A help desk technician job description should name the desk (internal, MSP, customer product support or 24/7), the channels and queue (phone, chat, portal, walk-up, with daily volume as an estimate), the shift and on-call pattern, the caller identity verification the technician must follow, what tier 1 may fix and what it escalates, and the systems by name. CompTIA A+ belongs in the preferred list, and help desk technicians are almost always non-exempt. BLS put the national median pay for computer user support specialists, also called help-desk technicians, at $61,860 a year in May 2025. The rules and sources below are as of October 2026.

This template is for the first line of support: the person who answers, logs, verifies, fixes what the knowledge base covers and escalates the rest with good notes. If the role is broader, with deskside imaging, field visits or systems work, start from the IT support specialist job description template. Below are the desk types, a copy-ready template, the certification, security, overtime and pay lines with sources, screening and scorecard rows, and common mistakes. For the call itself, use help desk technician screening questions.

Which help desk are you hiring for?

DeskWhat the shift looks likeMust-have that separates it
Internal corporate help deskEmployees' password resets, access requests, email and productivity apps, printers, VPN, triage to tier 2Follows verification and knowledge base steps; clear ticket notes
MSP help deskMany small client companies, remote tools, time entries per client, different setups each callSwitches between client environments and documents per client
Customer product support deskCustomers of a software or device product, account and configuration questions, bug reports to engineeringExplains product steps to non-technical customers; writes reproducible bug reports
Campus, hospital or 24/7 deskRound-the-clock coverage, shift handoffs, urgent access for clinical or campus systemsWorks nights or weekends reliably; clean handoff notes
Help desk with walk-up or light desksideQueue work plus a walk-up counter, device swaps and new-hire setupsComfortable with in-person users and hardware basics

Then settle the numbers with the service desk lead: users or customers supported, tickets per technician per day (an estimate), the channel mix, target response and resolution times, the shift pattern and on-call, what tier 1 may do with admin rights, and the ticketing, identity and remote support tools. BLS says computer user support specialists respond in person or by phone, online chat or email, diagnose and record problems, guide users through fixes and report recurring issues, and that because support may be needed around the clock some work nights or weekends (BLS Occupational Outlook Handbook, last modified August 27, 2026).

Certifications, caller verification, overtime and pay: the lines with sources

Not legal advice. These points were checked against CompTIA, PeopleCert, Microsoft, CISA, the Department of Labor and BLS as of October 2026. State overtime rules can be stricter; confirm classification with counsel.

Education. BLS says computer user support specialists typically need some college courses, and that a high school diploma with relevant IT certifications can also qualify; certification programs are offered by vendors and by vendor-neutral providers (BLS profile above). That supports a "coursework, certification or equivalent experience" line rather than a degree requirement.

Certifications. CompTIA A+ requires passing two exams, Core 1 (hardware and networking) and Core 2 (operating systems and security), and CompTIA lists help desk support specialist as a target role (CompTIA A+). A+ is valid for three years from the certification date (CompTIA renewal policy), so "current or expired A+" is a fair question. ITIL 4 Foundation, issued by PeopleCert, fits desks that run incident and request processes. For a desk that leans toward device management, Microsoft 365 Certified: Endpoint Administrator Associate (exam MD-102, renewed every 12 months) is an intermediate-level credential suited to tier 2 (Microsoft Learn); keep it out of a tier 1 must-have list.

Caller verification. CISA's advisory on the Scattered Spider group, revised July 29, 2025, says the actors posed as employees to convince IT and help desk staff to reset passwords and conducted calls to get help desk personnel to reset passwords and transfer MFA tokens (CISA AA23-320A). Make verification a written duty in the posting, ask about it on the screen, and say who the technician escalates to when a caller pushes back.

Exempt or non-exempt. The computer employee exemption requires a primary duty such as the design, development, analysis, testing or modification of computer systems or programs, paid on a salary at no less than the standard level or, if hourly, at least $27.63 an hour. It does not include employees who repair computer hardware, and employees whose work is highly dependent on computers and software are not exempt under it unless their primary duty is that skilled work (DOL Fact Sheet 17E; standard level $684 a week on the salary levels page). A tier 1 help desk role is almost always non-exempt; see exempt vs. non-exempt for new hires, and pay for shift handoffs and on-call callbacks.

Background checks. If the technician can reset accounts or see sensitive data, say a background check applies and follow the FCRA background check process: standalone disclosure, written authorization, and the pre-adverse action steps.

Physical requirements and pay. Describe the work as tasks (headset and screen work for the shift, walk-up counter, carrying devices) and add an accommodation contact. For pay, the BLS national median for computer user support specialists was $61,860 a year in May 2025 (for all computer support specialists, $62,890 a year or $30.24 an hour). Local rates differ, so post your own range and differentials and check pay transparency laws by state.

The full call, including how to weigh A+ and ITIL, is in help desk technician screening questions. Later rounds with a ticket queue exercise and a social engineering call are in the interview guide for IT support roles, and the first three months are in the 30-60-90 day plan for IT support specialists. Candidates from phone-heavy service jobs often do well; compare call center screening questions.

Common mistakes in help desk technician job descriptions

Systems administrator duties in a tier 1 posting

Server builds and firewall changes in a help desk ad attract people who will leave for a tier 2 title. List what tier 1 really does and what it escalates.

No channels, volume or shift

Thirty calls a day on overnights and ten portal tickets on days are different jobs. Put the numbers, labeled as estimates, in the summary.

Leaving out identity verification

If the posting talks only about friendly service, candidates assume speed beats procedure. Write verification into the duties.

Requiring A+ and a degree for an entry seat

BLS says some college courses, or a high school diploma with IT certifications, can qualify. Prefer A+, train on your tools, and test communication and troubleshooting.

Posting it as salaried and exempt

Help desk work does not meet the computer employee duties test. Post it as overtime-eligible.

Before you publish

  • Desk type, users, channels, daily volume and tier boundaries are in the summary.
  • Shift, weekends, on-call and how each is paid are stated.
  • Caller verification is a written duty.
  • Certifications are preferred unless a contract requires them.
  • The role is posted as overtime-eligible with a pay range, any background check, the EEO statement and an accommodation contact.

Questions people ask

What is the difference between a help desk technician and an IT support specialist job description?

A help desk technician posting describes first contact: a queue of calls, chats and portal tickets, password and access requests, troubleshooting from a knowledge base, and escalation to a second tier. An IT support specialist posting is usually broader, adding deskside work, device imaging, field visits or systems tasks. BLS groups both under computer support specialists and notes that computer user support specialists are also called help-desk technicians.

Is a help desk technician exempt from overtime?

Almost never. The FLSA computer employee exemption requires a primary duty of skilled work such as systems analysis or programming, paid on a salary at the standard level or at least $27.63 an hour, and the Department of Labor says employees whose work is highly dependent on computers but is not that kind of work are not exempt under it. Post help desk roles as overtime-eligible and pay for after-hours and on-call work.

Should a help desk job posting require CompTIA A+?

Usually list it as preferred. CompTIA A+ requires two exams, Core 1 on hardware and networking and Core 2 on operating systems and security, and is valid for three years from the certification date. CompTIA lists help desk support specialist as a target role. For candidates without IT work history it shows structured study; for experienced technicians, ticket and troubleshooting stories matter more.

Why should a help desk job description mention caller verification?

Because help desks are a known social engineering target. CISA's advisory on the Scattered Spider group, revised July 29, 2025, describes attackers posing as employees to convince IT help desk staff to reset passwords and transfer multi-factor tokens. Writing identity verification into the duties tells candidates that following it, even with an impatient caller, is part of the job.
