As of October 2026, the best AI note taker for recruiters depends on where your interviews happen and where the notes have to end up. Metaview is the strongest all-round choice for in-house teams that want notes and draft scorecards posted into their ATS; CoRecruit is built for agencies that want calling and client submittals in one product; the note taker inside your ATS (Greenhouse, Ashby, Lever, Bullhorn, Loxo) is the low-effort option if you already pay for it; and Otter, Fireflies, Fathom and Granola are the low-cost general tools. Bot-free desktop apps, including ours, suit recruiters who run a lot of phone screens.

We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. If you are choosing specifically for an agency desk, our staffing agency buyer's guide goes deeper on submittals and ATS write-back, and Metaview alternatives covers tools that replace Metaview. This page is organized by the kind of recruiter you are.

Which AI note taker is best for each kind of recruiter?

  • In-house recruiter on Greenhouse, Ashby or Lever: Metaview, or the note taker your ATS already includes.
  • Agency recruiter who lives on the phone: CoRecruit if you want a built-in dialer; a bot-free desktop app if you keep your current phone setup.
  • Agency on Bullhorn that wants everything in one system: Bullhorn's own Amplify Transcribe, then compare it with CoRecruit and Metaview.
  • Hiring manager who interviews a few times a month: a free plan (Metaview, Otter, Fathom, Granola) or a pay-as-you-go tool.
  • Solo recruiter on a tight budget: Otter or Fireflies on a yearly plan, accepting that you will write the scorecard yourself.
  • Zoom-first enterprise team: BrightHire, which Zoom now owns.

Should you just use the note taker built into your ATS?

This is the option most comparison pages skip, and for many teams it is the right first step. Several ATS vendors now include a note taker, so check what you already pay for before you add a vendor and a security review.

  • Greenhouse Notetaker joins Zoom, Google Meet or Microsoft Teams interviews automatically and drafts notes mapped to scorecard questions; it is on the Core, Plus and Pro tiers (Greenhouse). Its security FAQ says it does not cover phone or in-person interviews and works in English only.
  • Ashby AI Notetaker joins as a participant, and each plan includes 500 interviews to try it at no extra cost (Ashby).
  • Lever says AI transcripts and summaries for Zoom, Teams and Meet are included in the core Lever ATS package with unlimited monthly usage (Lever help).
  • Bullhorn Amplify Transcribe records, transcribes and summarizes calls and saves the output to a note on the Bullhorn record. A bot joins Zoom, Teams and Meet, and an admin can turn on botless recording through the computer's microphone and speakers (Bullhorn knowledge base). "AI call transcription" is listed on Bullhorn Pro, which is priced by quote (Bullhorn pricing).
  • Loxo AI Notetaker works on Zoom, Meet and Teams and syncs recordings, summaries and transcripts to candidate profiles (Loxo).

Best for: teams whose interviews are scheduled video calls inside that ATS. Weak spot: phone screens and calls you do not host, which most native tools do not cover.

The tools one by one

Metaview

Metaview's notetaker joins Google Meet, Teams, Webex and Zoom as a visible guest (Metaview help). It now also offers a desktop app for macOS 14.2 or later and Windows 10 or later that records microphone and computer audio without adding a bot (desktop app), and phone screens can be dialled from its phonebook through the browser or your own phone. Admins can have it draft a scorecard after each interview and post it to the ATS (workspace settings). Free covers 25 calls a month; Pro is $60 per user per month. Best for: in-house teams that want notes and scorecards in the ATS with the least manual work.

BrightHire

On Zoom, BrightHire says it opens inside the meeting with no per-call bot; on Meet it joins as a participant and on Teams you add its recorder address (BrightHire). Zoom's announcement says the acquisition closed in December 2025. Prices are not published. Best for: large Zoom-based teams running structured interview loops. See Interview Signal vs BrightHire for a closer look.

CoRecruit

CoRecruit's desktop app captures system audio with no bot, it includes VoIP calling with unlimited US and Canada minutes, and it drafts client-ready submittals. All plans are on a 12-month minimum term with a 7-day free trial (CoRecruit pricing). Best for: agencies that want their dialer, notes and submittals in one tool. Weak spot: the annual commitment for a small desk.

Otter.ai

Otter's desktop app records without a bot on Mac and Windows, and its Recruiting Agent adds resume summaries, interview agendas and feedback emails. Its help center says Apple and Google restrict third-party call recording, so phone calls must be recorded separately and imported (Otter help). Best for: individuals who want a cheap, searchable transcript.

Fireflies.ai

Fireflies joins with a bot by default, but its desktop app captures system audio on Windows and Mac without one, and it lists dialer integrations for OpenPhone, Zoom Phone, RingCentral and Aircall. Its ATS list is the longest of the general tools. Best for: companies that already use Fireflies for sales or internal meetings.

Fathom and Granola

Fathom's free plan offers unlimited recordings and transcriptions, and its bot-free mode is a Mac beta (Fathom). Granola uses computer audio with no bot and states that audio is deleted after transcription on every plan (Granola). Neither lists an ATS integration. Best for: hiring managers who want clean meeting notes rather than a recruiting workflow.

Interview Signal

Our desktop app for Windows 10/11 and macOS 13 or newer captures audio on the interviewer's computer, so nothing joins the call and phone screens work when they run through the computer. During the call it shows a live transcript, a question guide built from the job description and suggested follow-ups; after it, a scorecard where every score carries the candidate's own quotes, checked against the transcript, and a submittal in your template. Transcripts and notes stay on your computer (security). Best for: recruiters who want a live guide and a finished scorecard or submittal without a bot. Weak spots: no ATS integration (you paste notes into Bullhorn, Greenhouse, Lever or JobAdder), desktop only with no mobile or web app, no video recording, and a newer product with few public reviews.

Which AI note takers work on phone screens?

Phone screens are where recruiter note takers differ most, because a bot cannot join a phone call. As of October 2026 there are four approaches: a built-in dialer (CoRecruit), dialling through the vendor (Metaview's phonebook or switchboard), a phone-system integration (Fireflies with Aircall, RingCentral, Zoom Phone or OpenPhone), or capturing the call on a computer that the call runs through (Fireflies' desktop app, Interview Signal). If most of your screens happen on a personal mobile, test that exact setup first. Our guide to recording a phone screen covers the options and the consent step.

What does an AI note taker for recruiters cost?

At published prices as of October 2026, a general tool costs roughly $8 to $34 per user per month, recruiting-specific tools run $49 to $85, and enterprise tools are quoted. Free plans exist but are capped: Metaview at 25 calls a month, Otter at 300 minutes with a 30-minute limit per conversation. Our pricing comparison works out the cost per screen and for a ten-person team.

How to choose in one week

  1. Write down where your last 20 interviews happened: Zoom, Teams, Meet, mobile, desk phone.
  2. Write down where the notes had to go: an ATS scorecard, a client submittal, an email to a hiring manager.
  3. Shortlist two tools that cover both lists, plus your ATS's native option if it has one.
  4. Run the same five real interviews through each, with candidates told a note taker is in use.
  5. Score accuracy on three facts per call (pay, notice period, one project) and the minutes from hang-up to finished notes.

Whichever tool you choose, recording and consent rules still apply; in some states everyone on the call must agree. See two-party consent states.

Questions people ask

What is the best AI note taker for recruiters?

It depends on how you hire. As of October 2026, Metaview suits in-house teams that want notes and scorecards posted to their ATS, CoRecruit suits agencies that want calling and client submittals in one tool, and the note taker already inside your ATS suits teams that want one fewer vendor. Otter, Fireflies, Fathom and Granola are cheaper general tools, and desktop apps such as Interview Signal suit recruiters who run phone screens and do not want a bot on the call.

Which AI note taker works for phone screens?

As of October 2026, CoRecruit has built-in calling with unlimited US and Canada minutes, Metaview lets you call candidates from its phonebook or through a switchboard, Fireflies' desktop app can capture calls routed through your computer, and Interview Signal captures phone screens taken through the computer's audio. Otter's help center says phone calls must be recorded separately and imported.

Is there a free AI note taker for recruiters?

Yes. As of October 2026, Metaview has a free plan with 25 calls a month, Otter Basic gives 300 minutes a month with a 30-minute cap per conversation, Fireflies, Fathom and Granola have free plans, and Interview Signal includes 20 free minutes with no card. Free plans are fine for a trial but usually too limited for a full desk.

Do recruiters need an AI note taker that joins the call as a bot?

No. Several tools capture audio on the recruiter's own computer instead, including Granola, CoRecruit, Interview Signal and the desktop apps from Metaview, Otter, Fireflies and Fathom. A bot is simpler for scheduled video interviews, while bot-free capture avoids candidate questions about an extra participant and works on calls you do not host.
