For accounting and finance staffing, the AI note takers to shortlist as of October 2026 are Metaview (lists Bullhorn, Crelate, Loxo and JobAdder; free for 25 calls a month, Pro $60 per user), CoRecruit (phone, VoIP and video capture with no visible bot, and submittals in your agency's branding), BrightHire for larger firms on Bullhorn, Otter as the low-cost option with a custom vocabulary for accounting terms, Fireflies for Loxo desks on a budget, and Interview Signal for recruiters who want a scorecard and a client submittal from each screen with transcripts kept on their own computer. Finance desks should test two things other desks can skip: whether the transcript gets standards, systems and compensation figures exactly right, and what the tool keeps, where and for how long.
We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated.
What does a finance staffing desk need from a note taker?
- Exact numbers. Base, bonus percentage, total compensation, an interim day rate, hours expected at close. A transcript that hears "fifteen" as "fifty" puts a wrong figure in front of a client.
- Accounting vocabulary. ASC 606, IFRS 16, SOX 404, intercompany eliminations, NetSuite, Sage Intacct, BlackLine. Garbled terms make a submittal look like it was written by someone who did not understand the candidate.
- Credentials you can check. "I'm a CPA" is a claim; the state and license number are evidence. NASBA's CPAverify public search looks up CPA licenses by jurisdiction and name.
- Discretion. Candidates are usually employed, often at a client's competitor, and talk about their employer's numbers. Where the transcript lives matters.
- Agency ATS. Bullhorn, Crelate, Loxo, JobAdder and PCRecruiter are common on accounting desks.

Each option, and who it suits
Metaview
Metaview's integrations page lists Bullhorn, Crelate, Loxo, JobAdder, Recruit CRM and Recruiterflow among the systems it connects to. Its FAQ there says it is SOC 2 Type II certified, hosts data in AWS's UK environment, and keeps recordings for two years by default unless you ask it to match your own policy. A bot joins video calls; phone screens run through a registered number with one-click calling; a desktop app records without a bot once your workspace enables it (desktop app). Best for: Crelate, Loxo or JobAdder desks with scheduled video interviews. Watch for: set the retention period you want before the first call, not after the hundredth.
CoRecruit
CoRecruit's integrations page lists Bullhorn, Crelate, Loxo, JobAdder, PCRecruiter, Tracker and Top Echelon. Its pricing page describes botless capture of mobile calls, VoIP and video, AI-generated submittals in your company's branding, and SOC 2 Type II certification, on a 12-month minimum term. Best for: perm accounting desks that live on the phone and send formatted candidate write-ups. Watch for: the annual commitment, and check that a submittal reproduces compensation figures exactly as the candidate said them.
BrightHire
BrightHire structures notes by competency, pushes them into ATS scorecard fields, runs its Interview Assistant inside Zoom without a per-call bot, joins Google Meet as a participant, and on Teams asks you to add its recorder address to the invite (BrightHire). Its pricing page lists capture of video, phone or in-person interviews on the Recruiters plan; prices are not published (pricing). Of the agency systems, its integrations page lists Bullhorn. Best for: large finance and accounting firms running structured, multi-round processes for clients. Watch for: a sales-led price, and no Crelate or Loxo on the list.
Otter.ai
Otter publishes the clearest custom vocabulary limits: 5 terms on the free plan, 100 names and 100 other terms for the team plus the same per user on Pro, and 800 of each for the team on Business (Otter pricing). Load your standards, systems, Big Four firm names and client names before the first screen. Best for: a solo finance recruiter who wants clean transcripts cheaply. Watch for: no agency ATS integration, and a 30-minute cap per conversation on the free plan, which a controller screen will exceed.
Fireflies.ai
Fireflies' integrations page lists Loxo among its ATS connections, and its recruiting page lists SOC 2 Type II and sending notes to Greenhouse, Lever and others (Fireflies recruiting). Its desktop app captures calls without a bot and, in that mode, saves no audio or video file (Fireflies help). Best for: Loxo desks that want transcripts and summaries at a low seat price. Watch for: a meeting summary is not a submittal; you will still write the client-facing version.
Interview Signal
Ours is a desktop app for Windows and Mac that captures audio on your computer for Zoom, Teams, Meet and phone screens taken through the computer, with no bot. It builds a question guide from the job description, keeps must-ask questions pinned until they are asked, and suggests follow-ups with a reason, which helps when a candidate says "I owned the close" and you need the size of the ledger and the number of days. Each score carries the candidate's own quotes, checked against the transcript, and the submittal is drafted in your template. Transcripts, quotes and submittals stay on the recruiter's computer; audio goes to a speech-to-text provider in short chunks and is not retained (security). Best for: recruiters who send scored submittals and want candidate conversations off a vendor's servers. Watch for: no ATS integration, desktop only, and calls on a separate mobile phone are not captured.
How do you get accounting terms and numbers right in a transcript?
- Write down 25 terms from your live job orders: standards (ASC 842, IFRS 16), regulations (SOX 404), systems (NetSuite, Sage Intacct, Workday Financials, BlackLine, OneStream), and designations (CPA, CMA, CIA).
- Add them to the tool's custom vocabulary where it has one.
- Run a 15-minute mock screen with a colleague who uses those terms and says compensation the way candidates do: "one-forty base, twenty percent target, plus a sign-on."
- Count the terms and numbers that come out right. Then check the summary, not just the transcript; summaries round and paraphrase.
- Make "numbers checked against the transcript" a step before every submittal, whatever the score.
The figures in step 3 are examples for the test, not market data.
What should and should not go in the notes on a finance screen?
Capture these, every time:
- Designation, the state that issued it, and a license number to check.
- Public accounting, industry or both, and the size of the entities they closed.
- Close timeline they run today, the ERP and consolidation tools, and team size managed.
- Compensation expectation, notice period, and for interim work the rate and availability.
- Motivation to move and any counteroffer risk.
Be careful with salary history. New York's Department of Labor says employers cannot ask job applicants to provide their wage or salary history as a condition of employment, and cannot seek it from other sources (NY DOL, as of October 2026). Other states and cities have similar rules; see our salary history ban guide. Ask for expectations, not history, and agree with your counsel what to do when a candidate volunteers past pay on a recorded call. This is not legal advice.
The questions behind these fields are in our staff accountant phone screen questions, controller screening questions and financial analyst phone screen questions.
How do you keep candidate and client conversations discreet?
- Know where the transcript lives. In the vendor's cloud, in your ATS, or on the recruiter's computer. Each answer has a different breach and retention story.
- Set retention on day one. Metaview's default is two years unless you ask otherwise; decide what your agency wants and write it down.
- Separate client calls. Intake calls with a CFO often include numbers the client has not announced. Some agencies use a bot-free tool there even if interviews use a bot; Granola, for example, says it does not add a bot, does not store meeting audio, and meets SOC 2 Type 2 standards (Granola security).
- Ask for the report, not the badge. Our security questions for AI note takers list what to request.
How do you choose?
- Crelate, Loxo or JobAdder, mostly video: Metaview.
- Bullhorn, mostly phone, branded write-ups: CoRecruit.
- Large firm, structured client processes: add BrightHire to the comparison.
- Budget first, accurate terms: Otter with a loaded vocabulary, or Fireflies on Loxo.
- Scored submittals, transcripts kept local: Interview Signal, pasting into your ATS.

Questions people ask
Which AI note taker is best for accounting and finance recruiters?
It depends on your ATS and how you call. As of October 2026, Metaview lists Bullhorn, Crelate, Loxo and JobAdder and costs $60 per user per month on Pro, CoRecruit lists Bullhorn, Crelate, Loxo and PCRecruiter with phone and VoIP capture, BrightHire lists Bullhorn for larger firms, and Otter is the low-cost option with a custom vocabulary for accounting terms. Interview Signal suits recruiters who want a scorecard and client submittal from each screen and keep transcripts on their own computer.
Can an AI note taker transcribe accounting terms like ASC 606 or NetSuite correctly?
Not reliably without help, so test it. Otter lets you add custom vocabulary, 5 terms on its free plan and 100 names plus 100 other terms on Pro, as of October 2026. Whatever the tool, read every system name, standard and number in the transcript before it goes into a submittal.
Should an AI note taker record a candidate's salary history?
Avoid asking for it in the first place where it is banned. New York's Department of Labor, for example, says employers cannot ask applicants for their wage or salary history as a condition of employment. Ask for salary expectations instead, and if a candidate volunteers past pay, decide with your counsel whether it belongs in the notes. This is not legal advice.
Do AI note takers for recruiters have SOC 2 reports?
Several say so on their own sites as of October 2026: Metaview, CoRecruit and BrightHire say they are SOC 2 Type II certified, Fireflies lists SOC 2 Type II, and Granola says it meets SOC 2 Type 2 standards. Ask for the report itself under NDA and check what it covers, rather than relying on a badge.
