people ask
What is the best AI note taker for an independent recruiter?
It depends on how you screen. As of October 2026, Metaview suits solo agency recruiters on Bullhorn, JobAdder or Loxo who can start on its free 25-calls-a-month plan, CoRecruit suits phone-heavy desks that want calling and client submittals in one product on a 12-month term, and Fireflies or Otter suit recruiters who want the cheapest searchable transcripts. Interview Signal suits solo recruiters with uneven volume who want a live question guide and a submittal without a bot on the call.
Which AI note taker works for phone screens on a one-person desk?
As of October 2026, CoRecruit includes VoIP with unlimited US and Canada calling and captures mobile calls, Metaview records calls placed through its phonebook or switchboard from your own number, Fireflies' desktop app captures calls routed through your computer, Granola's iPhone app transcribes outbound calls, and Interview Signal captures phone screens taken through the computer's audio.
Is there a free AI note taker for solo recruiters?
Yes, with limits. As of October 2026 Metaview's free plan covers 25 calls a month, Fathom's free plan has unlimited recordings, Otter Basic gives 300 minutes a month with a 30-minute cap per conversation, Fireflies Free stores 400 minutes, Granola Basic keeps 30 days of notes, and Interview Signal includes 20 free minutes with no card.
Does an independent recruiter need a note taker that integrates with the ATS?
It saves time if you log every screen in an agency ATS such as Bullhorn, JobAdder or Loxo, because notes land on the candidate record without copying. Metaview and CoRecruit list those systems as of October 2026. If you mainly need a client submittal or you rarely update the ATS, a tool without an integration can still be the cheaper, simpler choice.
