AI notetaker for Workday Recruiting: what is native, what integrates, and the setup cost

Workday Recruiting does not ship a notetaker that records and transcribes interviews, as far as we could confirm on Workday's own pages in October 2026. Its April 2026 Recruiting datasheet mentions AI interview summaries inside Interview Management, but not what those summaries are built from. For recorded, transcribed interviews that land back in Workday, the documented routes are third-party: BrightHire, which is listed on the Workday Marketplace, and Metaview, which documents a Workday integration on its own help center.

The bigger difference from smaller ATSs is the setup. A Workday integration needs a Workday administrator, a dedicated integration user and a set of security permissions, so the real question is often not which tool is best but which one your Workday team is willing to configure and maintain. Every vendor fact below links to the page we checked.

What Workday does natively for interview notes

  • Typed feedback: Workday's admin guide on interviews describes interviewer feedback entered into forms with configurable rating scales. That is a scorecard, not a recording.
  • AI interview summaries: the Workday Recruiting datasheet (April 2026) lists Interview Management capabilities that include generating AI interview summaries. The datasheet does not say whether Workday records audio, transcribes a call, or summarizes the feedback interviewers type. We could not confirm the input, so treat it as a question for your account team rather than a notetaker.
  • Paradox: Workday completed its acquisition of Paradox on October 1, 2025. Paradox covers conversational apply, screening and scheduling. Nothing on that announcement describes recording or transcribing a live interview.

So the native picture is: structured feedback forms, a summary feature whose source we could not confirm, and strong scheduling automation. None of it captures what a candidate actually said on a call.

Integrations that write into Workday, compared

As published by each vendor and by the Workday Marketplace, as of October 2026. Marketplace listings require the Workday Recruiting SKU ("REC") on your tenant.

Two other Workday Marketplace listings come up in notetaker searches but do a different job. HireVue is a Certified Integration for its interviewing platform; we could not confirm that it produces AI notes for live interviews held on Zoom or Teams. Sapia.ai is an AI chat interviewer whose scores show in Workday. Both replace or add an interview step rather than taking notes on yours.

What syncs where, and the feedback window

The detail that catches Workday teams out is timing. Metaview's Workday guide states that Workday only accepts feedback while the interview event is in progress. If the interview event closes before an interviewer submits the scorecard, a notetaker cannot push feedback into it afterwards. Agree with your Workday admin how long interview events stay open after the scheduled time.

  • PDF attachment versus fields: a PDF on the profile is readable by anyone with access to attachments, but it is not searchable as structured data and it will not feed reports. Scorecard completion is the part that reaches structured fields.
  • Scheduling: Metaview's guide says scheduling from Workday is not supported, so check how interviews get matched to the right candidate before you rely on automatic capture.
  • Sync delay: Metaview documents data syncing up to 48 hours. A newly created requisition or candidate may not be visible to the notetaker on day one.

The setup a Workday integration actually needs

Metaview's Workday guide is the most detailed public description we found of what a notetaker needs from a Workday tenant. It lists:

  1. An Integration System User dedicated to the connection.
  2. A security group granting that user 22 domain permissions.
  3. Custom reports exposed as web services.
  4. SOAP API access.

BrightHire's marketplace listing describes a packaged integration, but you will still need a Workday administrator to install and authorize it. In most enterprises that means a change request, a security review of the permissions, and testing in a sandbox tenant before production. Budget weeks, not days, and get the request into your Workday team's queue early.

The phone-screen gap

Nothing native in Workday records a phone screen. BrightHire's Workday listing names phone interviews and its pricing page says its Recruiters tier can capture video, phone or in-person interviews. Metaview handles phone calls through its own numbers, which means the recruiter calls through Metaview rather than from their usual phone. A note format that fits a Workday scorecard

Whatever writes the draft, edit it so it maps to the questions on your Workday interview feedback form. That keeps the PDF and the scorecard telling the same story.

Questions to ask your Workday account team

Because the native summary feature is described only briefly in public material, ask before you buy a second tool. The answers decide whether a third-party notetaker is filling a real gap or duplicating something you already pay for.

  • What does the AI interview summary in Interview Management use as its input: typed feedback, a recording, or a transcript?
  • Is it included in our current Recruiting subscription, or licensed separately?
  • Does anything from the Paradox acquisition record or summarize a live interview, now or on a published roadmap?
  • Can interview events stay open long enough for an integrated notetaker to submit feedback after the call?
  • Notice: a bot joining a call is visible; a phone capture is not. Use one spoken line for every interview; our consent script has wording.
  • Retention: decide how long recordings and transcripts live in the notetaker, separately from how long the PDF stays in Workday.
  • AI review: large Workday customers often run AI tools through a governance review. Have the vendor's DPA and security documentation ready; see our DPA guide.

Standalone tools, and who each option suits

Interview Signal has no Workday integration. It is a desktop app with no bot that captures audio on the interviewer's own computer, keeps transcripts local, and produces a scorecard quoting the candidate that you paste into the Workday feedback form or attach to the profile. That suits an interviewer who needs notes now, before a Workday integration has been approved. If you need notes written into Workday automatically, use one of the integrated tools above.

  • BrightHire: teams that want a Workday Marketplace listing and phone coverage, and can negotiate an enterprise contract.
  • Metaview: teams that want scorecard completion and a free tier to trial, and have a Workday admin ready for the ISU setup.
  • Workday's own features: teams that only need structured typed feedback; confirm what the AI interview summaries use as input first.
  • A standalone tool: individual recruiters and hiring managers waiting on integration approval, or anyone who prefers no bot in the call.

Does Workday Recruiting have its own AI notetaker?

Not one we could confirm as of October 2026. Workday's Recruiting datasheet (April 2026) mentions generating AI interview summaries within Interview Management, but it does not say whether Workday records or transcribes the interview itself. Interviewer feedback in Workday's admin guide is typed into forms with configurable rating scales. Ask your Workday account team what the summary feature uses as its input.

Is BrightHire on the Workday Marketplace?

Yes. As of October 2026 BrightHire has a Workday Marketplace listing marked Design Approved, describing support for Zoom, Teams, Google Meet and phone interviews and syncing candidates, applications, positions, users and scheduled interviews. BrightHire's pricing is quote-only.

How does Metaview write notes into Workday?

Metaview's own Workday documentation says it adds notes to the candidate profile as a PDF attachment and can complete assigned Workday scorecards from inside Metaview. It also notes that Workday only accepts feedback while the interview event is in progress, which affects when a late scorecard can be submitted.
