For healthcare staffing, the AI note takers to compare as of October 2026 are CoRecruit (cell phone, VoIP and WhatsApp capture with Bullhorn sync), Metaview (lists Bullhorn, Ceipal and Avionté, with phone calls through its switchboard), Fireflies and Otter (inexpensive, with dialer integrations and HIPAA options on Enterprise plans), the AI call summaries built into Zoom Phone and Teams Phone, and Interview Signal for phone screens run through the recruiter's computer. The deciding questions are how your recruiters actually call nurses, which ATS the notes must land in, and whether your counsel wants a vendor that signs a BAA.

We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. For the general agency case, see our AI note takers for staffing agencies guide; this page covers what is different about clinical desks.

What is different about healthcare staffing calls?

  • The phone, not the calendar. Nurses, therapists and techs call back between shifts, from a car or a break room. Few of these conversations are scheduled video meetings, so a tool that needs a calendar invite misses most of them.
  • Details that sink a submittal. License states and compact status, specialty, certifications and expiry dates, unit type, shift preference, start date and requested time off. One wrong license state wastes a credentialing cycle.
  • Volume. A travel or per diem desk can run dozens of short screens a week, so per-call friction adds up fast.
  • Healthcare ATS. Bullhorn, Ceipal and Avionté are common, and a note on the wrong record is as good as no note.
  • Clinical stories. Clinicians explain their experience with patient cases. That raises a fair question about vendor agreements, covered below.

Which AI note takers fit a healthcare staffing desk?

Each option, and who it suits

CoRecruit

CoRecruit lists capture from cell phone calls, VoIP and WhatsApp as well as video, describes note-taking "with no meeting disruption or visible bots," writes AI submittals, and syncs notes and summaries to Bullhorn and 40+ other systems (CoRecruit pricing). Its VoIP includes unlimited US and Canada calling. Plans run on a 12-month minimum term. Best for: Bullhorn-based travel and per diem desks that want calling, notes and submittals in one product. Watch for: Ceipal and Avionté were not on its integrations list, and its site does not mention healthcare or a BAA.

Metaview

Metaview is the only recruiting note taker here whose integrations page lists all three common healthcare staffing systems: Bullhorn, Ceipal and Avionté. Video interviews get a notetaker bot, and phone calls require calling the Metaview switchboard (Metaview FAQ). Best for: desks on Ceipal or Avionté. Watch for: the switchboard step on every phone screen, which is where most healthcare conversations happen. Our Ceipal note taker page covers setup questions.

Fireflies.ai

The Fireflies desktop app records system audio without a bot and, per its help center, captures iPhone calls through FaceTime settings on a Mac and Android or iPhone calls paired through Phone Link on Windows (Fireflies help). Its integrations page lists Zoom Phone, RingCentral, Aircall and OpenPhone dialers. Its recruiting page says a BAA is available "on Enterprise with Private Storage" (Fireflies). Best for: agencies that want inexpensive transcripts of mobile calls and may need a BAA. Watch for: no Bullhorn, Ceipal or Avionté integration, and a meeting summary, not a submittal.

Otter.ai

Otter's integrations page lists transcription of Zoom Phone and RingCentral calls (Otter integrations), and its pricing page lists HIPAA compliance as an add-on on Enterprise (Otter pricing). Best for: recruiters already on RingCentral or Zoom Phone. Watch for: no healthcare ATS named, and the free plan stops transcribing at 30 minutes.

The AI built into your phone system

If your agency already runs on Zoom Phone, Zoom's support article says users with a Zoom Workplace license with Phone, or a standalone Zoom Phone plan, can generate an AI summary of a call, and admins can play a prompt to the other party when the summary starts (Zoom support). On Teams Phone, Microsoft's intelligent recap produces AI notes and tasks for PSTN calls when the user has Teams Phone, a calling plan and a Teams Premium or Microsoft AI add-on license, with transcription turned on (Microsoft Learn). Best for: no new vendor to review. Watch for: generic call notes with no submittal and no ATS write-back.

Interview Signal

Ours captures audio on the recruiter's Windows or Mac computer, so a screen on a softphone or a computer-based dialer works the same way as a Zoom call, with no bot. It builds the question guide from the job description and keeps must-ask questions pinned until they are asked, so put license states and certifications on that list; the submittal is drafted in your agency’s template and every score carries the candidate’s own quotes. Transcripts stay on the recruiter's computer, and it includes a read-aloud consent line and notice text by jurisdiction (security). Best for: recruiters who screen from a laptop and send many submittals. Watch for: calls on a mobile phone that do not run through the computer are not captured, there is no ATS integration, and there is no mobile app.

Do you need a HIPAA business associate agreement?

This is general information, not legal advice. Ask your counsel whether HIPAA applies to your agency and to recruiting calls.

A screening call is about the clinician, not a patient, but clinicians often describe real cases to show their experience. Two practical steps cut the risk whatever your counsel decides. First, coach recruiters to ask for de-identified examples ("without names or dates, tell me about a rapid response you led"). Second, if counsel wants a BAA, the published options as of October 2026 are Fireflies Enterprise with Private Storage, Otter's Enterprise HIPAA add-on, and Granola Enterprise, which says it can sign a BAA covering its desktop apps (Granola FAQ). A tool that keeps transcripts on the recruiter's computer, as ours does, changes where data sits but is not a substitute for that legal review.

What should the notes capture on a nurse screen?

Whatever tool you use, check these against the recording before a submittal goes out. They are the fields clients and credentialing teams reject profiles for:

  1. Active license states, and compact status where relevant.
  2. Primary specialty, unit types and years in each.
  3. Certifications and their expiry dates.
  4. Shift, schedule and float preferences.
  5. Earliest start date and any requested time off.
  6. Pay expectations and anything said about other offers.
  7. References, and who can verify recent experience.

Our nurse phone screen questions and nurse scorecard give you the questions to make sure each item is asked.

How do you choose?

  • Most screens on mobile phones: CoRecruit, or Fireflies' desktop app with a paired phone.
  • On Ceipal or Avionté: start with Metaview, and test the switchboard on a real screen.
  • Counsel requires a BAA: Fireflies Enterprise, Otter Enterprise or Granola Enterprise.
  • Your phone system is Zoom or Teams: try its built-in call summary before buying anything.
  • Screens from a laptop softphone, many submittals a week: Interview Signal.

Candidates on a healthcare desk often sit in a different state from the recruiter, so treat every call as needing everyone's consent; see recording calls across state lines and how to record a phone screen.

Questions people ask

Which AI note taker works on phone screens with nurses?

As of October 2026, CoRecruit captures cell phone and VoIP calls, Metaview captures phone calls when you dial through its switchboard, the Fireflies desktop app captures calls routed through FaceTime on a Mac or Phone Link on Windows, and Interview Signal captures phone screens that run through the recruiter's computer. If your desk already uses Zoom Phone or Teams Phone, their built-in AI call summaries are another route.

Which AI note takers integrate with Bullhorn, Ceipal or Avionté?

Metaview's integrations page lists Bullhorn, Ceipal and Avionté. CoRecruit lists Bullhorn but not Ceipal or Avionté. Fireflies and Otter do not list any of the three. Interview Signal has no integration but produces notes shaped for Bullhorn that you paste in.

Do AI note takers sign a HIPAA business associate agreement?

Some do, on specific plans. Fireflies says a BAA is available on Enterprise with Private Storage, Otter lists HIPAA compliance as an Enterprise add-on, and Granola signs a BAA for Enterprise customers. Whether your agency needs one is a question for your counsel; this is not legal advice.

What should a healthcare staffing note taker capture on a nurse screen?

License states and compact status, specialty and years in it, certifications with expiry dates, shift and unit preferences, start date, time-off requests and the pay expectations discussed. These are the details a submittal is rejected for when one is wrong, so check them against the recording before sending.
