Grain is a meeting recorder and AI note taker built mainly for sales teams, with a hiring page that centers on video highlight clips of candidates' answers. As of October 2026 it records interviews with a bot on Zoom, Google Meet, Microsoft Teams and Webex, which saves video, or with bot-free Desktop Capture on Apple Silicon Macs and Windows, which saves only a transcript and notes. The free plan limits each meeting to 45 minutes; Pro is $15 a month billed annually. Grain lists no applicant tracking system integration.

This page covers what Grain offers recruiters, the trade-off between its two capture modes, what each plan means for interviews, the settings to review, and who Grain suits. Each product fact links to Grain's own site and was checked in October 2026.

What does Grain offer recruiters?

Grain's recruiting page describes three uses: including highlight clips in interview feedback so decision-makers hear the candidate first-hand, organizing past interviews with collections and tags, and embedding highlights in tools such as Notion and Slack to work with hiring managers asynchronously. The page also says recorded interviews reduce bias. That is Grain's claim, not a measured result we could check, and a recording only helps if the people reviewing it use the same criteria. A shared interview scorecard does more for fairness than the recording itself.

Beyond that page, Grain is a general meeting tool: AI notes and action items, search across meetings, custom AI prompts and note templates on paid plans, and conversation intelligence for sales on Business, according to the pricing page.

The trade-off: clips need video, and video needs the bot

The feature Grain sells to hiring teams, a short video of the candidate's answer dropped into feedback, depends on a saved video. Grain's help center is explicit that Desktop Capture saves no media file and that video comes only from the bot. Its Desktop Capture article lists what you can do with a bot-free capture: read and edit the transcript, edit the AI notes, copy a link and send the transcript to an AI assistant. Video clips are not on that list.

So a recruiter choosing Grain is choosing between two different products:

  • Bot mode: clips and playback for hiring managers, with a named recorder in every interview that the candidate must be told about.
  • Desktop mode: nothing on the call and no video stored, which is closer to what candidates expect from a screen, but no clips.

Desktop Capture also transcribes live in six languages (English, Spanish, French, German, Italian and Portuguese) and processes others after the meeting, which matters if you interview in other languages. Our page on AI note takers without a bot compares other bot-free tools.

What does Grain cost for a recruiter?

From Grain's pricing page, as of October 2026. The last column is arithmetic at the annual rate.

PlanPriceWhat matters for interviewsOne recruiter for a year
Free$0Unlimited meetings up to 45 minutes each, 30-day history, AI notes, Desktop Capture, Zapier, personal API$0
Pro$15/mo billed annually, or $19 monthlyMeetings up to 4 hours, unlimited history, unlimited uploads and imports, custom AI notes$180
Business$29 per seat/mo billed annually, or $39 monthly; 2-seat minimumShared workspace with admin controls, meetings up to 8 hours, Slack, HubSpot and Salesforce, free viewer seats$348 per seat
EnterpriseContact salesSAML SSO and SCIM, custom data retention, bring your own modelNot published

Two points change the real cost for hiring:

  • The 45-minute cap. Many first-round interviews and most panels run longer than 45 minutes, so Free suits short screens only.
  • Viewer seats. Grain's pricing FAQ says only people who record, upload or import need paid seats; others can be free viewers who see and comment on meetings shared with them. On Business, hiring managers who only review clips need not be paid seats, though the workspace needs at least two.

Does Grain connect to an ATS?

Not directly. The integrations page lists Webex, Microsoft Teams, Google Meet, Zoom, HubSpot, Salesforce, Aircall, Slack, Productboard and Zapier. Grain describes the Zapier integration as a way to push recordings, clips and stories into other tools, which is the route to an ATS that accepts Zapier input. Otherwise, copy the notes and paste a clip link onto the candidate record, and check first that your ATS accepts external links on candidate profiles.

Which settings should you review before the first candidate call?

  1. Auto-record rules. Grain records by meeting type: internal, external or unscheduled. Candidate interviews are external, so check what your external setting does for both the bot and Desktop Capture.
  2. Auto-share rules. Bot recordings follow your team's auto-share settings. Decide whether interview recordings should reach a whole team or only the hiring panel.
  3. Bypass waiting room on Google Meet. Grain's bot article says this adds the bot as a calendar attendee to meetings you organize. The candidate will see it in the invite, so mention it there.
  4. Bot display. Change the bot's name and chat message so it reads as a note-taker for you, not an unknown attendee.
  5. Inactivity timeout. The bot leaves after 10 minutes of silence on Free and 30 on paid plans, which matters if a candidate is late or a panel has a long pause.
  6. Consent. Grain's help center says you are responsible for consent and suggests telling participants at the start, respecting a refusal and asking again when someone joins mid-call.

On data, the pricing page says Grain never trains AI on meeting data on any plan, holds SOC 2 Type II, and hosts data on AWS in the USA. A consent wording you can adapt is in our interview recording consent script. This is general information, not legal advice.

Which Grain features should hiring teams use carefully?

Business adds AI coaching and team interaction insights, built for coaching sales calls. Pointed at candidates, talk-time and interaction scores measure style rather than ability, and AI output that substantially assists a hiring decision can bring rules such as NYC Local Law 144 into play. Keep those features for coaching interviewers, if at all, and score candidates against job criteria yourself.

Clips need care too. A 40-second clip shows one answer out of an hour; a hiring manager who watches only clips is judging a highlight reel someone else chose. Share clips as evidence for a rating, alongside the full transcript, and follow the approach in taking interview notes as a hiring manager.

Where does Grain stop for recruiting?

Gaps we found on Grain's own pages as of October 2026:

  • No ATS integration listed; Zapier or copy and paste.
  • No video without the bot, so clips and bot-free capture do not go together.
  • Phone screens only through the Aircall integration, or Desktop Capture if the call runs on your computer (Grain says it works on any meeting platform); capture of an ordinary mobile call is not described.
  • No interview scorecard or submittal output; custom note templates on Pro are the nearest thing.
  • Hardware limits: no Intel Mac support for Desktop Capture.

Who should use Grain for interviews?

Grain makes sense if:

  • Your hiring managers want to watch candidates' answers rather than read notes, and candidates are told a recorder will join.
  • Your company already uses Grain for sales calls and adding interviews is free.
  • You want free viewer seats so reviewers do not need paid licenses.

Look elsewhere if:

  • You need notes posted to an ATS without Zapier.
  • You screen mostly by phone.
  • You want structure during the interview, not a recording after it.

We make Interview Signal, one alternative for that last group: a Windows and macOS app with no bot that captures phone screens taken through the computer and writes a scorecard and submittal, but records no video and has no ATS integration; everything about Grain on this page comes from its own site, linked and dated. Other recorders are compared in call recording apps for recruiters.

Questions people ask

Does Grain join interviews as a bot?

By default its bot joins Zoom, Google Meet, Microsoft Teams and Webex as a visible participant and saves an MP4 video. As of October 2026 Grain also offers Desktop Capture for Apple Silicon Macs and Windows, which records your computer's audio with no bot, but it keeps only a transcript and AI notes, not video.

Does Grain integrate with Greenhouse or another ATS?

No applicant tracking system appears on Grain's integrations page as of October 2026. It lists Zoom, Google Meet, Teams, Webex, HubSpot, Salesforce, Aircall, Slack, Productboard and Zapier, so recruiters move notes into an ATS through Zapier or by copying them.

Is Grain's free plan enough for job interviews?

Only for short ones. As of October 2026 Grain Free records unlimited meetings but each is limited to 45 minutes, and meeting history is kept for 30 days. Pro, at $15 a month billed annually or $19 monthly, raises the limit to 4 hours per meeting with unlimited history.

Can I make video clips of a candidate's answers without the Grain bot?

No. Grain's help center says Desktop Capture stores no video, only a transcript and AI notes, so shareable video clips of an interview need the Grain bot in the call. If you want clips, tell candidates in advance that a recorder named Grain will join.
