Interview Signal client submittal: written in your agency's template
On this page
When you press "End interview", Interview Signal opens the review screen and writes the client submittal in the template set on the role, using only what was said in the transcript, your scorecard and your notes. Anything the call did not cover is written as "Not discussed." instead of being guessed, and the numbers (fit, date, length, coverage, the scorecard table) are filled in by the app rather than retyped by the model. You edit it, then copy, export or email it. This describes version 0.9.10, current as of October 2026.
Which template does the submittal use?
The one chosen on the role. On the kit screen, "Submittal template" lists the five built-in templates (Exec one-pager, Technical, Sales, Executive search, and Contract / temp) and any your agency has made, which show "(yours)" after the name. The template is picked once per role, so every candidate for that role gets the same document.
Your own templates are made in the web account (interviewersignal.com/app), under "Templates": an admin presses "Duplicate and edit" on any template, renames it, changes the body and presses "Save template". The placeholders the editor lists are candidate, role, recommendation, fit, availability, why_fit, strengths, risks, comp_logistics, environment, evidence, scorecard_table, interviewer, date, duration, coverage and footer. Built-in templates cannot be changed, only copied. If you delete one of your own, roles that used it fall back to the default. The Solo plan includes your own templates, according to the pricing page.
What goes into the submittal, and what stays out?
| Filled in by the app before the model writes | Written from the interview |
|---|---|
| Candidate name and role | The recommendation and why they fit |
| Fit, with "(3 of 4 areas scored)" when not every area was scored | Strengths and risks, with the candidate's own words |
| Interviewer, date and length of the interview | Compensation, availability and logistics, as stated |
| Coverage, such as "9 of 11 questions, 3 of 3 must-asks" (example) | Any other section your template asks for |
| The scorecard table: area, score, one-line assessment |
The writing follows fixed rules:
- Facts come from the transcript and nothing else. Years of experience, seniority, tools, availability, notice period and compensation are never inferred.
- Gaps are written as "Not discussed." That tells you what to chase and tells the client what is actually known. A placeholder left unfilled is turned into "Not discussed." too.
- Quotes are word for word. The scorecard quotes it works from have already been checked against the transcript; anything it cannot quote is described without quotation marks.
- Every scorecard area appears. An area the interview never reached is written as not assessed, not silently dropped.
- The recommendation comes first. A reservation goes in the first line, not the last paragraph.
- No guessed currency. A figure keeps the units it was spoken with. If a symbol appears on a number the candidate never gave a currency for, the app removes it, adds "Figures above are as the candidate stated them. No currency was named in the interview.", and warns you to add the right one before sending.
- No inferred gender. The candidate is named or called "they" unless the transcript uses a pronoun.
- Your input is labeled. Your notes are used as your observations, never inside quotation marks, and the writer is told which scores you set yourself and what the model had read.
- The CV is context, not evidence. If you attached a CV, no fact or quote is taken from it; its one use is a risk line where the CV claims something the interview did not establish.
It is written in the interview's language, which the review screen shows under "This interview".
How do I edit and send it?
- Check the three fields at the top. "Candidate", "Job title" and "Company or client" are often wrong right after a call. Change one and the app saves it and says "Press Rewrite if the submittal should use the new name."
- Read and edit the text. The submittal opens as editable text. "Preview" shows it formatted; "Edit" goes back. Your edits are saved when you click away from the box.
- Add anything you noticed. Type in "Your notes" on the right, then press "Rewrite" to work them in. Rewrite writes the whole document again, so make hand edits after it, not before.
- Send it. Use "Copy", "Export .docx", "Email to client" or one of the other buttons under the document. Each is explained in the exports guide.
The panel beside the document shows the interview's length, fit, questions and must-asks covered, the consent choice and the language, plus the scorecard, your notes and the end of the transcript. If any answers were flagged by the answer check, they are listed there "for you only — not in the scorecard or the submittal".
What if the writing service is unavailable or my minutes ran out?
You still get a document. With no connection, or if the service fails, the app writes a plain submittal from the scorecard on your computer: a heading with fit, date and length, an "Assessment" table, "Strengths" (areas scored 7 or more that have quotes, with up to two quotes each), "Risks and what to probe" and "Coverage" with the questions not covered. A line in the document says it was written from the scorecard, and a message tells you to press "Rewrite" later.
On Free or Pay as you go, the interview that uses your last minute still gets its scorecard and submittal: writing stays open for two hours after the last counted minute. After that, the scorecard version is written and the message explains that Rewrite will work again once you buy hours or upgrade. See free minutes and plans and pricing.
Where is the submittal stored?
As submittal.md in the interview's own folder on your computer; "Show files" at the top of the review screen opens it. The submittal, the transcript, the quotes and the candidate's name are never uploaded. When you export it, the app sends counts and durations, plus which kinds of export you used, so a team's coverage report works. Details are on the security page.
Limits
- It is only as accurate as the transcript. Read names, numbers and compensation before you send.
- There is no ATS integration. You paste the submittal or a shaped note into Bullhorn, Greenhouse, Lever or JobAdder yourself.
- Rewrite replaces the whole text, including your hand edits.
- Templates are edited in the web account, by an admin, not inside the desktop app.
Questions people ask
Can Interview Signal write the candidate submittal in my agency's own format?
Yes. Each role has a submittal template, chosen on the kit screen. Interview Signal ships five built-in templates, and an admin can duplicate one in the web account, change its headings and wording, and save it as the agency's own. The submittal keeps that template's headings and their order.
Does Interview Signal make up details in the submittal that the candidate never said?
It is instructed not to, and the app backs that up. Every fact has to come from the transcript, and any section the interview did not cover is written as Not discussed. Quotes must be word for word, the scorecard quotes have already been checked against the transcript, and if a currency symbol appears on a figure the candidate never gave a currency for, the app removes it and warns you.
What happens to the Interview Signal submittal if I lose my internet connection?
You still get a document. If the writing service cannot be reached, the app builds a plain submittal from the scorecard on your computer, with the assessment table, strengths with quotes, risks to probe and the questions not covered, and tells you to press Rewrite when you are back online.
Do AI answer check flags appear in the Interview Signal submittal?
No. Answers flagged as possibly AI-written or read out are listed on the review screen for the recruiter only. They are not part of the scorecard, not written into the submittal and not included in anything that leaves the computer.
