As of November 2026, the best interview scheduling software depends on how many people each interview involves and who your candidates are. GoodTime and ModernLoop are built for recruiting coordinators who book multi-interviewer loops, with load balancing and interviewer training; Gem Scheduling suits teams already using Gem; Paradox, which Workday acquired in 2025, is the text-first conversational option for high-volume hourly hiring; Cronofy adds panel scheduling inside Greenhouse, Workday and other ATSs; and Calendly and YouCanBookMe are low-cost self-scheduling links for one-on-one screens. Before buying any of them, check what Greenhouse or Ashby already includes.
Which kind of scheduling tool do you need?
- Self-scheduling links. The candidate picks a time from one interviewer's or a team's calendar. Calendly, YouCanBookMe and most ATSs do this; it suits phone screens.
- Coordinator platforms. Software builds loops across several calendars, balances interviewer load, schedules trainees and replaces decliners: GoodTime, ModernLoop, Gem, Cronofy, Ashby's add-on.
- Conversational scheduling. An assistant texts the candidate, offers times and handles changes in one thread: Paradox, and GoodTime's agent.
How we chose
- It books interviews from interviewers' real calendar availability, by link, coordinator workflow or conversation.
- It serves at least one of three buyers: staffing agencies, in-house teams, or employers hiring hourly staff at volume.
- We list only the ATS integrations each vendor names, and say so when it names none.
- The product must be sold today under that name. Prelude is not listed: Calendly announced it had acquired Prelude in 2022, and we could not find Prelude sold as its own product now.
- Every fact comes from the vendor's own site or help center, checked in November 2026 and linked below. We did not score or rank the tools.

The tools one by one
GoodTime
GoodTime Hire schedules single-day, multi-day and panel interviews, spreads interviews across qualified interviewers "based on availability and workload limits," and books trainees into shadow and reverse-shadow interviews. Its AI agent, Cori, schedules, reschedules, replaces unavailable interviewers and follows up by email, text, Slack or Microsoft Teams (GoodTime Hire). It lists eight ATSs plus Google Calendar, Office 365 and Outlook (integrations), and prices by annual candidate volume with unlimited users, by quote (pricing). Best for: in-house teams running many complex loops.
ModernLoop
ModernLoop sends scheduling links when candidates move ATS stages, then its algorithm proposes "multiple potential schedules. You choose," handling time zones and interviewer load. It calls what it automates today "rules and optimization you can inspect" (ModernLoop). Training places trainees in the number of shadows and reverse shadows you set (training). It names Workday, Greenhouse, Lever, Ashby, SmartRecruiters and Avature (integrations) and quotes by team and volume (pricing guide). Best for: coordinators who want scheduling to start from the ATS stage. Trade-off: no text reminders described.
Gem Scheduling
Gem lets candidates "book directly into your team's availability," finds panel times across interviewers and time zones, and sends candidates confirmations and reminders by email or SMS; it names Greenhouse, Lever and Gem ATS as native integrations (Gem Scheduling). Trainee pools handle shadows and reverse shadows (Gem help). Pricing is custom; the Startup Program shows $130 a month on a yearly term for 1 to 10 employees (Gem pricing). Best for: teams already using Gem.
Calendly
Calendly names Greenhouse, JazzHR, LinkedIn Recruiter, Zoho Recruit and Gem for recruiting (Calendly). Its Greenhouse integration supports only one-on-one event types, not round-robin, collective or multi-step interviews (Calendly help). Text reminders need a paid plan and the invitee's opt-in, and leave out reschedule links unless you add them (texts). Standard is $10 and Teams $16 per seat per month billed yearly; round robin needs Teams (pricing). Best for: one-on-one screens and hiring manager calls.
YouCanBookMe
YouCanBookMe handles one-on-one, panel, in-person and virtual interviews from a booking link, embed or QR code, with Google, Outlook and Apple calendars and Zapier, but names no ATS (YouCanBookMe). Free allows 30 bookings a month; Individual is $9, Professional $13 and Team $18 per member per month, 10% less billed yearly; SMS costs extra (pricing). Best for: small agencies that want booking pages at a known price.
Cronofy
Inside Greenhouse, Cronofy sends self-scheduling links, books panels and sequenced interviews, and adds the candidate profile and interview kit to each invite (Cronofy). It has similar pages for Workday, SmartRecruiters, SuccessFactors, BambooHR and Paycor, and its Workday page cites 17 languages (Workday). Its Scheduler has Outlook and Gmail add-ins and a browser extension that reads Lever (Scheduler). Direct plans start at $15 per active seat (pricing). Best for: loops scheduled without leaving the ATS.
Paradox
Paradox's assistant offers qualified candidates open times by SMS, WhatsApp, chat or email, syncs with recruiters' and managers' calendars, identifies time zones, sends reminders, handles rescheduling, and books multi-location interviews and hiring events (Paradox). Partners include Workday, SAP SuccessFactors, Greenhouse, iCIMS, Lever and UKG (integrations). Workday completed its acquisition of Paradox on October 1, 2025 (Workday). Pricing is not published. Best for: frontline hiring at volume, not engineering loops.
Built into your ATS: Greenhouse and Ashby
In Greenhouse, a candidate picks one slot from the interviewer's Google Calendar or Outlook 365 availability, up to 30 days out (Greenhouse help), and can move it with the same link up to 24 hours before (reschedule). Automated scheduling, on Core, Plus and Pro, suggests times for a whole stage, including multi-day panels (automated scheduling). Ashby includes booking and availability links, interviewer pools and interview limits (Ashby); its Advanced Scheduling Automation add-on, sold to Plus customers and included in Enterprise, adds auto-scheduling, interviewer replacement and training (add-on). Best for: teams whose loops fit what they already pay for.
Which scheduling tool fits an agency, an in-house team, high-volume hourly hiring?
- Staffing agency. The interviewers are usually your client's hiring managers, on calendars you cannot see. Coordinator platforms need that calendar access, so agencies do better with booking links: the hiring manager's own Calendly or YouCanBookMe link, or a round robin across your recruiters for screens. Our reschedule email templates include agency versions.
- In-house team, one or two interviews per candidate. Start with Greenhouse or Ashby scheduling; add Calendly for a link the hiring manager controls.
- In-house team running loops of four or more interviewers. GoodTime, ModernLoop, Gem, Cronofy or Ashby's add-on, chosen mostly by your ATS and whether you need interviewer training. Our interview schedule template shows what a finished loop tells the candidate.
- High-volume hourly hiring. Text-first scheduling matters most: Paradox, or GoodTime's texting. Use fixed interview blocks, as in our high-volume hiring process, and see AI tools for high-volume hiring for the rest of the funnel.
What does AI do in interview scheduling, and what should stay human?
In scheduling, AI mostly does two jobs. The first is building loops: Ashby's add-on, ModernLoop and Greenhouse's automated scheduling propose complete schedules across several calendars, and GoodTime's Cori and Ashby's add-on swap in a replacement when an interviewer declines. The second is conversational scheduling: Paradox and Cori offer times and handle changes by text, and Calendly's Callie, in beta, schedules over email.
Much of this is rules and optimization, not a language model deciding, as ModernLoop's own page points out. Ask any vendor which actions its "AI" takes without a person approving them.
Keep these decisions with a person:
- Who sits on the panel. Software picks whoever is free; a person checks that each interviewer covers a different part of the scorecard. Our panel interview guide covers keeping scores independent.
- Accommodation requests. Route them to a named person, never to a bot reply.
- Screening. If the assistant asks knock-out questions before offering times, a person reviews who is screened out. See AI candidate screening tools.
- Exceptions. A candidate holding another offer, or one whose interview has moved twice, deserves a call from a person.
Candidate experience and accessibility
- Time zones. Show times in the candidate's zone and set every interviewer's working hours; Greenhouse defaults to 9 a.m. to 5 p.m., Monday to Friday, in the interviewer's zone.
- Reschedule links. Put one in every confirmation and reminder; Calendly texts omit it unless you add it.
- Accommodations. Every scheduling message should say how to ask for one, such as extra time, breaks between interviews or captions. Our ADA accommodations guide covers how to respond.
- Channel and language. Offer text and email, and use email for anyone who does not opt in to texts. Cronofy's Workday booking supports 17 languages and Paradox translates messages.
- Reminders. Confirm on booking and remind the day before; our guide to reducing interview no-shows covers timing.
What rules apply when a scheduling tool texts candidates?
Under the Telephone Consumer Protection Act and the FCC's rules in 47 CFR 64.1200, autodialed texts to a mobile number generally need the recipient's prior express consent, and the recipient can revoke it. Whether a given texting tool counts as an autodialer is a legal question, so get consent anyway. An FCC order (FCC 26-67) published in the Federal Register on October 26, 2026 takes effect November 25, 2026. It lets a sender make a reply of stop, quit, end, revoke, opt out, cancel or unsubscribe the exclusive way to opt out if each text discloses it; lets a sender treat an opt-out from informational texts, such as interview reminders, as covering only that category; requires opt-outs to be honored within 10 business days; and allows a confirmation text that only confirms the opt-out. Calendly already requires invitees to opt in. Our interview reminder text templates include consent wording.
Booking a time is rarely an automated employment decision. But if your scheduling assistant also screens, scores or ranks candidates for jobs in New York City, Local Law 144 may apply: an automated employment decision tool needs a bias audit within one year of use and notice to candidates (NYC DCWP, checked November 2026); see our Local Law 144 guide. This is not legal advice.
Interview scheduling software setup checklist
- Connect every interviewer's calendar and set working hours and time zones.
- Set daily and weekly interview limits before turning on automation.
- Build a template per stage: length, interviewers or pools, order, buffers, video link.
- Set up trainee pools and the shadows required.
- Write the confirmation and reminders, with a reschedule link and an accommodation line.
- If you text candidates, collect opt-in, test that STOP works, and keep an email option.
- Name the person who handles exceptions and accommodation requests.
- Test the flow as a candidate, on a phone, from another time zone.
- Review time to schedule, reschedules and no-shows monthly.
Scheduling ends when the interview starts. For the interview itself, Interview Signal is a desktop app that gives the interviewer a live question guide and scorecard during the call; it does not schedule interviews. We make Interview Signal; everything about the other products on this page comes from their own sites, linked and dated. Our AI tools for interviewing candidates guide covers that step.
Questions people ask
What is the best interview scheduling software?
It depends on how complex your interviews are. As of November 2026, GoodTime and ModernLoop suit recruiting coordinators who book multi-interviewer loops and want load balancing and interviewer training, Gem Scheduling suits teams already on Gem, Paradox suits high-volume hourly hiring by text, Cronofy adds panel scheduling inside Greenhouse, Workday and other ATSs, and Calendly or YouCanBookMe cover simple one-on-one screens at a published price. Check what Greenhouse or Ashby already includes before you buy.
What is the best interview scheduling tool for high-volume hourly hiring?
As of November 2026, Paradox is built for high-volume hourly hiring: its conversational assistant offers candidates open interview times by text, WhatsApp, chat or email, sends reminders, and handles multi-location interviews and hiring events. Workday completed its acquisition of Paradox on October 1, 2025. GoodTime is an alternative for teams that want automated one-to-one and bulk texting alongside complex loop scheduling. Neither publishes prices.
Is Calendly good for scheduling interviews?
Calendly works well for one-on-one interviews such as phone screens. As of November 2026 its free plan covers one event type, Standard is $10 and Teams $16 per seat per month billed yearly, and round-robin scheduling needs Teams. Its Greenhouse integration lets candidates self-schedule from a Greenhouse email, but Calendly's help center says it supports only one-on-one event types, not round-robin, collective or multi-step interviews, so panels and loops need a coordinator tool.
Which interview scheduling software can build panel interviews automatically?
As of November 2026, GoodTime schedules single-day, multi-day and panel interviews and replaces interviewers who drop out, ModernLoop proposes several possible schedules for a loop and balances interviewer load, Ashby's Advanced Scheduling Automation add-on auto-schedules complex loops, Greenhouse's automated scheduling suggests times for a whole multi-interview stage, and Cronofy combines several interviewers' calendars for panels inside Greenhouse. A coordinator should still review who sits on each panel.
Do I need consent to text interview reminders to candidates?
In most cases, get it. Under the TCPA and the FCC's rules, autodialed texts to a mobile number generally need prior express consent, and candidates can revoke it. An FCC order effective November 25, 2026 lets senders make a reply such as STOP the exclusive opt-out method if every text discloses it, and requires opt-outs to be honored within 10 business days. Calendly, for example, requires invitees to opt in before it texts them. This is not legal advice.
How much does interview scheduling software cost?
As of November 2026, the published prices are mostly for booking-link tools: Calendly has a free plan and paid plans from $10 per seat per month billed yearly, YouCanBookMe is free for 30 bookings a month and $9 a month for Individual, and Cronofy's direct plans start at $15 per active seat. Gem lists a startup price of $130 a month on a yearly term for 1 to 10 employees. GoodTime prices by annual candidate volume, and ModernLoop and Paradox quote on request.
