Apploi, the healthcare hiring platform now owned by Viventium, has no notetaker for interviews your own staff run as of October 2026. Its AI chatbot screens applicants and auto-schedules interviews, its AI interviewer can call a candidate and conduct the whole interview by voice, and its AI Application Summary condenses each application. For your own interviews, Metaview is the one notetaker we found that lists Apploi, saying it records, transcribes and summarizes calls scheduled through Apploi; otherwise notes go in by hand through Apploi's Notes feature.
This page covers what Apploi's AI does, where interview notes go, the Metaview connection, and what a healthcare employer should check. We make Interview Signal, one of the tools below; everything about the other products comes from their own sites, linked and dated. For staffing firms that place healthcare workers, see our healthcare staffing notetaker guide.
What is Apploi, and who uses it?
Apploi sells hiring, onboarding, shift scheduling and engagement software (Hire, Onboard, Schedule and Reach) to healthcare employers: assisted and senior living, home health care, skilled nursing, behavioral health and veterinary care. Viventium, a healthcare payroll and HR company, announced on February 4, 2026 that it had acquired Apploi; Apploi's site still sells its products. The pricing page quotes by segment, such as number of locations, number of aides or number of BCBAs, and lists unlimited texting and email in Apploi Hire. No list prices are published.
Does Apploi have its own AI notetaker?
No. Apploi's AI page lists, as of October 2026:
- AI chatbot: contacts and screens applicants and will "auto-schedule the interview if they are a good fit".
- AI interviewer: "can initiate a voice call and conduct the entire interview with your candidate". The page does not say whether calls are recorded or transcribed.
- Candidate Matching and Candidate Rediscovery, including an AI summary of how well a past candidate fits an open role.
- AI Job Description generator and AI Text Optimization for message deliverability.
The AI Application Summary (help article dated August 17, 2026) condenses work experience, education and screening answers into a source-linked synopsis on the candidate profile, and "does not score, rank, recommend, or determine whether a candidate should advance". None of these listen to an interview your director of nursing or recruiter runs.
How are live interviews handled in Apploi?
Apploi's Interview Scheduling article describes a Schedule Interview link under the applicant's name, where you set date, time, duration, location and interviewer, and may see the job's linked Interview Guide. Add to Calendar creates the invite for Google Calendar, Outlook or iCalendar, and interviews appear in the Interview Schedule section of the applicant's details. Apploi's partners page lists Calendly for scheduling. Neither page describes video meeting links or recording, so most live interviews leave no record beyond what the interviewer types.
Which AI notetakers list an Apploi integration?
Apploi's partners page lists job boards, background check providers, Calendly, HR and payroll systems (including Viventium) and identity providers, but no notetaker, video interviewing or phone tool. On the notetaker side:
- Metaview: its Apploi integration page says it "records, transcribes, and summarizes calls scheduled through Apploi" and lets you choose which interviews to capture. It does not describe where notes land in Apploi, and Metaview's help center had no Apploi setup guide when we checked, so ask Metaview to show a note on a test candidate. Metaview captures phone calls through a registered number or browser calling (phone guide), and its pricing is a free tier of 25 calls a month and Pro at $60 per user per month (pricing).
- Others: CoRecruit's integration list did not include Apploi in October 2026.
How do the Apploi options compare?
As published on each vendor's own pages, as of October 2026. "Not stated" means the linked pages do not say.
| Option | How it captures | Bot? | Phone screens | Link to Apploi | Published price | Best for |
|---|---|---|---|---|---|---|
| Apploi AI interviewer (native) | AI places a voice call to the candidate (AI page) | Not applicable | Runs the interview itself | Native | Not published; quote by segment | Facilities with more applicants than staff to call them |
| Notes (native, typed) | Typed by the interviewer (Notes and Tasks) | No | Yes, typed | Native notes shared with the team | Included | Short screens where typed notes are enough |
| Metaview | Joins video calls; phone via registered number or browser calling | Yes on video | Yes | Captures calls scheduled through Apploi; write-back not stated (Metaview page) | Free 25 calls/month; Pro $60/user/month | Recruiters who schedule many interviews in Apploi |
| Interview Signal | Desktop app records the interviewer's own computer audio | No bot | Yes, if the call runs through the computer | None; you paste a note | Free 20 minutes; 5 hours $29; Solo $49/month; Team $59/seat/month (pricing) | A recruiter at a desk who wants a quoted scorecard per call |
How do you add AI notes to Apploi without an integration?
Per Apploi's Notes and Tasks article:
- On the Candidates page, click the Notes icon for the applicant.
- Under Take a Note, give the note a Title (for example "Phone screen, CNA, [date]") and paste the summary.
- Optionally assign it, which creates a task with a Due Date and Category, such as a reference check for the next interviewer.
- Save. Notes are available to your whole team, and you can edit or delete your own with the pencil or trash icons.
Each application also has its own Activity Log, so note which job the screen was for. Our guide to getting AI notes into an ATS without an integration covers other routes, and the interview guide for home care roles covers the questions.
A note format for healthcare screens
Facility managers decide quickly on credentials and availability, so put those first and keep the AI text as evidence underneath:
[Role] - [Facility] - [Date] - [Phone / video / in person]
Recommendation: [Interview / Hold / Pass]
License or certification: [type, state, as stated; verify before offer]
Shifts available: [days, nights, weekends] Start: [ ]
Evidence:
- [Question]: "[candidate's words]"
- [Question]: "[candidate's words]"
Follow-up for the next interviewer: [ ]
Told about recording: [Yes / not recorded]
The "verify before offer" reminder matters: a candidate's description of a license is not a license check, and Apploi's Verify License feature runs that check from the candidate's page, showing a green or red result on the Candidates page.
What should you check for privacy and consent?
- Health details. Candidates for care roles may mention their own health, family care or past injuries. Keep those out of pasted notes unless your HR or legal team has said they belong in the hiring record.
- Recording notice. Tell the candidate before any call is recorded, with one consent line; some states require every party's consent.
- AI interviews. An AI that conducts the interview may fall under state and local AI-in-hiring rules; see AI hiring laws by state and what an AI interviewer is.
- After hire. Apploi's help center describes transferring candidates and their completed documents to Viventium; check whether interview notes travel too before relying on them later.
What should you test before rollout?
| Check | Pass looks like | Result |
|---|---|---|
| Where Metaview notes land | You can name the Apploi field or note where output appears | |
| Call matching | Interviews scheduled in Apploi are captured; others are matched or flagged | |
| Multiple applications | Notes attach to the right job when a candidate applied to several | |
| AI interviewer review | A person reviews each AI interview before a candidate is declined | |
| Deletion | A candidate's notes and any outside recording can be removed on request |
Who should pick which option?
- Apploi's chatbot and AI interviewer: best for senior living and home care groups that cannot call every applicant quickly.
- Native notes: best for short screens by recruiters who type evidence as they go.
- Metaview: best for recruiters who schedule many interviews in Apploi and will confirm where notes land.
- A standalone tool and paste: best for a recruiter who wants quoted notes without adding an integration.
Interview Signal is in the last group: it has no Apploi integration. It is a desktop app for Windows and macOS with no bot, so phone screens taken through the computer and video interviews are captured the same way, and it produces a scorecard with the candidate's own quotes, with transcripts kept on the interviewer's computer. Its ready-made ATS note formats are for Bullhorn, Greenhouse, Lever and JobAdder only, so in Apploi you paste the plain version into a note. It is desktop only, with no mobile app, newer with few public reviews, and does not record video.
Questions people ask
Does Apploi have an AI notetaker?
Not for interviews your own staff run, as of October 2026. Apploi's AI chatbot screens applicants and auto-schedules interviews, its AI interviewer can call a candidate and conduct the whole interview by voice, and its AI Application Summary condenses each application. Apploi's pages do not describe recording or transcribing a recruiter's or manager's interview.
Which AI notetaker integrates with Apploi?
Metaview lists Apploi on its integrations page and says it automatically records, transcribes and summarizes calls scheduled through Apploi, letting you choose which interviews to capture. Apploi's own partners page lists job boards, background checks, Calendly and HR and payroll systems but no notetaker, and Metaview's help center had no Apploi setup guide in October 2026.
Is Apploi still sold after the Viventium acquisition?
Yes. Viventium announced on February 4, 2026 that it had acquired Apploi, and as of October 2026 Apploi's own site still offers demos and pricing quotes for its Hire, Onboard, Schedule and Reach products. Apploi's help center documents transferring candidates and their documents to Viventium Onboarding or Payroll.
How do I add interview notes to a candidate in Apploi?
On the Candidates page, click the Notes icon for the applicant, use Take a Note to give the note a title and paste the text, optionally assign it to create a task with a due date and category, and save. Notes are shared with your team, and you can edit or delete your own notes, per Apploi's help center.
