For RPO teams, the AI note takers to compare as of October 2026 are Metaview (which publishes a Hudson RPO case study and lists a wide set of ATSs), BrightHire (enterprise integrations including Workday, iCIMS, SAP SuccessFactors and Oracle Taleo), HireLogic (with a page aimed at staffing and RPO firms), the note taker your client already licenses, such as Greenhouse Notetaker or Ashby AI Notetaker, and bot-free desktop tools such as Interview Signal. The deciding factor in RPO is rarely the tool itself: it is whose meeting platform, whose ATS and whose data rules apply on each client account.

We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. For the broader category, see interview intelligence software.

Why is choosing a note taker harder in RPO?

  • The client hosts the call. RPO recruiters often interview from the client's email domain and meeting tenant, so the client's admin decides whether a bot gets in.
  • The client owns the ATS. Notes have to land in the client's Workday, iCIMS, SuccessFactors or Greenhouse, under the client's scorecard, not yours.
  • The client's data rules apply. Retention, where data is hosted and who can see transcripts are set by each client contract. Our page on DPAs for recruiting software covers what to look for.
  • Many clients at once. One delivery team may run four clients with four platforms, four scorecards and four consent wordings.
  • Reporting across clients. Delivery leaders want consistent notes and quality signals across accounts, which pulls toward one vendor even when clients differ.

Each option, and who it suits

Metaview

Metaview's Hudson RPO case study describes recruiters using it from hiring manager intake briefings through phone screens and interviews, after a pilot on a high-volume project. Its integrations page lists a long set of ATSs, including SAP SuccessFactors, iCIMS and SmartRecruiters. Its security page says it is SOC 2 Type II certified, hosts data in AWS UK, and keeps data for two years by default, changeable on request. Best for: RPO providers that want one platform across clients, including intake calls. Watch for: its bot meets each client's lobby policy, and UK hosting may or may not suit a client's data terms.

BrightHire

BrightHire's integrations page covers the enterprise systems RPO clients often run: Workday, iCIMS, SAP SuccessFactors, Oracle Taleo, Greenhouse, Lever and others. Its pricing page lists role-based access, consent controls and single sign-on on its Teams tier, and customized compliance and data retention plus a REST API on Enterprises, with no published prices. Zoom says its acquisition of BrightHire closed in December 2025 (Zoom). Best for: enterprise client programs that interview on Zoom and want structured loops. Watch for: on Teams and Meet it joins as a participant, which client policies may block.

HireLogic

HireLogic's staffing page is headed "Level up Staffing and Recruiting (RPO) teams with Interview Intelligence" and talks about giving clients interview insights and qualitative scoring, and visibility into recruiter performance (HireLogic). Its homepage says you invite it to Zoom, Teams or Meet by email, conference in its number for phone calls, or open its companion app in person (hirelogic.com). We found no published price. Best for: delivery leaders who want quality analytics across recruiters. Watch for: every channel adds a participant or a dial-in.

The client's own note taker

If a client runs Greenhouse, its Notetaker joins Zoom, Meet and Teams interviews automatically and lets interviewers add generated notes to the scorecard with one click (Greenhouse). Ashby includes 500 interviews per plan to try its AI Notetaker (Ashby). On Microsoft tenants, Teams' intelligent recap needs a Teams Premium or Microsoft AI add-on license and transcription turned on (Microsoft Learn). Best for: embedded RPO recruiters with client accounts. Watch for: nothing carries across clients, so cross-account reporting stays manual. See Greenhouse and Workday note taker pages for system-specific detail.

Interview Signal

Ours captures audio on the recruiter's computer, so nothing joins the client's meeting and the client's bot policy is not triggered. Transcripts, quotes, candidate names and notes stay on that computer; audio goes to a speech-to-text provider in short chunks during the call and is not retained (security). For panels, questions are split across interviewers and only which questions were asked and the scores are shared, never transcripts. Best for: RPO recruiters working inside clients that block bots. Watch for: no ATS integration, so notes are pasted into each client's system; desktop only; and a newer product with few public reviews. The client still has to approve its use.

What happens when your note taker meets a client's tenant?

Microsoft documents that Teams detects external bots when they join and, by default, places them in the lobby regardless of the meeting's lobby settings, where the organizer must admit them and is reminded of the risk; some bots may not be detected (Microsoft Learn). Microsoft Support also says guests and people from another organization cannot start a Teams recording (Microsoft Support). So on a client's Teams, an RPO recruiter with a guest account can use neither Teams' recording nor, without the organizer's help, a bot. Our guide to recording a Teams interview without a bot covers the options.

A per-client policy grid to fill in first

Before recruiters start on a new account, agree one row per client with the client's TA and IT contacts:

QuestionWhy it mattersExample answer
Whose meeting tenant hosts interviews?Decides bot admission and recording rightsClient's Teams; we join as guests
Are note-taker bots allowed?Rules out bot-based toolsNo external bots
Which note takers are approved?Avoids a security review mid-deliveryClient's own, or a named desktop tool

Consent wordingClient brand and jurisdictionsClient's approved line
Who can read transcripts?Hiring managers, RPO leads, nobody elseRecruiter and RPO lead only

The example answers are illustrations, not recommendations. Our SOC 2 guide helps with the security questions clients will ask about any vendor you bring.

How do you choose?

  • Most clients allow bots and you want one platform: Metaview.
  • Enterprise clients on Workday, Taleo or SuccessFactors, interviewing on Zoom: BrightHire.
  • Recruiter-quality analytics are the priority: HireLogic.
  • Embedded recruiters with client ATS seats: the client's own note taker.
  • Clients that block bots: a desktop tool such as Interview Signal, approved per client.

Many RPO providers will end up with two answers: one platform for the clients that allow it, and a bot-free fallback for those that do not. That is a reasonable outcome, as long as each client's grid says which one applies.

Questions people ask

Which AI note taker do RPO firms use?

Metaview publishes a case study with Hudson RPO, HireLogic has a page aimed at staffing and RPO firms, and BrightHire sells to enterprise recruiting teams with integrations for Workday, iCIMS, SAP SuccessFactors and Oracle Taleo. Many RPO recruiters also use whatever note taker the client already licenses, such as Greenhouse Notetaker or Ashby AI Notetaker.

Can an RPO recruiter use a note-taker bot on a client's Microsoft Teams?

Only if the client's settings allow it. Microsoft Teams detects external bots and, by default, holds them in the lobby until the organizer admits them, and a guest or someone from another organization cannot start Teams' own recording. Bot-free tools that capture audio on the recruiter's computer avoid the lobby but still need the client's approval and the candidate's consent.

Whose data are interview notes in an RPO engagement?

The contract with each client decides, so read the data processing terms before choosing a tool. Practically, the notes usually need to end up in the client's ATS, and the note taker's own copy needs a retention period that matches the client's rules.

Do RPO teams need a separate note taker setup per client?

Usually yes. Clients differ on meeting platforms, bot policies, ATS, scorecards and retention, so keep a one-page policy grid per client and configure templates and retention to match before recruiters start interviewing.
