Personio's recruiting AI is aimed at the top of the funnel: its recruiting page leads with an AI talent screening agent that evaluates applications against criteria you set. Interviews are handled through evaluation forms that interviewers fill in. Nothing native records or transcribes the interview, and Personio's public Recruiting API, as documented in October 2026, mostly reads data rather than writing it.

This page sets out what Personio does natively, what its API allows, which outside tools describe a Personio connection, and how to get interview evidence into Personio evaluation forms without one. It is written for in-house teams, many of them in Europe, so it also covers the privacy points that come with adding a recorder. Every vendor fact links to the page we checked.

What Personio does natively

  • AI talent screening: Personio's recruiting page describes an AI talent screening agent that evaluates every application against transparent criteria and highlights best-fit candidates, with people deciding who moves forward.
  • Evaluation forms: Personio's help center article on using candidate evaluation forms describes three routes: the candidate's Evaluations tab, a feedback request sent to reviewers, or an interview, where you choose the form under "Evaluation and notes" and can send the interviewer a reminder.
  • Scoring: forms have sections of questions, can use a five-point scale, and multiple scales can be weighted into an overall rating. The Evaluations tab shows the average rating and each reviewer's summary and key takeaways.

The interview route is the one to build around. When an interview is scheduled with an evaluation form attached, the interviewer gets a prompt to complete it, which is the natural moment to paste evidence from a notetaker.

What Personio's Recruiting API allows

Personio's changelog announced the Recruiting API as generally available with read endpoints for applications, application stage transitions, candidates, jobs and categories. The reference documents two write operations: submitting an application, which requires the recruiting write scope, and uploading a document to attach to an application. We found no endpoint for evaluations, interview feedback or notes.

So a notetaker can look up the candidate and job for an interview, but has no documented way to post its summary into an evaluation. If a vendor says it syncs notes to Personio, ask whether that means a document attached to the application, something else, or nothing yet, and ask to see it in a live account.

Metaview's Personio page is the only notetaker listing we found, and its help center, which documents other ATS connections step by step, has no Personio article. Classet's Personio page describes Joy calling applicants and checking knockout criteria; ATS Sync starts at $1,995 a month. A notetaker that only records and summarizes for a human interviewer is a different kind of tool from one that screens and flags candidates itself. This is not legal advice.

Getting interview evidence into Personio evaluation forms

For teams recruiting in Personio, the practical route is a notetaker that does not depend on Personio, plus a short paste into the evaluation form. Make the paste quick by shaping the notetaker's summary like the form.

  1. Review each evaluation form and rewrite any question that invites a general impression into one that asks for evidence.
  2. Copy the form's sections into the notetaker's summary template, in the same order.
  3. Attach the form to the interview when scheduling, so the interviewer gets the reminder.
  4. Paste quotes into the form's text fields and set the five-point ratings yourself.

Recording an interview means processing the candidate's personal data, and a notetaker outside Personio is a separate processor with its own storage and retention. Before rollout:

  • Update the candidate privacy notice to name the tool, what is recorded, why, and for how long. Our GDPR candidate privacy notice template has wording.
  • Match retention in the notetaker to your Personio candidate retention, so a recording does not outlive the application.
  • Check data location and the vendor's subprocessors, and sign a data processing agreement.
  • Involve employee representatives where you have them; interviewers are being recorded too.

Phone screens

Personio schedules interviews but does not describe calling or recording. For phone screens, a notetaker with phone capture or a desktop tool on the recruiter's computer works, with a spoken notice at the start. Our guide to recording a phone screen compares the options.

A two-week pilot

  1. Pick one position with at least six interviews coming up, including a recruiter phone screen.
  2. Tighten its evaluation form so each section asks for evidence, then build the matching summary template.
  3. Attach the form to every interview so reminders go out, and paste evidence after each one.
  4. Time the paste in week one. More than two minutes means the summary is too long.
  5. Read the Evaluations tab at the end. If reviewers' key takeaways now cite what candidates said, roll it out to the next team.

Keep the pilot honest about phone screens and hiring managers' own calls. Count how many interviews in the two weeks were captured, how many needed a manual step, and how many had no evidence in the form at all. If the last number does not fall, the problem is habit rather than tooling, and a better form will help more than a new tool.

Standalone tools, and who each option suits

Interview Signal has no Personio integration. It is a desktop app with no bot that captures audio on the interviewer's computer, including phone screens, and exports a scorecard quoting the candidate that you paste into a Personio evaluation form.

Does Personio have a built-in AI notetaker?

Not that we could find as of October 2026. Personio's recruiting page leads with an AI talent screening agent that evaluates applications against criteria you set. Its help center describes candidate evaluation forms used from the evaluation tab, a feedback request or an interview, but nothing that records or transcribes interviews.

Can a notetaker write interview notes into Personio?

Not through a documented notes endpoint. Personio's Recruiting API, as documented in October 2026, has read endpoints for applications, candidates, jobs and categories, plus write endpoints for submitting an application and uploading a document to attach to one. We found no endpoint for evaluations or notes.

Does Metaview integrate with Personio?

Metaview's website has a Personio page saying it records, transcribes and summarizes recruiting calls scheduled through the ATS and syncs notes with candidate records. Personio is not in Metaview's help center list of ATS setup guides as of October 2026, so ask Metaview how the sync works before relying on it.

What is Classet's Personio integration?

Classet's Joy is an AI voice screener, not a notetaker. Its Personio page says it calls applicants, conducts structured voice interviews, creates candidate profiles in Personio and writes summaries back, with recordings and transcripts linked. Classet calls it a basic integration and lists ATS Sync from $1,995 a month.
