For IT staffing, the AI note takers to shortlist as of October 2026 are Metaview (lists JobDiva, Ceipal and Bullhorn), CoRecruit (lists JobDiva and Bullhorn, with built-in VoIP and no visible bot), BrightHire for large firms on Bullhorn, Otter as a low-cost option with custom vocabulary for technical terms, and Interview Signal for recruiters who want a question guide and probing follow-ups on calls they are not technical enough to steer alone. IT desks should test two things other desks can skip: whether the transcript gets technical terms right, and what the tool does, or does not do, about candidates who are not who they say they are.

We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. For tools beyond note taking, such as sourcing and coding assessments, see AI tools for technical recruiters.

What does an IT staffing desk need from a note taker?

  • Technical terms spelled right. "Terraform," "EKS," "Kafka," a framework version: a transcript that mangles these produces a submittal a hiring manager will not trust.
  • Contract logistics captured exactly. Rate, W2 or corp-to-corp, work authorization, location, on-site days, availability and notice. Our IT contractor screening questions list them.
  • Notes in JobDiva, Ceipal or Bullhorn. The common IT staffing systems, each with its own idea of where a note belongs.
  • Help for non-technical recruiters. Most IT recruiters are not engineers. A tool that suggests the next question is worth more than a perfect summary of a shallow screen.
  • A view on candidate fraud. Remote IT roles attract impersonation, and a note taker is part of the evidence trail.

Which AI note takers fit IT staffing?

Each option, and who it suits

Metaview

Metaview's integrations page lists JobDiva, Ceipal and Bullhorn, which covers most IT staffing desks. A notetaker bot joins video calls, and phone screens go through the Metaview switchboard (Metaview FAQ). Pro is $60 per user per month with unlimited calls, and the free plan covers 25 calls a month (pricing). Best for: Ceipal desks, since it is the only recruiting note taker here that lists Ceipal. Watch for: a visible bot on client-hosted technical rounds, and the extra dial step on phone screens.

CoRecruit

CoRecruit lists JobDiva and Bullhorn among about 30 named systems on its integrations page, and its pricing page describes botless note-taking, AI submittals and capture of cell phone and VoIP calls, with unlimited US and Canada calling on its VoIP (CoRecruit pricing). Its JobDiva help article says setup needs an API username, password and a Client ID from JobDiva support. Best for: JobDiva or Bullhorn desks that want calling and submittals in one tool. Watch for: the 12-month minimum term, and Ceipal is not on the list.

BrightHire

BrightHire runs inside Zoom without a per-call bot, joins Google Meet as a participant, and on Teams asks you to add its recorder address to the invite (BrightHire). Its integrations include Bullhorn and click-to-call from the ATS; prices are not published. Zoom says its acquisition of BrightHire closed in December 2025 (Zoom). Best for: large IT staffing firms with structured interview loops on Zoom. Watch for: no published price, and its plans are built around recruiting and hiring teams rather than single desks.

Otter.ai

Otter is the clearest published example of custom vocabulary: 5 terms on the free plan, 100 names and 100 other terms on Pro, and 800 names and 800 other terms for the team plus 200 of each per user on Business (Otter pricing). Load your stack (cloud services, languages, frameworks, client names) before the first screen. Best for: a solo IT recruiter who wants accurate transcripts cheaply. Watch for: no IT staffing ATS named, and a summary is not a submittal.

Interview Signal

Ours is a desktop app that captures audio on your computer for Zoom, Teams, Meet and phone screens, with no bot. It builds a question guide from the job description, keeps must-ask questions pinned until they are asked, and suggests follow-ups with a reason (probe, clarify or evidence), which is what a non-technical recruiter needs when a candidate says "I owned the migration." Each score carries the candidate's own quotes, checked against the transcript, and the submittal is drafted in your template. Best for: recruiters screening roles they cannot judge technically. Watch for: no ATS integration, desktop only, and phone screens must run through the computer.

How do you test technical accuracy before you buy?

  1. Pick three live requisitions with dense stacks, for example a data engineer, a DevOps engineer and a .NET developer.
  2. Write down twenty terms from those job descriptions, including acronyms and version numbers.
  3. Run a 15-minute mock screen with a technical colleague who uses those terms naturally.
  4. Count how many come out right in each tool's transcript, before and after adding custom vocabulary where it exists.
  5. Check the numbers: rate, years of experience and dates are where a wrong transcript does most damage.

Pair it with our software engineer phone screen questions so the mock call sounds like your real ones.

What can a note taker do about fake IT candidates?

The FBI's public service announcement of January 23, 2025 said North Korean IT workers had been observed "using artificial intelligence and face-swapping technology during video job interviews," and recommended identity verification during interviewing and onboarding, cross-checking applicants with matching resume content or contact details, and completing as much of hiring as possible in person (FBI IC3 PSA I-012325-PSA).

No note taker verifies identity. What one can do is leave evidence you can compare:

  • Consistent answers across rounds. Put the screen transcript next to the client interview notes. Different project details for the same job are worth a question.
  • Specifics, not generalities. Ask for the version, the team size, the outage. Our guide to interviewing for technical roles as a non-technical recruiter has verification questions anyone can ask.
  • Answers that sound read out. Interview Signal's private answer check flags answers that read as AI-written or read out and suggests a question to try. It never changes a score and never appears in the submittal, because a flag is a prompt to ask more, not a verdict.
  • A separate identity step. Whatever your note taker does, run the identity checks the FBI describes as their own step.

What should land in the ATS after an IT screen?

Whichever tool writes the first draft, the note your account managers and clients read should have the same shape every time, so a recruiter on another desk can pick up the candidate next quarter:

Role / client: [requisition]
Logistics: rate [ ], W2 or C2C [ ], work authorization [ ],
                      location and on-site days [ ], available from [ ]
Core stack (verified): [tool + version + what they built with it]
Claimed but thin: [skills mentioned without a specific example]
Evidence quotes: [two or three of the candidate's own sentences]
Risks / follow-ups: [gaps, inconsistencies, questions for round two]
Submitted to: [client, date]

"Claimed but thin" is the line most summaries leave out and most clients want. It tells the next interviewer where to push.

How do you choose?

  • On Ceipal: Metaview is the one recruiting note taker that lists it.
  • On JobDiva: compare Metaview and CoRecruit on a real candidate record.
  • On Bullhorn, large and structured: add BrightHire to that comparison.
  • Budget first: Otter Pro or Business with a loaded vocabulary.
  • Recruiters who need help running the call: Interview Signal, pasting into your ATS.

For desk-wide rollout steps and ATS testing, our staffing agency guide and Ceipal note taker page cover the details.

Questions people ask

Which AI note taker integrates with JobDiva?

As of October 2026, both Metaview and CoRecruit list JobDiva on their own integrations pages. Metaview also lists Ceipal and Bullhorn; CoRecruit lists Bullhorn but not Ceipal. Ask to see a note posted to a JobDiva candidate record during the trial.

Can an AI note taker spell technical terms like Kubernetes or Terraform correctly?

Accuracy varies, so test it with your own roles. Some tools let you add custom vocabulary: Otter allows 5 terms on its free plan, 100 names and 100 other terms on Pro, and larger team and personal lists on Business. Read every transcript for tool names and version numbers before they go into a submittal.

Can an AI note taker detect a fake candidate in an IT interview?

No note taker verifies identity. The FBI warned in January 2025 that some North Korean IT workers used AI and face-swapping in video interviews, and recommended identity checks during interviewing and onboarding. Transcripts help you compare answers across rounds, and Interview Signal privately flags answers that read as AI-written or read out, but identity checks are a separate step.

What should an IT staffing note taker capture on a contractor screen?

Rate and pay type (W2 or corp-to-corp), work authorization, location and on-site willingness, availability and notice period, the specific tools and versions used in recent projects, and who can confirm that work. Those are the details clients check first.
