For a staffing agency, Interview Signal is set up once by an admin and then used by every recruiter on the desk. The Team plan ($59 per seat per month, or $49 per seat per month billed yearly, minimum three seats, as of October 2026) adds what only matters across several people: shared roles and kits, the agency's own submittal templates, admins and invitations, panels, and a weekly coaching report built from counts. Each recruiter runs the desktop app on their own Windows or Mac computer, and their transcripts and submittals stay on that computer. There is no ATS integration. This page covers the agency-level setup in version 0.9.10; the individual recruiter's screen-to-submittal routine is in Interview Signal for agency recruiters.

Which plan does a staffing agency need?

Your agencyPlanPrice as of October 2026
One recruiter, or the owner trying it firstFree, then Pay as you go or Solo20 free minutes, no card; hours from $9; Solo $49 a month or $468 a year
Three or more people who run interviewsTeam$59 per seat per month, or $49 per seat per month billed yearly ($588 per seat)

A seat is one person who runs interviews, named to one email address and not shared. Invited seats count against the total, and interviews are unlimited on Team. Example: six recruiters on monthly Team come to 6 × $59 = $354 a month; on the annual plan, 6 × $588 = $3,528 a year (example figures). The pricing page has a seat calculator, notes that prices exclude sales tax or VAT, and sets out the guarantee for Solo and Team.

How does an agency set up Interview Signal?

  1. Buy Team. Press "Start Team" on the pricing page and choose seats on the next page. If you started on Free, Pay as you go or Solo, open "Billing" in the web account and use "Upgrade to Team"; you stay on as the admin and your roles and interviews come with you.
  2. Make the agency's template before anything else. In the web account, open "Templates", press "Duplicate and edit" on the closest built-in, change the headings and fixed wording, and press "Save template". Only admins can do this, and every role you build afterward can use it.
  3. Invite the recruiters. Open "Members", type each address under "Invite by email", choose "Member — runs interviews" or "Admin — also manages seats and billing", and press "Send invitation". Each recruiter gets an email with a download link, installs the app and signs in with that address.
  4. Load the open job orders as saved roles. One role per client job: the job description, the intake notes in "What the client actually wants", the kit and the "Submittal template". The app confirms "Role saved. Every recruiter on the team sees it." Any seat can build and edit roles.
  5. Agree the house rules. Which questions are must-ask on every job order (a generated kit marks three to five, and each stays pinned in the guide until asked, so keep the list short), which template each desk uses, and that a submittal or ATS note is pasted into the ATS the day of the screen.

Seats, payments and removals are covered step by step in the Team plan guide, and saving and editing roles in saved roles.

Which built-in template fits which desk?

DeskBuilt-in template to start fromWhat sets it apart
General permanent placementExec one-pagerWhy they fit, strengths, risks, compensation and logistics, evidence
IT and engineeringTechnicalThe scorecard table under "Depth by area", plus "Environment and tooling"
SalesSalesA section for segment, deal size and sales cycle
Retained or senior searchExecutive searchSubtitled "Confidential candidate report"
Contract, temp and per-assignment workContract / temp"Available from" and "Rate" in the top lines

A role has one template. To send two clients different formats for the same job, save it as two roles. A template is Markdown text, so there is no logo or letterhead, and the web account has no footer field; type any fixed closing line straight into the template. Every placeholder is listed in submittal templates, and how the text is written in the client submittal guide. Desk-specific routines are in IT staffing, healthcare staffing and executive search.

What does the agency share, and what stays with each recruiter?

Kept on the agency's accountKept only on the recruiter's computer
Saved roles: title, job description, brief and kitTranscripts and the scorecard quotes
Submittal templatesCandidate names, CVs and the recruiter's notes
Members, seats and billingSubmittals, in every format exported
Counts and durations per interview, for the coaching reportThe list of past interviews on the home screen

Two details matter for client confidentiality. The candidate's name and the company are stored only on the recruiter's computer, but are sent to the AI model when it writes the submittal, and a CV the recruiter attaches is sent to the model during the interview. Audio goes to a speech-to-text provider in short chunks and is not retained. The security page lists every field the server stores and states that a data processing agreement is available on request.

What happens to a recruiter's interviews when they leave?

An admin removes them under "Members". They are signed out within about a minute, their app shows "Your seat was removed", and the seat is free for someone else. Their interviews stay on their computer, still readable there, because Interview Signal never held a copy and cannot hand one to the agency. In practice that means the agency's record of a candidate should live in its own ATS: make pasting the submittal, or the note from "Copy ATS note…", part of finishing every screen rather than something done at the end of the week.

How does an owner see how the desk is working?

Through the "Coaching" tab of the web account and a weekly email to admins. For the week before, it shows each recruiter's interviews, must-asks covered, follow-ups used, how complete their scorecards were and their average length, with a short note for anyone who ran at least three interviews. An interview counts only once its submittal has been copied or exported, so unsent screens are invisible to it. On the home screen, an admin can also switch the week line between "Mine" and "Team". The coaching report guide explains each number; panels for client onsites are in panel interviews.

What does Interview Signal not do for an agency?

  • No ATS integration. Nothing is read from or written to Bullhorn, JobAdder or any other system. Notes are shaped for Bullhorn, Greenhouse, Lever and JobAdder and pasted by hand.
  • No central candidate database. There is no shared library of transcripts, by design; colleagues' interviews are on their own machines.
  • Desktop only. Windows 10 or 11 and macOS 13 or newer; no mobile app and no web app for interviewing.
  • Phone screens must run through the computer. A call on a separate handset is not captured.
  • Admin work happens in the browser. Seats, templates and billing are managed in the web account, not in the desktop app.
  • A newer product with few public reviews so far. Run it on a few live job orders with two or three recruiters first; rolling out a note taker to recruiters has a plan, and AI note takers for staffing agencies covers the wider choice.

To see the flow before buying seats, watch the walkthrough on the Try it page, then download the app; every account starts with 20 free minutes.

Questions people ask

Which Interview Signal plan should a staffing agency buy?

An agency with three or more recruiters who run interviews fits the Team plan, which as of October 2026 costs $59 per seat per month, or $49 per seat per month billed yearly, with a minimum of three seats and unlimited interviews. Team is the only plan with shared roles and templates, admins and invitations, panels and a weekly coaching report across recruiters. A one-person agency fits Solo at $49 a month.

Can a staffing agency use its own submittal format in Interview Signal?

Yes. An admin signs in to the web account, opens Templates, presses Duplicate and edit on the closest of the five built-in templates, changes the headings and wording, and presses Save template. Every recruiter on the account then sees it in the Submittal template list on each role. There is no place for a logo or letterhead; a template is text with headings.

Can an agency owner read recruiters' interviews in Interview Signal?

No. Transcripts, quotes, candidate names, notes and submittals are stored on each recruiter's own computer and are never uploaded. An admin sees counts in the weekly coaching report, such as interviews run, must-ask questions covered and scorecards completed, but there is no transcript on the server to read.

What happens to a recruiter's interviews in Interview Signal when they leave the agency?

When an admin removes the seat, the recruiter is signed out within about a minute, and the interviews already on that computer stay there, readable, because Interview Signal never held a copy. Agencies should therefore paste each submittal or ATS note into their own ATS as part of finishing a candidate, so the agency's record does not depend on one laptop.
