Workstream has no AI notetaker for live interviews as of October 2026. Its VoiceAI makes AI phone screening calls and returns a Screening Summary with audio playback, a matching score and every question and response, and its pricing page also lists VideoAI screening. Interviews your managers run are scheduled as phone, onsite or video meetings and scored with feedback and star ratings, but not recorded, and no notetaker appears among Workstream's integrations, so notes from any other tool are pasted into the applicant's Feedback tab.

This page covers what Workstream's AI does, where manager interview notes go, which outside tools are realistic for a restaurant or retail manager, and what to check. We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated.

What is Workstream, and who uses it?

Workstream is a hiring, HR and payroll platform for hourly workforces, mainly multi-location restaurants and franchise groups, plus retail, healthcare and hospitality. Its pricing page lists four plans, Hiring, Essentials, All-in-one and Premium, with no published prices. The Hiring plan lists applicant tracking, VoiceAI screening, VideoAI screening, text-to-apply, applicant messaging and interview scheduling, and each higher plan includes everything below it. Its integrations center on point of sale (Square, Toast and others), restaurant operations, payroll and HR, and earned wage access.

Does Workstream have its own AI notetaker?

No. Its AI runs screens instead of documenting interviews. Workstream's AI page says VoiceAI "conducts phone screens 24/7" and also reschedules interviews and answers applicant questions. The VoiceAI help article adds detail, as of October 2026:

  • What it is: a hiring stage that screens applicants "through AI phone calls", asking your screening questions and recording responses.
  • Where results go: in Team View, Applicants, Interview tab, under "View call results".
  • Screening Summary: audio playback of the full call, completion time, an overall matching score, and all questions and responses, each marked Matched or Unmatched, with low-confidence answers flagged and a PDF download.
  • Languages: English, Spanish, Canadian French and Chinese, switching if the applicant speaks another of them.
  • Plan: the article calls VoiceAI phone calls an add-on feature, while the pricing page lists VoiceAI screening in the Hiring plan; confirm what your contract includes.

The help article does not use the word transcript and does not cover what applicants are told about the recording, so ask Workstream both questions.

What happens in a manager's interview?

The Scheduling stage offers meeting types of "Phone call", "Onsite interview" (the default), "Video conference" and "Other", with meeting details for applicants of up to 2,010 characters. The article does not say Workstream creates Zoom, Teams or Meet links. After the interview, managers score it against the position's evaluation plan: per Use evaluation plans during hiring, you open the applicant's Feedback tab, choose My feedback, then Add feedback, rate each item, and add optional comments. Overall scores average into a star rating, and you can edit or delete only feedback you submitted.

AI screener or notetaker: which problem do you have?

The two solve different problems, and Workstream only builds the first.

  • If the problem is volume, such as dozens of applicants per opening and managers with no time to call them back, VoiceAI does first conversations you would otherwise skip, around the clock.
  • If the problem is the quality of the record, such as managers who interview well but leave one-line feedback, a screener does not help. You need the manager's own conversation captured, or a habit of typing evidence into the evaluation plan.
  • If the problem is speed to hire, both help: VoiceAI advances applicants automatically when you turn that automation on, and good notes let a second manager decide without a repeat interview.

Many groups will use both: VoiceAI for the top of the funnel, and structured notes for the interviews that decide. Our high-volume hiring process guide covers where each step fits.

Which AI notetakers list a Workstream integration?

None that we found. Besides its integrations page, Workstream's help center documents connections for Checkr, Sterling, Indeed, JobTarget, E-Verify, WOTC providers, payroll systems, and Google and Outlook calendars. Metaview's and CoRecruit's integration directories did not list Workstream in October 2026, so any notetaker works only alongside it.

How do the realistic options compare?

As published on each vendor's own pages, as of October 2026. "Not stated" means the linked pages do not say.

How do you add interview notes in Workstream without an integration?

  1. Open the applicant in Team View and go to the Feedback tab.
  2. Paste a short summary into the Add note field and click Add note. Per Manage applicant records, typing @ mentions a teammate with access to that position and location.
  3. Score it yourself with My feedback, then Add feedback, using the evaluation plan; keep AI text as evidence in the comments.
  4. Attach the full scorecard on the Files tab with + Add File.

Our guide to getting AI notes into an ATS without an integration covers other routes, and the interview guide for hourly roles covers the questions.

A note format for shift-based roles

  • VoiceAI recordings. Calls are recorded with audio playback; confirm the disclosure applicants hear and how long audio is kept.
  • AI scoring rules. A matching score on an AI call may fall under state and local rules; see AI hiring laws by state and our explainer on what an AI interviewer is.
  • Recording notice. If a manager or recruiter records a call with another tool, say so at the start with one consent line; some states require every party's consent.
  • Permissions. Adding feedback needs the "Create and edit applicant feedback" permission; decide which location managers have it.

Who should pick which option?

  • VoiceAI: best for multi-location restaurants and retailers that need first screens done outside business hours.
  • Feedback and evaluation plans: best for onsite manager interviews where short typed notes and star ratings are enough.
  • A standalone notetaker and paste: best for a central recruiter or area manager running many phone or video interviews.

Interview Signal is in the last group: it has no Workstream integration. It is a desktop app for Windows and macOS with no bot, so phone screens taken through the computer and video interviews are captured the same way, and it produces a scorecard with the candidate's own quotes, with transcripts kept on the interviewer's computer. Its ready-made ATS note formats are for Bullhorn, Greenhouse, Lever and JobAdder only, so in Workstream you paste the plain version. It suits a recruiter at a computer, not a manager interviewing on the floor: there is no mobile app, and in an onsite interview both voices go on one microphone, so quotes cannot be verified against the candidate and the scorecard is limited. It is newer with few public reviews and does not record video.

Questions people ask

Does Workstream have an AI notetaker?

Not for interviews your managers run, as of October 2026. Workstream's VoiceAI makes AI phone screening calls and returns a Screening Summary with audio playback, a matching score and every question and response. Manager interviews are scheduled as phone, onsite or video meetings and evaluated with feedback and star ratings, but Workstream's help center does not describe recording or transcribing them.

What does Workstream VoiceAI produce after a call?

Per Workstream's help center, each completed VoiceAI call has a Screening Summary on the applicant with audio playback of the full call, completion time, an overall matching score, each question and response marked Matched or Unmatched, low-confidence flags and a PDF download. It can speak English, Spanish, Canadian French and Chinese.

Which AI notetakers integrate with Workstream?

None that we found in October 2026. Workstream's integrations page lists point of sale, restaurant operations, payroll and HR, earned wage access, job board and background check partners, and its help center documents Google and Outlook calendar sync, but no meeting notetaker or phone system. Metaview's and CoRecruit's directories did not list Workstream.

How do managers add interview notes in Workstream?

Open the applicant, go to the Feedback tab, type or paste into the Add note field and click Add note, using @ to mention a teammate. To score the interview, choose My feedback, then Add feedback, rate each item of the position's evaluation plan and add optional comments. Files go on the Files tab with + Add File.
