Teamtailor is one of the few ATSs with a genuinely native notetaker. Its recordable meetings work on Teamtailor's own video, Microsoft Teams, Google Meet and Zoom, and a Meeting insights feature turns the recording into a transcript, chapters and summaries, as described in Teamtailor's support center in October 2026. It can even capture in-person interviews through the mobile app. For most Teamtailor customers the first question is whether that native tool is enough, not which third-party tool to buy.

This page covers what the native feature does and needs, where it stops, the partners that write into Teamtailor for the gaps, and the checks to run before a hiring team relies on any of it. Every vendor fact links to the page we checked.

Teamtailor's native notetaker

  • Recordable meetings: Teamtailor's recordable meetings article describes recording on Teamtailor's own video meetings and on Teams, Meet and Zoom, where a bot joins the external call. It needs a connected calendar.
  • In-person: the same article describes recording in-person interview audio through the Teamtailor mobile app.
  • Meeting insights: the Meeting insights article describes a transcript, chapters and three summaries per meeting. Teamtailor names AssemblyAI as the transcription provider, which is worth noting for your subprocessor records.
  • Interview kits: Teamtailor's AI features can auto-fill interview kit answers from the meeting, so the structured kit is drafted rather than left blank.
  • Consent: the support articles describe a consent prompt and notice to participants.
  • Activation and price: an admin activates it from the add-on feature center. Teamtailor's pricing is quote-only, and we could not confirm whether the feature costs extra on your plan.

Turning on the native feature without surprises

Because the native tool depends on calendars, consent settings and an add-on switch, a rushed rollout tends to produce half-recorded weeks and confused interviewers. A safer order:

  1. Ask your account manager whether the add-on is included in your plan, what it costs if not, and whether there are limits on recorded hours.
  2. Connect calendars first. The bot can only join meetings Teamtailor can see. Check that every interviewer, including hiring managers who rarely log in, has connected theirs.
  3. Read the consent notice as a candidate would. Decide whether the wording needs adjusting for your countries before it goes out on real invites.
  4. Pilot on one department for two weeks, with a named person checking that recordings, transcripts and kit drafts appear where expected.
  5. Agree editing rules. Interviewers should review and correct drafted kit answers before submitting, and the team should know that unedited drafts are not acceptable feedback.

Questions worth putting to Teamtailor in writing: how long recordings and transcripts are retained by default, whether a candidate's recording is removed when their profile is deleted, and whether the transcription provider processes data in your region.

Where the native tool stops

  • Phone calls: the recordable meetings article covers video platforms and in-person audio through the app. A phone screen made from a mobile or a dialer is not described as covered.
  • Calls outside the calendar: the bot relies on a connected calendar. An ad hoc call that is not on it will not be captured automatically.
  • A visible bot: on Teams, Meet and Zoom, the bot joins as a participant. A client or candidate may notice and ask about it.
  • Cost clarity: because pricing is not published, budget holders cannot compare it with partner tools until the account manager answers.

Metaview publishes its pricing: a free tier of 25 calls a month and Pro at $60 a user a month (pricing). We did not find BrightHire, Carv, Fireflies, Tactiq or Otter documenting a Teamtailor integration.

The phone-screen gap, and how the partners fill it

If your team screens by phone, the native tool leaves a hole, and two partners fill it differently. Meetric names phone among its capture methods and posts summaries as Partner Results. Ringover is a phone system: calls made through it are logged in Teamtailor with links to the recording, transcript and summary, which means recruiters dial through Ringover rather than their own mobile. Our guide to recording a phone screen covers other approaches.

A common split is the native recordable meetings for scheduled video and in-person rounds, plus one phone-capable partner for screens. That keeps most notes in one native format and limits the second vendor to the calls the native tool cannot reach.

Native versus partner: how to decide

If you needStart with
Video and in-person interviews in one native placeTeamtailor recordable meetings
Structured interview kits drafted for youTeamtailor's interview kit auto-fill
Phone screens summarized into TeamtailorMeetric or Ringover
A notetaker already used with another ATS in the groupMetaview or Screenloop, if they cover both

What to test before rollout

CheckPass looks likeResult
Consent promptCandidates see the notice and can decline, and declining actually stops recording
Calendar coverageInterviews booked from personal calendars are still picked up, or recruiters know they are not
Interview kit auto-fillDrafted kit answers match what the candidate said in the transcript
In-person appAudio from a room is clear enough to transcribe accurately
Partner Results placementPartner output is easy for hiring managers to find next to native notes
DeletionA candidate's recording and transcript can be deleted on request

Test the interview kit auto-fill most carefully. A kit answer drafted by AI looks like the interviewer wrote it, so a wrong draft can pass unchallenged unless someone compares it with the transcript.

  • GDPR: Teamtailor is widely used in Europe. Read our UK GDPR recording guide and EU AI Act overview before switching recording on.
  • Subprocessors: the native feature names AssemblyAI for transcription; each partner adds its own. Keep your privacy notice current.
  • Spoken notice: use one line at the start of every interview, including in-person ones. Our consent script has wording.

Standalone tools, and who each option suits

Interview Signal has no Teamtailor integration. It is a desktop app with no bot that captures audio on the interviewer's computer, keeps transcripts local, and produces a scorecard quoting the candidate that you paste into Teamtailor. With a native option this capable, most Teamtailor teams should test the native tool first.

  • Teamtailor native: most teams, especially those with in-person rounds and structured interview kits.
  • Meetric: teams that need phone coverage alongside Zoom, Meet or Teams.
  • Ringover: teams that want a phone system with call recording and summaries logged in Teamtailor.
  • Metaview or Screenloop: groups standardizing on one notetaker across several ATSs.
  • A standalone tool: interviewers who prefer no bot or who are waiting for the add-on to be approved.

Questions people ask

Does Teamtailor have its own AI notetaker?

Yes. As of October 2026 Teamtailor's support center describes recordable meetings on Teamtailor's own video, Microsoft Teams, Google Meet and Zoom, with a bot joining external calls, and a Meeting insights feature that produces a transcript, chapters and three summaries. It needs a connected calendar and is activated by an admin from the add-on feature center.

Can Teamtailor record in-person interviews?

Teamtailor's recordable meetings article describes capturing in-person interview audio through the Teamtailor mobile app. That is unusual among ATS-native notetakers, most of which cover video calls only.

How much does Teamtailor's notetaker cost?

We could not confirm a price. Teamtailor's pricing is quote-based and the support articles describe the feature as an add-on activated by an admin, so ask your Teamtailor account manager whether it is included in your plan.

Which third-party notetakers integrate with Teamtailor?

Meetric is listed on Teamtailor's integrations marketplace and posts summaries as Partner Results, covering Zoom, Meet, Teams and phone but not Teamtailor's own video. Metaview and Screenloop document Teamtailor integrations on their own help centers, and Ringover logs calls with recording, transcript and summary links.
