Fountain's own AI interviews candidates rather than taking notes on your interviews. As of October 2026 its add-on, Anna, runs short structured screening interviews by phone or browser and returns a score, summary, transcript and recording to the applicant profile. For live interviews with a recruiter or hiring manager, Fountain offers scheduling, Whereby video rooms and manual scorecards but no recorder, so you either use a third-party tool (BrightHire lists Fountain, and so does Metaview's directory) or paste notes into the applicant's Notes section.

This page covers what Anna produces and its limits, where live interviews fit, which note takers list Fountain, exactly how to add notes and files by hand, and the consent questions that matter at high volume. Product facts link to the vendor pages we read, dated October 2026. For the hiring process around all of this, see our high-volume hiring process guide.

What is Fountain, and who uses it?

Fountain sells a hiring and workforce platform for frontline, high-volume employers, such as delivery, retail, food service, logistics and healthcare, and its homepage says it is trusted by 500+ frontline employers. Its ATS (Fountain Hire) is run by an agent called Cue that screens applicants, books interviews against live calendars and moves people toward offer. Anna is the AI recruiter, and other agents cover onboarding support and engagement. Fountain does not publish prices; its demo page offers pricing tailored to the products you choose.

What does Anna, Fountain's AI interviewer, produce?

From Fountain's Anna overview and data and retention article, as of October 2026:

  • Availability: an add-on you ask your Fountain representative to enable.
  • The interview: structured, role-specific questions with follow-ups when answers are short or unclear, by phone call, desktop browser or mobile browser (with video where the browser supports it). It usually takes about 5 minutes and runs 24/7; a dropped call can be resumed.
  • Results: an overall score on a 1 to 5 scale, a summary, promoter and detractor reasons, a Yes, Unknown or No rating with a comment for each qualification, the full transcript and the recording. Optional data extraction fields (for example certifications or availability) and integrity flags.
  • Where results appear: on the applicant profile, in an Interviews tab per opening, and in an Insights tab. An "Export interviews to CSV" option and a Share action exist; email and Slack notifications can send summaries.
  • Limits by design: Anna does not make final decisions, and AI Interview stage rules cannot move a candidate to Approved, Rejected or On Hold. It does not infer traits from voice or appearance.
  • Retention and deletion: retention depends on your contract and configuration, and deleting Anna reports, transcripts or recordings is not a self-serve admin action; you ask Fountain Support.

Anna answers a different question from a note taker. It replaces the first screen for applicants who will talk to an AI; it does not capture the interview your store manager runs on Thursday. Our explainer on what an AI interviewer is covers the difference, and our Phenom page covers another platform aimed at multi-location hiring.

What about live interviews with a recruiter or hiring manager?

Fountain's live video article describes a Scheduler stage with live video on Whereby: candidates open the room in their browser without installing an app, and sessions support up to 100 attendees. The article does not mention recording or transcription. Fountain's scorecards are completed manually by a reviewer, with Weighted, Unweighted or Comments Only types, and Fountain points to Anna for scoring free-text answers automatically.

So the gap is the human interview: phone screens from the recruiter's mobile, Whereby rooms, and on-site interviews at the store or warehouse. That is where an outside note taker, or disciplined typed notes, comes in.

Which AI note takers list Fountain?

Where we lookedWhat it shows, as of October 2026
Fountain's integrations pageBackground checks, assessments, document signing, job advertising, pay cards, E-Verify, an SAP SuccessFactors connection and CameraTag (video recording API). No AI note taker.
BrightHire's integrations pageFountain is listed among its applicant tracking systems.
Metaview's Fountain pageSays Metaview records, transcribes and summarizes calls scheduled through the ATS and syncs notes to candidate records. Its help center has no Fountain setup guide.
Employ's AI Interview Companion, FirefliesFountain not listed.

Neither listing says where notes land in Fountain or which plan is needed. Ask each vendor to post a test note to a real applicant before you sign.

How do you get notes into Fountain without an integration?

From Fountain's Applicant Profiles and file upload articles:

  1. Add a note. In the Applicant Profile, scroll to Notes, click Add Note, paste your summary and click Save. Notes are internal only and stamped with date, time and user.
  2. Decide on sharing. Tick Share across applications if the note should follow the person to their current and future applications, which suits availability and rehire information but not role-specific judgments.
  3. Attach the full write-up. Use More actions, then Upload File, pick a Data Key and upload a file under 15 MB. Applicants cannot see it; colleagues need the right role permissions.
  4. Score in the scorecard. Enter ratings and comments in the Fountain scorecard so reporting still works.

Our guide to AI notes without an ATS integration covers the general routine.

How do the realistic options compare?

We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. As of October 2026.

Interview Signal has no Fountain integration: you copy the scorecard or export it and paste it into Notes. Its ready-made note formats are for Bullhorn, Greenhouse, Lever and JobAdder only. It is desktop only, so it does not suit managers interviewing on a phone or on a shop floor; it does not record video; it is a newer product with few public reviews; and a phone screen must run through the computer.

  • Tell candidates when the AI interviews them. Fountain's transparency article warns that a sharing template that only says "interview" does not tell the candidate they will speak to an AI agent, and suggests offering a recruiter-led alternative where your policy or local law calls for it.
  • Video and AI. Anna can record video in the browser. If you hire in Illinois, read our page on the Illinois AI Video Interview Act; in New York City, read Local Law 144 and AI tools.
  • Slack and email are access decisions. Fountain notes that anyone in the target Slack channel or on a distribution list can read interview content for every candidate in that opening.
  • Human interviews. For any recorded live call, open with a spoken notice; our consent script has wording.

This is not legal advice.

Who should pick which option?

  • Anna: best for high-volume openings where most applicants will complete a five-minute AI interview and a recruiter reviews the results.
  • BrightHire: best for teams that want recorded human interviews with Fountain listed as a supported ATS, after a demo shows where notes land.
  • Metaview: best for recruiters running phone and video screens who want a free tier to trial.
  • Interview Signal: best for a desk-based recruiter who wants no bot and a quote-backed scorecard to paste; see Interview Signal for high-volume hiring.

Questions people ask

Does Fountain have an AI notetaker?

Fountain's AI is an interviewer rather than a note taker. As of October 2026 Anna, sold as an add-on, conducts structured interviews with candidates by phone or browser and returns a 1 to 5 score, a summary, a transcript and a recording to the applicant profile. Fountain's help center does not describe recording or transcribing live interviews between a recruiter and a candidate, including its Whereby-based live video stage.

Which AI note takers integrate with Fountain?

BrightHire lists Fountain on its ATS integrations page, and Metaview's integrations directory lists Fountain, although Metaview's help center had no Fountain setup guide in October 2026. Fountain's own integrations page lists background check, assessment, document signing, job advertising and pay partners, plus CameraTag for video recording, but no AI note taker.

How do I add interview notes to an applicant in Fountain?

Open the Applicant Profile, scroll to Notes, click Add Note, type the note, choose whether to share it across the applicant's applications, and save. Fountain stamps each note with the date, time and user, and applicants cannot see notes. To keep a full write-up, use More actions, then Upload File, for files under 15 MB.

Can Fountain's Anna reject candidates on its own?

No. Fountain's help center says Anna does not make final hiring decisions and that rules on an AI Interview stage cannot select the Approved, Rejected or On Hold stages. Fountain recommends routing scores to a review stage where a recruiter or hiring manager decides.
