SAP SuccessFactors Recruiting uses AI around the interview rather than inside it. SAP describes generating interview questions from the job description and summarizing what interviewers wrote, through Interview Feedback Insights. As of October 2026 we found nothing native that records or transcribes the interview itself. That makes the quality of each interviewer's written feedback the input everything else depends on, and it is where a notetaker can help.
This page covers SuccessFactors' native AI, exactly how Metaview writes into SuccessFactors and what its setup demands of your administrator, the other vendors that list SuccessFactors, and where SmartRecruiters, now owned by SAP, fits. Product facts are dated October 2026 and link to the page we checked.
What SuccessFactors does natively
- Interview questions: SAP's page on interview questions generation describes using generative AI to suggest interview questions based on the job description.
- Interview Feedback Insights: SAP's Interview Feedback Insights page describes AI-generated insights that bring together interviewers' assessments of skills and competencies, overall comments, notes and final recommendations, which recruiters can generate and regenerate as feedback comes in.
- How it is sold: SAP says these AI offerings are available only in the Joule Premium for Human Capital Management package, bought through AI units.
Feedback Insights summarizes what interviewers wrote. If an interviewer submits a rating with two words of comment, the insight has little to work with. A notetaker that puts the candidate's own words into the feedback improves both the individual record and the summary built on it.
Metaview: exactly what it writes
Metaview's SuccessFactors guide is the most detailed vendor documentation we found. With the integration connected, Metaview lists:
- Notes as a PDF attachment: added to the candidate's job application with one click, with attachment type OTHER, usually under Resume and Documents, then Additional Documents, and named after the call, for example "Interview_with_Jane_Doe.pdf".
- A link in Comments: posted to the application's Comments tab as "Metaview link for [interview title]: [URL]". This uses SuccessFactors' standard comments field, which must be present and permissioned in your Job Application Template.
- Pipeline actions: moving candidates between stages and rejecting applications from Metaview, plus sourcing and adding sourced candidates.
And what it does not support:
- Automatic scheduling: Metaview cannot schedule interviews from SuccessFactors; you book through your calendar and Metaview matches calls afterwards.
- Scorecards: scorecard data is not available through the integration, so interviewers still complete feedback in SuccessFactors themselves.
One matching quirk matters for internal mobility and repeat applicants: when a candidate has several applications Metaview cannot tell apart, it picks the one active around the interview if there is only one, and otherwise leaves the call unmatched until someone matches it. Notes cannot be posted until then.
The PDF-plus-link design has a practical upside: the evidence sits on the application, where anyone with access to the candidate's documents can read it without a Metaview account. The downside is that it sits beside resumes and cover letters rather than inside the feedback form, so interviewers still need to copy the key quotes into their own feedback for Interview Feedback Insights to use them.
What setup asks of your SuccessFactors administrator
Metaview estimates about 30 minutes, and you need SuccessFactors admin access. The steps, per its guide:
- Find your API domain from SAP's list of API servers for your data center, and your company ID from "Show version information".
- Create a dedicated API user through Import Employee Data, using a template generated from your own instance.
- Create a permission group containing that user, and a permission role granting the listed recruiting OData API permissions, including candidate and application create, update and export, Interview Central create and update, and attachment import.
- Register an OAuth2 client application bound to the API user, pasting the X.509 certificate shown in Metaview's connection flow. Metaview warns not to generate a certificate in SuccessFactors.
- Copy the API key into Metaview. Syncing can take up to 48 hours.
The connection runs through Kombo, which Metaview names as a subprocessor. Two governance points follow. First, the API user can create and update candidates and applications, so treat it as a write-capable integration account, with an owner and a review date. Second, add Kombo to your vendor review alongside Metaview.
Other vendors that list SuccessFactors
| Tool | What we found, as of October 2026 | What to confirm |
|---|---|---|
| BrightHire | SAP SuccessFactors on its integrations page, which describes features such as one-click scorecard completion across ATSs in general | Which features apply to SuccessFactors, and where notes land |
| AI Interview Companion (Employ) | An SAP logo on its integrations page | Whether that means SuccessFactors, SmartRecruiters or both |
| Fireflies | Not on its integrations page | Not applicable |
Where SmartRecruiters fits
SAP completed its acquisition of SmartRecruiters on September 11, 2025. SAP says SmartRecruiters will be integrated with the SuccessFactors HCM suite, and that SmartRecruiters customers can continue using it with SAP or other HCM systems. Notetaker vendors document the two as separate integrations: Metaview has separate SuccessFactors and SmartRecruiters guides.
So connect the notetaker to whichever system your interviews are scheduled and evaluated in. If some business units recruit in SmartRecruiters and others in SuccessFactors, expect two integrations with different behavior. Our SmartRecruiters notetaker guide covers that side.
Phone screens
SuccessFactors' native AI does not capture calls. Metaview's phone calls guide describes calling through its own number. For other routes, see our guide to recording a phone screen.
How to choose
- You have Joule Premium and the problem is summarizing panels: Interview Feedback Insights works from feedback you already collect; improve the feedback first.
- You want transcripts and evidence on the application: Metaview, accepting a PDF attachment and a comment link rather than filled feedback forms.
- You want scorecard completion inside SuccessFactors: ask BrightHire to demonstrate it on SuccessFactors specifically.
Our interview intelligence software guide has a fuller evaluation checklist.
A pilot that fits an enterprise rollout
SuccessFactors customers tend to be large, with several recruiting teams, data centers and works councils or employee representatives to consult. A pilot that answers the real questions:
- Agree scope in writing with your SuccessFactors owner, security team and privacy lead: one country, one recruiting team, named interviewers.
- Connect in a preview instance first if you have one; Metaview's guide notes you filter SAP's API server list for production unless connecting a preview instance.
- Run four weeks of real interviews. Count how many calls matched an application automatically, how many needed manual matching, and how many never matched.
- Ask hiring managers where they looked for notes. If they did not open the PDF or follow the comment link, the integration is not changing decisions.
- Compare feedback quality before and during the pilot: do submitted comments now cite what the candidate said?
If matching is the main failure, the usual fix is upstream: interviews booked with the candidate's application email and a clear interview title. That is cheaper than any tooling change.
What to test before rollout
| Check | Pass looks like | Result |
|---|---|---|
| Comments field | The Metaview link appears in the Comments tab for your application template | |
| Attachment visibility | Hiring managers can see Additional Documents, and people who should not cannot | |
| Repeat applicants | Calls with internal or repeat candidates match the right application | |
| Pipeline actions | Only agreed users can move or reject candidates from the notetaker | |
| Feedback still written | Interviewers complete SuccessFactors feedback with evidence, not just a pointer to the PDF | |
| Deletion | Purging a candidate in SuccessFactors also removes the recording in the notetaker |

Standalone tools, and who each option suits
Interview Signal has no SuccessFactors integration. It is a desktop app with no bot that captures audio on the interviewer's computer, including phone screens, and exports a scorecard quoting the candidate that you paste into SuccessFactors feedback.
- Interview Feedback Insights: Joule Premium customers whose interviewers already write good feedback.
- Metaview: teams that want transcripts and notes attached to applications and an admin able to run the setup.
- BrightHire: enterprise teams wanting interview intelligence, after a SuccessFactors-specific demo.
Questions people ask
Does SAP SuccessFactors have a built-in AI notetaker?
Not one we could confirm as of October 2026. SAP describes AI-assisted interview question generation and Interview Feedback Insights, which summarizes interviewers' feedback and notes about a candidate, both sold through the Joule Premium for HCM package. Neither is described as recording or transcribing the interview itself.
Where do Metaview notes appear in SuccessFactors?
Metaview's help center says notes are added to the job application as a PDF with attachment type OTHER, usually under Resume and Documents, Additional Documents, named after the call. A link to the Metaview notes is posted to the application's Comments tab, which requires the standard comments field in your Job Application Template.
What does Metaview's SuccessFactors setup involve?
An administrator creates a dedicated API user, a permission group and role with the listed OData API permissions, and registers an OAuth2 client application using the certificate shown in Metaview's connection flow. Metaview estimates about 30 minutes. The connection runs through Kombo, a Metaview subprocessor.
Does the SAP acquisition of SmartRecruiters change this?
SAP completed its acquisition of SmartRecruiters on September 11, 2025, and says SmartRecruiters will be integrated with the SuccessFactors HCM suite while customers can keep using SmartRecruiters with SAP or other HCM systems. Notetakers document SmartRecruiters and SuccessFactors as separate integrations, so set up the one for the system where your interviews are scheduled.
