Dialpad suits recruiting teams that want a phone system with AI built in rather than added on. As of October 2026, every Dialpad Connect plan transcribes calls live and writes an AI Recap (summary, outcome, call purpose and action items) seconds after a call, starting at $15 per user per month billed annually. Its native Bullhorn integration logs the call, a transcript link and AI fields to the candidate record; its Greenhouse integration logs calls and texts but not recaps or transcripts. It does not structure an interview, score a candidate or write a client submittal.
Below: how Dialpad captures a screen, what the AI produces, what each recruiting integration actually logs, the recording greeting rules that catch recruiters out, plans and prices in recruiting terms, and a short comparison with Aircall. How does Dialpad capture and transcribe a phone screen?
Dialpad is a cloud phone system, so there is no bot: you call the candidate from the Dialpad app on a Dialpad number and the platform handles the rest. Its AI transcription page says Dialpad AI transcribes calls live as they happen, and that you can turn audio recording on and off manually in a call or automate it. Two details from Dialpad's help center matter for recruiters:
- AI must be switched on. The AI Recaps article says AI has to be enabled at the company level first, then each user ticks "Allow AI to be used for your personal calls and meetings" in their settings.
- Recording depends on plan. The automatic recording article (updated October 14, 2026) says automatic recording is not available on Dialpad Connect Standard; Standard users press the Record button during a call. Pro and Enterprise can record automatically for an office, selected users or shared lines.
That split is useful. A recruiter on Standard can have a live transcript and AI Recap of every screen while only keeping audio for the calls they choose to record. Whether a live transcript without audio needs the candidate's consent is a legal question, covered below; assume it does.
What is in a Dialpad AI Recap?
According to Dialpad's AI Recaps article, as of October 2026, a recap is written by Dialpad's own model, Dialpad GPT, and combines four parts:
- AI Call Summary: the key points of the conversation, which you can customize per call.
- AI Outcomes: whether the issue was resolved or needs a follow-up.
- AI Call Purpose: a category for why the call happened.
- AI Action Items: follow-up tasks, which can become calendar events.
Recaps appear in the conversation thread, the inbox and Conversation History, can be edited, copied with "Copy All", shared and expanded into a longer Deep Summary. For a phone screen, the action items are often the most useful part: "send the job description", "check notice period with current employer". The summary is a general call summary, not evidence against your competencies, so check pay, notice and availability against the transcript before they reach a client. Our guide to what not to write in interview notes applies to edited recaps too.
What do Dialpad's Bullhorn and Greenhouse integrations log?
Dialpad documents two recruiting integrations in its help center, and lists Bullhorn in its partner marketplace. Its marketplace Human Resources category lists ADP Workforce Now and HiBob for workforce scheduling; we did not find Lever, JobAdder, Vincere or Loxo.
| What reaches the record | Bullhorn | Greenhouse |
|---|---|---|
| Screen-pop of the candidate during the call | Yes, all matching records | Yes, in a Greenhouse sidebar |
| Completed calls and SMS logged | Yes, as an activity | Yes |
| Recruiter's notes | Yes | Yes, with "Log note" |
| Link to transcript or recording | Yes, transcript link and recording URL | No; transcripts are not logged |
| AI Recap content | AI Summary (255-character limit), action items, outcome, call purpose | No; AI recaps are not logged |
| Setup | A separate Bullhorn API user, which Bullhorn helps create; one Dialpad user maps to one Bullhorn seat | A Greenhouse OAuth2 client ID and secret entered by a Dialpad admin |

What that means in practice
- Bullhorn agencies get the most: the candidate pops up as the call connects, and afterwards the note carries a short summary and a link to the full transcript. Dialpad also supports several Bullhorn instances from one account, which helps multi-brand or franchise agencies. Because the AI Summary field holds 255 characters, a 30-minute screen arrives as two or three sentences; the detail stays behind the link.
- Greenhouse teams get a clean call log on the candidate, matched by email first and then by phone and name, but nothing the AI wrote. Plan on pasting the recap into the candidate's notes, or on a separate note-taker; our AI notetaker for Greenhouse page covers the options.
- Everyone else copies the recap across. "Copy All" in the recap view takes the summary and action items together.
Do candidates hear a recording greeting on Dialpad?
This is the setting most likely to surprise a recruiting team. Dialpad's automatic recording article says that when office-wide recording is on, callers do not hear a call recording greeting, and agents need to tell callers the call is being recorded. Greetings can be set on main lines, departments, contact centers and coaching teams, and Dialpad says a greeting must state two things: that the call may be recorded or transcribed, and that a third party, such as a service provider, may do the recording or transcription. Its example of an unacceptable greeting is "This call may be recorded for quality purposes", because it mentions neither.
For a recruiter's own outbound screens, the safe pattern is a spoken line before the questions start, for example: "This call is transcribed by our phone provider so I can focus on you; is that okay?" If the candidate declines, stop recording and turn off AI for the call or take notes by hand. All-party consent states make that agreement a legal requirement; see two-party consent states, recording calls across state lines and is it legal to record a job interview. This is not legal advice.
One more admin detail: Dialpad emails every non-admin user whenever the setting that lets admins access personal call recordings is changed, so recruiters will know if managers can open their candidate calls.
How much does Dialpad cost for recruiters?
Dialpad Connect prices from Dialpad's pricing page, as of October 2026, with a 14-day free trial. The last column is example arithmetic, not a quote.
| Plan | Billed annually | Billed monthly | What matters for recruiting | Example: five recruiters for a year, annual billing |
|---|---|---|---|---|
| Standard | $15/user/month | $27/user/month | Unlimited calls, real-time transcripts, AI Recaps, manual recording only | 5 × $15 × 12 = $900 |
| Pro | $25/user/month | $35/user/month | Adds key CRM integrations, 24/7 support and automatic recording | 5 × $25 × 12 = $1,500 |
| Enterprise | Contact sales | Contact sales | Adds SSO, user access controls and unlimited office locations | Quote only |
Dialpad's integration articles do not name the plan that includes Bullhorn or Greenhouse; they point to the pricing page, where Pro is the plan that lists CRM integrations. Confirm with Dialpad before you buy Standard for a Bullhorn desk. Dialpad also sells Dialpad Sell for outbound teams, from $39 per user per month billed annually, which the pricing page describes with AI transcripts, call recording, CRM integrations and one year of recording and transcript retrieval.
Dialpad or Aircall for a recruiting desk?
Both are phone systems with Bullhorn integrations. The differences that matter for recruiting, from each vendor's own pages as of October 2026:
| Question | Dialpad | Aircall |
|---|---|---|
| Lowest published price | $15/user/month billed annually | $30/license/month billed annually, three-license minimum |
| AI summaries on the entry plan | Yes, AI Recaps on Standard | Needs the AI Assist add-on on Essentials |
| Live transcript during the call | Yes | Needs AI Assist Pro ($49/user/month) |
| Bullhorn | Native: transcript link and AI fields | Bullhorn v4 by AOS: summary and key topics with AI Assist |
| Greenhouse | Calls and SMS, no recaps or transcripts | Not listed |
| JobAdder | Not found | Listed |
Aircall's details are in our Aircall for recruiting review, with RingCentral and Zoom Phone covered the same way. The wider market is in call recording apps for recruiters.
Who should pick Dialpad?
Best for: recruiting teams that want AI transcripts and recaps on every call at the lowest entry price of the four phone systems we review, especially Bullhorn agencies that want a transcript link on the record. In-house teams on Greenhouse get call logging, but should expect to copy recaps by hand.
Look elsewhere if your interviews are mostly on Zoom or Teams, your ATS is JobAdder, or you need a structured scorecard and a client submittal rather than a call summary. Disclosure: we make Interview Signal, one alternative for that last need. It is a desktop app that transcribes a phone screen taken through your computer's audio with no bot, fills a scorecard where each score carries the candidate's own quotes, and drafts the submittal in your template; it keeps no audio and has no ATS integration, so notes are pasted.
Questions people ask
Does Dialpad transcribe recruiter calls on its cheapest plan?
Yes. As of October 2026 Dialpad's pricing page lists real-time transcripts and instant call summaries on Dialpad Connect Standard, which costs $15 per user per month billed annually or $27 billed monthly. Standard records calls only when you press Record; automatic recording needs Pro or Enterprise.
Does Dialpad put AI call summaries into Bullhorn?
Yes. Dialpad's help center says its Bullhorn integration logs call status, caller name, notes and a link to the transcript as an activity, plus AI fields such as the AI Summary, action items, outcome and call purpose. The AI Summary field has a 255-character limit, so the full recap stays in Dialpad.
Does Dialpad's Greenhouse integration log transcripts?
No. As of October 2026 Dialpad's Greenhouse article says the integration logs completed calls, SMS and notes to the matched candidate, but video links, AI recaps and transcripts are not logged. In-house teams on Greenhouse would copy a recap into the candidate record by hand.
Do candidates hear a recording message on Dialpad calls?
Not always. Dialpad's help center says that with office-wide automatic recording callers do not hear a greeting, so the user must tell them. Greetings can be set for main lines, departments, contact centers and coaching teams, and must say that the call may be recorded or transcribed and that a third party may do it.
