SmartRecruiters, now owned by SAP, does not ship a notetaker that records and transcribes your interviews, as far as we could confirm in October 2026. Its Winston AI handles matching, screening and chat, and a 2026 preview talks about Winston running AI first-round interviews itself. For notes from interviews your own team conducts, the documented routes are integrations: Metaview, BrightHire and Noota each describe writing into SmartRecruiters.

This page covers what Winston does and does not do, how the three integrations differ in what they put on the candidate record, the phone-screen gap, and the checks to run with your SmartRecruiters admin. Every vendor fact links to the page we checked.

SmartRecruiters after SAP, and what Winston does

  • Ownership: SAP completed its acquisition of SmartRecruiters on September 11, 2025.
  • Winston: SmartRecruiters' Winston page describes Winston Match, Screen, Chat and Companion. These cover ranking applicants, screening, candidate conversations and an assistant for recruiters.
  • AI interviews: a 2026 preview mentions "Winston-led AI interviews and chat" to scale first-round screening. We could not confirm whether that is generally available. Either way, an AI conducting a first round is a different thing from a notetaker on an interview a person runs.

So for a hiring manager's video interview or a recruiter's phone screen, SmartRecruiters' native tools still rely on whatever the interviewer types into the scorecard.

That matters more, not less, if you use Winston for early screening. When an AI handles the first step, the human interviews that follow carry most of the weight of the decision, and a thin scorecard from a 45-minute hiring manager round becomes the weakest link in the record. Before choosing a tool, list which interview stages in your SmartRecruiters workflows are run by people, how they happen (video, phone or in person), and who writes the feedback. That list tells you which capture methods you actually need, and it stops you paying for coverage of stages Winston already handles.

Attachment, note or scorecard: what the difference means

The three tools put their output in different places, and that changes how your team works:

  • An attachment (Metaview): the full notes are kept with the application, but a reviewer has to open the file. Good for a complete record, weaker for quick scanning.
  • A note (Noota): appears in the candidate's notes, which hiring teams already read. Check formatting survives, since long summaries can be hard to read as plain text.
  • Scorecard completion (BrightHire): reaches the structured feedback SmartRecruiters uses for decisions and reporting. This is the highest-value and highest-risk option, because a confident but wrong rating looks official.

If scorecard completion is the goal, have two or three hiring managers compare auto-completed scorecards with the transcript before trusting the feature on live requisitions.

Choosing between the three in a two-week trial

Vendor demos all look good. A short side-by-side trial on real interviews tells you more. A simple structure:

  1. Pick one requisition with at least six interviews scheduled in the next two weeks, ideally a mix of recruiter screens and hiring manager rounds.
  2. Assign tools by interview, not by person, so each tool sees both kinds of interviewer. Never run two notetakers on the same call.
  3. Score each output on four questions: did it land on the right application, can a hiring manager find it in under a minute, is every quote something the candidate actually said, and did the interviewer still need to edit it?
  4. Ask the hiring managers, not just recruiters. They are the ones reading the output in SmartRecruiters when they decide.

If you run SAP SuccessFactors elsewhere in the business, add one more question for each vendor: what happens to the integration if your SmartRecruiters tenant is connected more closely to SAP over the next year? None of the pages we checked addressed this, so get the answer in writing.

The phone-screen gap

Nothing native in SmartRecruiters records a phone screen. BrightHire's pricing page says its Recruiters tier captures video, phone or in-person interviews. Metaview captures phone calls through its own phone numbers. Noota's page describes a meeting bot and a browser extension, which suit video calls rather than a mobile phone call. Our guide to recording a phone screen covers the general options.

Setup with your SmartRecruiters admin

Metaview's guide gives the clearest public description of the setup: connect from Settings, then Apps and Integrations, using a SmartRecruiters Admin account or one with the Manage Webhook permission. It notes data can take up to 48 hours to sync. Plan the first test for after that window, not the same afternoon.

Webhook permissions let an outside system react to events in SmartRecruiters, such as an interview being scheduled. Ask your admin to create a dedicated integration account rather than connecting with a person's own login, so the connection does not break when that person changes role or leaves.

What to test before rollout

Record matchingOutput lands on the right application when a candidate has applied to two jobs

Matching the bullet labels to the attributes on your SmartRecruiters scorecard makes any auto-completed rating easy to check. See our guide to evidence-based feedback.

  • One spoken line every time: bots are visible, extensions and phone capture are not. Our consent script has wording.
  • EU and UK candidates: SmartRecruiters is common with international employers; check our UK GDPR guide and EU AI Act overview before recording.
  • Retention: set recording retention in the notetaker separately from SmartRecruiters' own data rules.

Standalone tools, and who each option suits

Interview Signal has no SmartRecruiters integration. It is a desktop app with no bot that captures audio on the interviewer's computer, keeps transcripts local, and produces a scorecard quoting the candidate that you paste into the SmartRecruiters scorecard or attach to the application. If you need write-back without copying, use one of the integrated tools above.

  • BrightHire: teams that want scorecard completion and phone coverage, on an enterprise contract.
  • Metaview: teams that want a free tier to test and are fine with notes as an attachment.
  • Noota: smaller or European teams that want published per-seat pricing and a note in the candidate record.
  • A standalone tool: interviewers who prefer no bot, or who need notes before an integration is approved.

Questions people ask

Does SmartRecruiters have its own AI notetaker?

Not one we could confirm as of October 2026. SmartRecruiters' Winston AI covers matching, screening, chat and a companion assistant. A 2026 product preview mentions Winston-led AI interviews for first-round screening, but we could not confirm its availability, and none of it is described as recording and transcribing your own live interviews.

Which notetakers integrate with SmartRecruiters?

As of October 2026, Metaview documents a SmartRecruiters integration that attaches notes to the application and can pick up interviews scheduled in the ATS; BrightHire describes a one-click install with notes, highlights and transcripts viewable in SmartRecruiters; and Noota exports its meeting summary as a note to SmartRecruiters.

Did the SAP acquisition change SmartRecruiters' integrations?

SAP completed its acquisition of SmartRecruiters on September 11, 2025. The integration documentation we checked from Metaview, BrightHire and Noota still describes connecting to SmartRecruiters directly, but if you also run SAP SuccessFactors, ask both vendors how a notetaker will behave as the products come together.

What permissions does a SmartRecruiters notetaker integration need?

Metaview's guide says you connect from Settings, then Apps and Integrations, using a SmartRecruiters Admin account or one with the Manage Webhook permission, and that data can take up to 48 hours to sync.
